How do I setup the system to charge the coaches a fee for the background checks?
There is not a way for coaches to be charged by PYS when they run a background check. Your league/organization will be billed directly from PYS for all background checks initiated on your site. However, you can setup the system to charge them when the enroll as a coach. Follow the steps below or you can also watch this video:
1. Create an Volunteer Add-On/Buy Item:
- Go to Programs > Configurations > Buy Items.
- Click the Add Buy Item button.
- Input the desired data for the Volunteer Buy Item including the price you want them to pay.

2. How to add a Add-On/Buy Item to a Program:
- Go to Programs > Manage Programs and select desired program.
- Click on the 2 Configuration tab and scroll down to Add-Ons section.
- Click the Add Add-On button.
- For the Offering dropdown, select All or select the desired Offering.
- For Enrollment Type, select Volunteer.
- For Buy Item, select the Volunteer Buy Item you just created.
- For Required, select Yes.
- For Allow Multiple, select No.
- Click the Add button.
Can a customer request a copy of their background check?
Yes, a customer can request a copy of their background check but the request must go to their league/organization. The league/organization that paid for the background check can share the PDF results from their background dashboard with the customer.
Is there a way to do background checks with Driver's License numbers rather than social security numbers?
We have checked previously with Protect Youth Sports to determine if the SSN was absolutely required and they have confirmed it is. However, the transaction is a secure entry on the web page through the transmission to Protect Youth Sports. No one in an organization or in TeamSideline has direct access to this data through the TeamSideline system. The entire system and data storage complies with PCI requirements for protecting sensitive data like credit cards and SSNs.
I have a customer (a parks & rec) that would like to run employment background checks through PYS. However, since this is for employment vs a recreational sports program, it would not be sent through TeamSideline. Can they do this? And if so, how?
PYS has an employment line of business called Active Screening. But since the organization is a park and rec, they can also do employment screenings through the Protect Youth Services division. The best option is to email PYS support at Support@protectyouthsports.com and get in touch with the sales department.
Reports are not showing up for an organization and it's been a few days.
- PLUS searches can take 72 hrs or longer at times because there is a court search. Please be patient and allow time for the reports to be returned.

PA Package - Can you tell me why this sentence is in the document “Have you received a clearance certificate since January 1st, 2014? ”? The organization that is using your process through TeamSideline want the background check repeated every three years through our TeamSideline/PYS process and that sentence is causing some issues with coaches that have the clearance but not through TeamSideline. If they are running through our system and have had this process already within the last three years, then they would not have their order sent to PYS (this is something we check for). Any way we can get it removed?.
Unfortunately, PYS is not able to remove that sentence from these emails. By PA law, the child abuse registry clearance is valid for 5 years so that sentence is for the applicants who have already gone through that process. This is the email that will get sent to every applicant whose organization runs a PA Child Abuse Registry search. The only differing information between the emails the applicant’s receive is the individual codes in that particular email.
