Add each field, court or gym as its own location on Schedules > Locations > Manage Locations: click Add Location, enter the Location, Field, a Schedule Name of up to 15 characters and the address, and click Add. To change a location later, including its address, click its pencil (Edit), make the change on the Details tab and click Save.
Applies to: Admins whose role includes editing locations · All plans (Organization and Game Spacing: organizations with Advanced Scheduling; Update Multiple Locations: Elite and Enterprise) · Locations for games, practices and calendars
Where: Schedules > Locations > Manage Locations
Add a location
- Go to Schedules > Locations > Manage Locations and click Add Location.
- In Location, enter the place's full name, such as Washington Ball Park.
- In Field, enter the field, court or gym at that place, such as Field 1 or Court 1. Leave it blank if the place has only one.
- In Schedule Name, enter the short name your schedules show, up to 15 characters, such as WBP 1. It must be different from every other location's Schedule Name.
- Optionally choose a Category, or type a new category name in the box beside it.
- Enter the Street Address and City, State, Zip.
- Leave Location URL blank unless the map link should open a page of your own (see below).
- Optionally add More Information, such as parking or entrance details, up to 2,000 characters.
- If your organization has Advanced Scheduling, choose the associated organization in Organization.
- Set Show Publicly (Yes lists the location on your public Locations page) and Show Calendar (Yes lets the public open the location's calendar from that page; it needs Show Publicly).
- Click Add.
What you'll see: the location appears in the table. The form keeps the place's name and address and clears Field and Schedule Name, so you can add the next field at the same place right away.
Edit a location or change its address
- On Manage Locations, click the pencil (Edit) next to the location. Its Details tab opens.
- Change any field: the names, Category, Street Address, City, State, Zip, Location URL, More Information, Show Publicly, Show Calendar, and the First Game Flag and Last Game Flag. With Advanced Scheduling you also see Organization and Game Spacing.
- Click Save. You'll see "Location updated."
A new address changes the map link everywhere the location appears, unless a Location URL is set. To open another location without going back, click the square icon with a down arrow beside the location's name at the top of the page and choose it; save your changes first.
The Location URL replaces the address in map links
- The map link next to a location, on schedules, your public Locations page, a division's Locations section and Manage Locations, normally opens Google Maps for the location's address.
- When Location URL holds a web address, every one of those links opens that address instead, and the street address is ignored. A URL copied from another field, or left over from an old site, sends families to the wrong place even when the address is right.
- If directions point to the wrong place, open the location's Details tab, clear Location URL and click Save.
- On the Details tab, a Location URL has to start with http:// or https:// and can't contain spaces.
Icons on Manage Locations
| Icon | Tooltip | What it does |
|---|---|---|
| Eye, green or red | Toggle Visibility | Green: shown on your public Locations page. Red: hidden. It's the same setting as Show Publicly. Click to switch. |
| Calendar, green, red or black | View Calendar | Opens the location's calendar of games, practices and blocked times. Green: the public can see the calendar; red: Show Calendar is No; black: the location itself is hidden. |
| Magnifying glass | View Location Availability | Opens the Availability tab, where Set Availability adds available times and Block Times adds unavailable ones. With no availability set, every time counts as available. |
| Pencil | Edit | Opens the Details tab. |
| Clipboard with a check | Check-In | Opens the location's Check-In page if your organization uses Check-In; otherwise it's gray. |
| Box with an arrow, next to the name | (none) | Opens the map link in a new tab. Point to the location's name to see its address. |
| Orange chain link | (the linked location) | The location is linked to a location of another TeamSideline organization; point to the icon to see which one. TeamSideline Support sets up these links. |
Order and categories
- Manage Locations groups locations by category and lists them alphabetically by Location, then Field. The rows can't be dragged.
- To change the order of the groups, click Categories and drag the categories into order. The same order groups your public Locations page.
- On Categories, Add Category creates one, the pencil renames it, and the red X deletes it; only a category with no locations can be deleted.
- Categories don't affect scheduling, availability or conflicts.
Organization, Associated Organizations and Game Spacing (Advanced Scheduling)
- Organization assigns the location to one associated organization. Admins limited to an associated organization see only its locations.
- The Details tab's Associated Organizations section lists the organizations that use the location for scheduling, in priority order; drag a row to change it. Auto Assign uses a location only when it has at least one.
- Game Spacing (0 to 180 minutes) is the length Auto Assign cuts the location's available time into: 9:00 to noon at 90 minutes gives games at 9:00 and 10:30. Auto Assign uses a location only for divisions whose own game spacing is the same or shorter.
- Each location has one Game Spacing. If two age groups need different spacing on the same field, add the field twice as two locations, each with its own Schedule Name and Game Spacing, and split the availability between them.
Archive or delete a location
On the Details tab, click Delete and confirm "Are you sure you want to delete this Location?" ("Location deleted."). If a current league still uses the location for games, practices or time slots, the button reads Archive instead: confirm "Are you sure you want to archive this Location?" ("Location has been archived."). An archived location leaves Manage Locations and can't be brought back from the admin site.
If it doesn't work
- "Duplicate Schedule Names are not allowed." Another location uses that Schedule Name. Abbreviate differently; the box stops at 15 characters.
- "A Location Name is required.", "A Location Schedule Name is required.", "A Street Address is required.", "A City is required.", "A State is required." or "Please enter your zip code." Fill in that field.
- "Invalid URL format. Please review and correct." The Location URL doesn't start with http:// or https://, has a space, or ends with a period or comma. Fix it or clear it; Save won't work until you do.
- "The More Information field can only be a maximum of 2,000 characters." Shorten the text.
- "The Category Name you input already exists. Please change the value in order to save." Choose that category from the list instead of typing it.
- The map or directions open the wrong place. A Location URL is set. Clear it on the Details tab.
- The location isn't on your public Locations page. Its eye is red (Show Publicly is No). Click the eye.
- The public can't open the location's calendar. Show Calendar is No, or the location is hidden.
- There's no Add Location button or pencil, or the eye can't be clicked. Your admin role doesn't include editing locations. Ask an Administrator.
Good to know
- Schedule imports find locations by their Schedule Name, so keep import files and Schedule Names identical.
- More Information appears under the location on your public Locations page, and in a division's Locations section when that division's Show Locations Section is Yes (1 Configuration > Display).
- First Game Flag and Last Game Flag add arrows marking the first and last game of the day at the location; see the icons article below.
- On the Elite and Enterprise plans, Update Multiple Locations changes availability, category, organization, game spacing, visibility or the game flags for many locations at once.
