Quick answers
Who gets a background check?
Anyone who registers for a volunteer role whose Background Check is Protect Youth Sports (2 Configuration > Volunteers), unless they already have a check in progress or still valid. The check is requested when they place their order. Adding a check to a role doesn't check people who registered earlier.
Can team managers be asked for a background check?
Yes, in Team Registration plus Youth or Adult Roster Registration programs. On the program's 1 Setup, set Manager Background Check to Protect Youth Sports ("Require background check for manager enrolling a team.") and click Save. The manager then completes the Background Check Information section when registering the team. On the Background Checks dashboard, choose Team Manager in Volunteer Type to see their checks.
Can a volunteer get a copy of their background check?
Yes, from the organization that ran it. Open the report with the report icon on the Background Checks dashboard and share a copy. Opening reports needs the background check Report View permission.
Can a volunteer use a driver's license instead of a Social Security number?
No. PYS requires a Social Security number, and the Background Check Information section won't continue without one ("SSN is required."). TeamSideline stores the number encrypted and doesn't show it to organization admins.
How long does a check stay valid?
Your organization's settings decide: 1, 2 or 3 years, and whether a check must still be valid on the registration date or through the program's end date. Until then, the volunteer isn't asked for a new check. TeamSideline Support changes these settings.
Can coaches be kept off rosters until they pass?
Yes, with the background check coach filter: Assign To Roster then lists a volunteer only after their check has passed. Ask TeamSideline Support to turn it on. Admins with a background check role still see every volunteer.
How far back do PYS checks go?
Typically 7–10 years, depending on the state. Some serious offenses, such as felonies and sex crimes, may be reportable for longer. Ask PYS about your state.
Does PYS meet every state's background check laws?
Some states have specific requirements. Your organization is responsible for working with PYS to make sure the process meets your state's rules.
Can PYS run employment background checks?
PYS has an employment screening business, Active Screening. If you need employment checks, for example as a parks and recreation department, contact PYS.
