Important Information For TeamSideline Customers

Settlements – WePay report

Our team has been diligently working on a great WePay report!  It is called Settlements – WePay and if you are a site with a WePay credit card gateway, you will see this report under Reports > Report Exports.

  • This report will allow you to select a specific settlement (ie. one of your deposits) and once you click the Preview button, each transaction and the program, facility, or membership that the transaction is associated with (ie. Source) will be listed.  The transactions are grouped by the Source so you can quickly get a total if you need it.
  • If you see a “UNK” on your report, you will need to research that customer and reconcile the transaction so the next time you run the report, the transaction will be displayed properly.
  • You will also find a new report called Settlements By Date Range – WePay that allows you to pick a start and end date to combine all the settlement transactions and get the same groupings and their totals.

More on Reconciling Transactions

When you are on a customer’s Account Overview page and click on the Reconcile button, you see a new option right above the table called Show Reconciled.  If you click on this option, all the transactions for this account will be displayed.  If you leave it unchecked, only the transactions that need to be reconciled will be displayed (these will also have a red flag next to them on the left).

Customer Search Improvements

We received feedback that the Customers > Account Management > Search page was too long and sometimes admins were missing the records that had been returned towards the bottom of the page.  We have now restructured the page so that the three most popular search fields (Last Name, First Name, and Email Address) are at the top.  However, if you want to use any of the other search criteria fields, just click the Show more fields link to display the other available options.  And while we were on this page, we fixed a couple of other items:

  • Added the area code to the phone number search so you can easily find the number you are looking for with an exact match.
  • Added the Transaction Number search as a new option to find customers by.

Email Team Sites with Linked Schedules

Admins can now send an email to any Team Site that has linked to one of your site’s schedules – these team sites don’t have to be created on the 5 Team Sites page through the registration process. To send an email to these linked team sites, go to Communications > Send Communication and click the triangle next to Standalone Team Sites – Linked Schedules.  Click the checkbox for the league you want to communicate with and create and send your email as normal.  Note: This is a Premium only feature.
