Organizations can collect player documents, such as birth certificates, medical forms, or other files, using either a Player Custom Field or an Enrollment Field. The best option depends on when you want to collect the document.
Note: The File field type is available with the Premium package. Contact TeamSideline if you'd like more information about Premium features.
Option 1: Use an Enrollment Field (Recommended)
Use an Enrollment Field if you need to collect documents for each registration or season. Documents are attached to the enrollment, and if Can Be Edited is enabled, participants can add/update them after registering.
Step 1: Create the Enrollment Field
- Go to Programs > Configurations > Enrollment Fields.
- Click Add Enrollment Field.
- Enter the field information:
- Field Name: For example, Birth Certificate Upload
- Field Type: File
- Complete any other desired settings.
- Click Add.
Step 2: Add the Field to a Program
- Go to Programs > Manage Programs and open the desired program.
- Select the Configuration tab.
- Scroll to Enrollment Fields and click Add Enrollment Field.
- Configure the field:
- Enrollment Field: Select the field you created.
- Enrollment Type: Choose who the field applies to (Player, Volunteer, etc.).
- Offering: Select the applicable offering(s).
- New vs Returning: Choose whether the field appears for new enrollees, returning enrollees, or both.
- Required: Choose whether the document is required before enrollment can be completed.
- Use Previous: Choose whether to reuse a previously uploaded document.
- Can Be Edited: Choose whether participants can upload or replace the document after registration from My Account > Edit Enrollments.
- Click Add.
Notes:
- Can Be Edited is available upon request and depends on your subscription. Contact support@teamsideline.com to enable this feature.
- If at least one Enrollment Field in a program is set to Can Be Edited = Yes, participants will have an Edit Enrollments option in their account where they can update editable fields after registering.
- You can change the Can Be Edited setting at any time by editing the Enrollment Field on the program. For example, you can allow edits while registration is open and then disable editing after registration closes.
Option 2: Use a Player Custom Field
Use a Player Custom Field if you want documents to be uploaded from the player's account instead of during registration.
- Go to Administration > Configurations > Custom Fields.
- Click Add Custom Field.
- Configure the field:
- Field Name: For example, Birth Certificate Upload
- Category: Player
- Field Type: File
- Side Description: Enter instructions for participants.
- Is Required: Select if the document must be uploaded before a player can be added to an account.
- Public Access: Set to Editable.
- Save the field.
Once created, participants can upload the document via their customer account by editing the player's profile from My Account > Members.
Administrators can also upload or view documents from the customer's account.
