A schedule template lets you reuse a schedule's pattern of games in another division with the same setup. Save the schedule with Save As Template on its division's 4 Create Schedule page; later, on a new division's 4 Create Schedule page, click Use Template, choose the template and click Create.
Applies to: Admins and schedulers · Enhanced, Elite and Enterprise plans (Templates) · League divisions and tournament pool play
Where: Schedules > Leagues & Divisions > (division) > More Options > 4 Create Schedule. Saved templates: Schedules > Scheduling Templates
Save a schedule as a template
- Go to Schedules > Leagues & Divisions. On the division's row, click More Options and choose 4 Create Schedule. For a tournament, open 4 Create Schedule > Pool Play.
- Get the schedule the way you want it and click Calc & Save. Check the distribution tables below the schedule, such as Games Per Week Distribution and Opponent Distribution, to see that it's balanced.
- Click Save As Template.
- In Template Name, type a name (up to 50 characters) that says what the template fits, for example the number of teams and games.
- Click Save.
What you'll see: the message "Template "(name)" added." with your template's name. The template is listed on Schedules > Scheduling Templates.
Create a schedule from a template
- Set up the new division the same way as the division the template came from (see What has to match, below).
- Open the new division's 4 Create Schedule page (4 Create Schedule > Pool Play for a tournament). The division must not have a schedule yet.
- Click Use Template.
- In Template, choose the template. The list shows only templates that fit this division ("This list is filtered by the current division configurations.").
- Click Create.
What you'll see: "Your schedule has been created and saved for you to review." The message ends with the template's number in braces, for example {1234}. Review the games, make any changes and click Calc & Save. The schedule isn't public until you make it visible with the division's eye icon on Schedules > Leagues & Divisions.
What has to match
Use Template offers a template only when the division has the same setup as the schedule it was saved from:
| Setting | Where you set it |
|---|---|
| Number of teams | The division's 2 Teams page |
| Number of time slots | The division's 3 Time Slots page |
| Games Played/Team | 1 Configuration > Scheduling |
| Games per Week/Team | 1 Configuration > Scheduling |
| 2 Game Configuration (Different Days, Double Header/Different Team or Double Header/Same Team) | 1 Configuration > Scheduling |
| With an odd number of teams: Schedule Byes or All Teams Play Every Week | 3 Time Slots > Odd Team Division Configuration |
| Pool play templates also: the same number of teams in each pool | The tournament's 2 Teams page (pools) |
The Scheduling Templates page
Go to Schedules > Scheduling Templates. League templates are under Game Templates and tournament templates under Pool Play Templates.
| Column | What it shows |
|---|---|
| Template Name | The name typed when the template was saved |
| Teams | Number of teams |
| Games | Games Played/Team |
| TS | Number of time slots |
| GPW | Games per Week/Team |
| TimeSlot Stack | How many time slots share each day and start time, in order, for example 2-2-1 |
| Pool Stack (pool play only) | How many teams are in each pool, in pool-name order, for example 4-4-3 |
| Play Bye | True for All Teams Play Every Week, False for Schedule Byes. It matters only with an odd number of teams. |
| Created | When the template was saved |
To delete a template, click its red X and then OK on "Are you sure you want to delete this schedule template?". Schedules already created from it don't change. Templates can't be renamed or edited, so to change one, save a new one and delete the old one.
If it doesn't work
- There's no Use Template button. The division already has a schedule (Use Template is offered only before one is created), the division isn't ready for Create yet (see Why can't I create my schedule?, below), the league is archived, or your plan or admin role doesn't include Templates.
- The template isn't in the Template list. Something in What has to match differs. Compare the template's row on Scheduling Templates with the division: Teams, Games, TS, GPW and, with an odd number of teams, Play Bye. The 2 Game Configuration isn't shown there but must match too. Change the division's setup, then open 4 Create Schedule again.
- There's no Save As Template button. The division has no schedule yet, it's a Single Games division, the league is archived, or your plan or role doesn't include Templates. While Auto Resolve is running, the button is grayed out.
- "Template Name required." Type a name in Template Name, then click Save.
- "Template selection is required." Choose a template in the Template list, then click Create.
Good to know
- A template stores each game's week, time slot and team positions, not dates, times, locations or team names. The new division's Day of First Game, time slots and teams fill them in.
- Teams take the template's places in the order they're listed on the division's 2 Teams page, so the first team listed plays the first team's games. Games go into the time slots in the same order as in the original division, so set up the new division's time slots the same way (the same days and times, with the same number at each time) to keep the pattern.
- A template copies every game on the schedule, canceled games included, so save it from a clean schedule, before games are canceled or rescheduled.
- When you create a schedule from a template, weeks blocked with Block A Week are still skipped, but time slots you turned off for particular dates in the Time Slot Schedule on 3 Time Slots (white circle icons) are not. Check those dates after you create the schedule.
- Templates belong to your organization. Admins whose role includes Templates can use them in any of your divisions; other organizations can't see them.
- A template isn't the same as a Division Schedule Import file. The import loads specific games with dates; a template is a reusable pattern. To turn a schedule made somewhere else, such as a matchup grid, into a template, import it into a division with the Division Schedule Import, then save it as a template on that division's 4 Create Schedule page. Placeholder dates and times are fine, as long as each game falls in the week you want, because week numbers are counted from the Day of First Game.
- Divisions that use Auto Assign choose their template in the Template list on the division's Auto Assign page, which lists all of your saved game templates. With none chosen and 1 game per week, Auto Assign uses a built-in template when one fits.
- When TeamSideline can't build a Double Header/Different Team schedule itself, a template saved from a schedule with the same setup is one way to create it.
