A parent organization, such as a league or an association, and each of its child (member) organizations can have their own TeamSideline site. The sites are connected on Administration > Associated Organizations: TeamSideline links them and sets up what they share behind the scenes, and each child site's admins decide whether the parent may share calendar events and workflows with them and send communications to their families.
Applies to: Org admins of parent and child organizations · All plans; the sharing settings need the Multi-Org Registration module, and workflow sharing also needs the Workflow module · All program types
Where: Administration > Associated Organizations
How the link works
- The parent lists each child under Define Associated Organizations on its own Associated Organizations page.
- TeamSideline links each entry to the child's TeamSideline site. Until then, the Linked TeamSideline Site column shows "Not Linked"; afterward it shows the child site's address.
- The child then sees the parent under Shared Organizations on its own Associated Organizations page ("These Associated Organizations have enabled your Site to share items from their Site.") and chooses what the parent may share.
What TeamSideline sets up
- Modules: Multi-Org Registration, which brings the sharing settings, and Workflow on both sites when the parent's workflows will be used.
- The link: only TeamSideline staff can connect an associated organization entry to another TeamSideline site.
- The Mail Merge Library: organizations in the same library get its shared forms in Reports > Mail Merge.
- Field links: the parent's text, multi-line text and file fields (custom fields and enrollment fields) are matched to the child's, so information lines up between the sites, for example for workflows.
- Custom sections: when the parent wants the same section on every child's registrations, TeamSideline adds it to the child site.
Ask TeamSideline Support for any of these; they can't be changed from your admin pages.
Add a child organization (parent site)
- Go to Administration > Associated Organizations.
- Under Define Associated Organizations, click Add Organization.
- Enter the child's Organization Name and a Short Name, then click Add. Each short name must be different. You'll see "Associated Organization Added."
- Ask TeamSideline Support to link the new entry to the child organization's TeamSideline site.
Choose what the parent shares (child site)
- Go to Administration > Associated Organizations.
- Under Shared Organizations, click Edit (pencil) next to the parent organization.
- Set each option below to Yes or No and click Save. You'll see "Associated Organization Updated."
| Setting | What Yes does |
|---|---|
| Enable Cal Sharing | The parent's calendar events show with yours. The side text reads: Select "Yes" to include all calendar events from this organization with yours. |
| Enable Workflow Sharing | The parent's workflows can be chosen for your programs. The side text reads: Select "Yes" to include all workflows from this organization with yours as selections for Programs. Shown when your site has the Workflow module. |
| Enable Email/Text Sharing | The parent can send communications to your families. The side text reads: Select "Yes" to allow this associated organization to send emails to your customers. Shown when your site has the Multi-Org Registration module. |
With Email/Text Sharing on, the parent's Communications > Send Communication offers your teams under "Associated Organizations Team Roster - Current Leagues" and your programs under "Associated Organizations Registrations - Current Programs". With it off, your families aren't in those lists. Only your site can change these settings; the parent can't turn them on for you.
To show the parent's league schedules on your site, click the Link Schedules (calendar) icon next to the parent. See Sharing Schedules from Parent Site to Child Site.
What stays with each child site
- Programs, offerings, fees and eligibility settings, including Age As Of dates, belong to the site that runs the program. The parent can't set them for you.
- Admin access is set per site. The parent's admins can open your admin pages only if you add them as users at Administration > Manage Users.
- A custom field linked to the parent's field is locked at Administration > Configurations > Custom Fields: its name, category, type and settings such as Is Required are grayed out, and it can't be deleted. Changes the parent makes to its field are copied to yours. To change it, ask the parent organization, or ask TeamSideline Support to unlink it.
- Once TeamSideline adds a parent's custom section to your site, add it to each program on the program's 2 Configuration page under Custom Sections, with Add Custom Section.
One site that registers for several organizations
With the Multi-Org Registration module, one site can also run registration for several associated organizations that don't have sites of their own:
- Families choose their organization on the sign-up page, and the choice is required. You set what that field is called with Assoc. Organization at Customers > Configurations > General ("End-user description of Associated Organization.").
- Program Owner (on a program's 1 Setup) and Offering Owner (on each offering): "Use to limit access to admins with Organization Filters." An admin whose user filters limit them to certain associated organizations sees the programs those organizations own, plus programs with no owner.
- Customer Access: move organizations from Available to Selected so only accounts in those organizations can register. On the program it covers every offering ("Enable specific customer accounts to enroll in program and all offerings."); when the program has none, each offering can have its own ("Enable specific customer accounts to enroll in this offering."). With nothing selected, everyone can register.
If it doesn't work
- The child doesn't see the parent under Shared Organizations. TeamSideline hasn't linked the parent's entry to the child site yet, and the parent's page still shows "Not Linked". Ask TeamSideline Support.
- Enable Workflow Sharing or Enable Email/Text Sharing isn't on the edit page. Your site doesn't have the Workflow or the Multi-Org Registration module. Ask TeamSideline Support.
- The parent can't find your teams or programs in Send Communication. Turn on Enable Email/Text Sharing for that parent.
- "The Short Name already exists. You cannot have duplicate Organization Short Names." Choose a different Short Name.
- The associated organization can't be deleted because it "has one or more location or team dependencies". Locations or teams are assigned to it. Change their associated organization first.
- Add Organization is grayed out. Your admin role doesn't include Associated Organizations. Ask an admin with full access.
- A custom field's settings are grayed out on the child site. It's linked to the parent's field, as described above.
Good to know
- In some associations, the association decides who has admin access to its member sites and may reset it each season. If yours does, TeamSideline Support may refer requests for admin access to the association.
- Adding, changing and deleting associated organizations is recorded in Administration > Manage Users > Activity Log (Enhanced, Elite and Enterprise).
