A pricing tier lets one facility charge different fees by time, by where the customer lives, or by a category you give certain customers. Create the tier on Facility Reservation > Configurations > Pricing Tiers, use it in the facility's availability, then add its fee on the facility's Reservation tab (a pricing tier needs availability set for it on that facility before you can add its fee).
Applies to: Admins whose role can edit facilities · Organizations with the Facility module (all plans) · Facility reservations
Where: Facility Reservation > Configurations > Pricing Tiers; Facility Reservation > Facilities > (facility) > Availability and Reservation tabs
Which type to choose
| Pricing Tier Type | Who pays what | Good for |
|---|---|---|
| Standard | Everyone pays the tier's fee for the times it covers. | Different rates at different times, such as Prime Time evenings and Off Peak mornings. |
| Resident/Non-Resident | Two fees. At checkout, the account holder's address is checked against your boundaries (Programs > Configurations > Boundaries): inside pays the Resident fee, outside pays the Non-Resident fee. | Lower rates for people who live in your city or district. |
| Custom | One fee for the tier's custom category. Customers get it when their account has the category, or when the category is marked Available For All. | Rates for a group, such as non-profits, employees or members. |
Without tiers, a facility's availability uses Default, and Default's fee applies to everyone.
Create a pricing tier
- Go to Facility Reservation > Configurations > Pricing Tiers and click Add Pricing Tier.
- Enter a Pricing Tier Name of up to 25 characters. Each tier needs its own name.
- Choose the Pricing Tier Type: Standard, Resident/Non-Resident or Custom.
- Click Add. A Custom tier opens its Edit Pricing Tier page, where you add its category (next section). A Resident/Non-Resident tier comes with its two categories, Resident and Non-Resident.
Give a Custom tier its category
- On Pricing Tiers, under Custom Category, click Add Custom Category, enter a Custom Category Name such as Non Profit, and click Add.
- In the list of tiers, click the Custom tier's pencil (Edit), then click Add Custom Category.
- In Pricing Tier Custom Category, check the category.
- Check Available For All? only if every customer should get this fee. Leave it unchecked to give the fee only to customers whose accounts have the category.
- Click Add.
Give each Custom tier one category. When a customer books, the facility reads one category's fee from each Custom tier, so customers in a tier's other categories can be refused. For two groups, such as Non Profit and For Profit, create two Custom tiers. Add the category before you add the tier's fee on a facility: the facility's Fee Schedule gets rows only for the categories the tier has at that moment.
To give a customer the category, open their Account Overview (Customers > Account Management > Search), click Add under Reservation Pricing Accommodations, choose the Pricing Tier Custom Category and click Add.
Use the tier in the facility's availability
- Go to Facility Reservation > Facilities and open the facility customers book (each sub-facility, if it has them).
- On the Availability tab, click Set Availability.
- Choose Single Day or Recurring Days, and the times the tier covers.
- In Pricing Tier, choose the tier and click Add.
Two entries with the same tier can't overlap, but entries with different tiers can. To give members a lower rate on the same evenings, add those hours once with your Standard pricing tier and once with the members' Custom tier.
Add the tier's fee
- On the facility's Reservation tab, under Fee Schedule, click Add Pricing Tier.
- Choose the tier in Pricing Tier. The list shows only the tiers this facility's availability uses, plus Default when an availability entry uses Default.
- If the facility is booked in increments, choose the Calculation: Fixed for an hourly rate, or Varies for a set price for each length.
- Click Add. A Resident/Non-Resident tier adds a Resident row and a Non-Resident row.
- In each row, enter the price (Cost, Cost Per Hour, or a price under each length for Varies) and any Security Deposit.
- Click Save under the Fee Schedule. You'll see "Fee Schedule saved."
What customers see
- The facility's page shows its cost, with separate "Resident:" and "Non-Resident:" fees for a Resident/Non-Resident tier.
- A Resident/Non-Resident or Custom fee is settled in the cart once the customer signs in, and the order lists the reservation with the fee it got, for example "(Resident)".
- A customer who qualifies for more than one fee at the time they picked chooses a Pricing Category before checkout.
If it doesn't work
- The tier isn't in the Fee Schedule's Pricing Tier list. No availability entry on this facility uses it. Add availability with the tier first.
- Customers see no open times at hours the tier covers. The tier has no row in this facility's Fee Schedule. Add its fee and click Save.
- "(your organization) requires approval for (the reservation), please contact them for more info." The customer doesn't qualify for the Custom fee. Give their account the category, or offer the same hours with a Standard pricing tier as well. If the tier has more than one category, give each category its own tier.
- A resident is charged the Non-Resident fee. Their account's address is outside your boundaries or couldn't be found on the map. Check the address on the account and your Boundaries settings.
- Everyone is charged the Non-Resident fee. Check Programs > Configurations > Boundaries > Visual Boundary: a map saved without a drawn boundary puts every address outside it.
- "Pricing Tier Name must be unique." Another tier has that name. It also appears when you save a tier without changing its name.
- A tier's or a category's red X can't be clicked. A facility's Fee Schedule uses the tier, or a tier uses the category. Remove that use first.
Good to know
- How residency is decided: with a Visual Boundary, the address must be inside the map's boundary. Without one, the Cities and Zip Codes lists decide, and if both lists are empty, every customer counts as a resident. Non-residents can still book; they pay the Non-Resident fee.
- Varies sets prices for one to four increments only, so when you use it, keep the facility's Maximum Reservation (Availability Rules tab) at four increments or less.
- To rename a tier, click its pencil (Edit) on Pricing Tiers. The type can't be changed: create a new tier instead.
- Deleting a tier's row from a Fee Schedule (red X) deletes all of that tier's rows on the facility.
- In the Fee Schedule, enter 0 in a price box you don't use rather than leaving it empty.
