The Membership Information report exports your memberships, one row per membership, with the member, the membership program, when it started (Member Since), when it expires and whether it renews automatically. Run it from Reports > Report Exports.
Applies to: Admins · Membership module (all plans) · Membership programs
Where: Reports > Report Exports > Membership Information
Run the report
- Go to Reports > Report Exports and click Membership Information in the Memberships category.
- In Date Range, choose a start and an end date. The report lists memberships whose Member Since date falls in this range, so to list everyone, start the range before your first membership was sold.
- In Membership Program, choose one program or All Membership Programs.
- Tick Include Inactive to add expired and canceled memberships. Without it, only active memberships are listed.
- Under Columns, move the fields you want from Available fields to Show these fields in this order, by dragging them or with the arrows between the lists, and drag them into the order you want.
- Choose the Export Type: Excel (xlsx), CSV, Html or Tab (legacy).
- Click Export.
What you'll see: a file (or, for Html, a page) with one row per membership. The page remembers your Export Type. To run the same report again later, click Save Report: it's saved with its filters and columns and listed on Report Exports.
The columns you can include
| Column | What it shows |
|---|---|
| First Name, Last Name | The member: the adult or child who holds the membership |
| The member's email address, for a membership held by an adult. It's blank for a child's membership. | |
| Membership Name | The membership program |
| Organization Membership Id | The membership number |
| Member Since | When the membership started |
| Expiration Date | When the membership expires |
| Is Active | Whether the membership is active |
| Is AutoRenew | Yes or No |
| Customer Street Address, Customer City, Customer State, Customer Zip Code | The member's address; for a child, the address of the account's primary contact |
These are the only columns: custom fields can't be added to this report.
See every purchase and renewal: Membership History
Reports > Report Exports > Membership History lists one row per purchase or renewal, so a member who renewed twice has three rows. Its columns are Active, Membership, Member First Name, Member Last Name, Membership Number, Member Since, Expiration Date, Auto Renew, Order Date, Order Number and Option (the option bought). Choose a Membership (or All Membership Programs), the columns and the Export Type, and click Export. Its Date Range is optional and also filters on Member Since.
Work with members on screen: the Memberships dashboard
Reports > Report Dashboards > Memberships lists every membership in the programs you choose, active and inactive, with Active, Member, Email, Membership, Expiration Date and Auto Renew.
- Click Dashboard Configuration.
- Choose the Membership Program(s) and, if you want them, up to three additional columns in Additional Column 1 to 3: Associated Organization, Membership Number or Member Since.
- Click Apply.
Sort or filter on any column. Each row's menu opens Account Overview, Cancel Membership, Memberships, Send Email or Update Payment Method. For a child's membership, the dashboard's Email is the account's primary contact.
If it doesn't work
- "Both the Start and the End date are required." Membership Information needs both dates in Date Range.
- "The Start date cannot fall after the End date." Swap the dates.
- "You must select at least one Field before exporting report." Move at least one field to Show these fields in this order.
- A member is missing. Their Member Since date is outside your Date Range (widen it), the membership is inactive (tick Include Inactive), or it's in another membership program.
- Email is blank for some rows. Those memberships belong to children. Use the address columns, or the Memberships dashboard, which shows the account's primary contact's email.
- Membership Information isn't listed on Report Exports. Your site doesn't have the Membership module, or your admin role doesn't include membership reports.
Good to know
- A canceled membership becomes inactive right away but keeps its original Expiration Date, so check Is Active as well as the date.
- An automatic nightly job marks expired memberships inactive: the day after the Expiration Date, or 10 days after it for an auto-renewing membership that wasn't renewed.
- The report lists memberships that started in the range, not every membership that was active during it. For "who's a member today", use a wide Date Range with Include Inactive unticked.
