Turn on Practice under Division Schedule Types on the division's 1 Configuration page, then add practices on 4 Create Schedule > Practice. Add A Practice creates one practice or a weekly recurring series for a team; Add Rolling Practice rotates teams through up to 10 practice slots week by week.
Applies to: Admins and schedulers · All plans · League divisions (tournament divisions have no practice schedule)
Where: Schedules > Leagues & Divisions > (division) > 4 Create Schedule > Practice
Before you start
- Add the division's teams on 2 Teams, and your practice locations in Schedules > Locations > Manage Locations. Practices can use any of your organization's locations.
- Time-saver: in Schedules > Configurations > Sport Defaults, tick Practice and set Show Practice Section for the sport. Divisions you add later for that sport start with those settings.
Step 1: Turn on the practice schedule
- Go to Schedules > Leagues & Divisions.
- Open the division.
- Go to 1 Configuration > Scheduling.
- Under Division Schedule Types, tick Practice.
- Click Save.
A division can have a practice schedule without a regular season: with Regular unticked, Practice or Playoff must be ticked.
Step 2: Add practices
Go to 4 Create Schedule > Practice.
Add A Practice (one practice or a recurring series)
- Click Add A Practice.
- Choose the Team and the Location.
- Choose the Practice Start Time and Practice End Time (in 5-minute steps).
- Under Practice Date(s), choose Recurring Practice and enter the Start Date, End Date and Recurring Day(s), or choose One Time Practice and pick the date.
- Optional: type a Comment. Families see it with the practice on the division's schedule page.
- Click Add.
A recurring series can cover up to 180 days and creates at most 100 practices. Recurring practices show a recurring icon in the practice list.
Add Rolling Practice (teams take turns with practice times)
Each slot is a practice time and place, with the team that gets it in the first week. Every week after the start date, each team moves down one slot and the last team moves to Slot 1. With 10 teams in 10 slots, every team practices in every slot once over 10 weeks.
- Click Add Rolling Practice.
- Under Date Range, enter the Start Date and End Date (180 days at most).
- Choose the Practice Duration in minutes.
- In Slot 1, choose the first week's team, then the location, day and start time.
- Fill in Slot 2 the same way, and more slots if you need them (up to Slot 10). At least two slots are required.
- Optional: tick Bye on a slot. The team in that slot doesn't practice that week, and the bye moves to a different team each week.
- Click Add.
What you'll see: "Rolling practice assignments added." and the new practices in the list.
What you'll see on the Practice page
- The list shows each practice's Team, Date, Start Time, End Time and Location, with icons to Edit, Delete, or Delete All Recurring (the whole series). Show Comments shows or hides the comments.
- To delete several practices at once, tick them (the header checkbox selects all) and click Delete Selected.
- A Configuration Note at the top says whether Show Practice Section is set to show or hide this division's practices.
- If practices are already published to Team Sites, an Important Note says that changes to the practice schedule update the published Team Sites automatically.
Practice conflict warnings
When Practice Conflicts is Yes in Schedules > Configurations > General (Schedule Messaging: "Show Practice Conflict warnings on Practice and Schedule pages"), the Practice page warns you when a practice overlaps:
- something else booked at the location: "[Team]'s practice on [date] from [start] to [end] has a location availability conflict with [event] on [date] from [start] to [end]."
- one of the team's Regular or 2nd Half games: "[Team]'s practice on [date] from [start] to [end] has a schedule conflict with [Home] vs [Away] ([Division]) on [date] from [start] to [end]."
4 Create Schedule also flags games that clash with a team's practice as PC (Practice Conflict). These are warnings only: the practices are saved, so edit or delete the ones you need to move.
Show practices to families
- Website: on 1 Configuration > Display, set Show Practice Section to Show Above Schedule or Show Below Schedule (or Do Not Show), then save.
- Team Sites: for a league linked to a registration program, go to Programs > Manage Programs > (program) > 5 Team Sites and click the Publish Practice Schedule icon in the Practice column for each team.
Import practices from a file
- Go to Administration > Import Data and click Practice Schedule Import. Its Sample File and Instructions are in the same list.
- Choose your file, tick Includes Headers if the first row has column names, choose the League and Division, and click Next Step.
- Match each TeamSideline Field to a column in your file and click Next Step.
- Review the messages, then click Queue Import.
Required columns: Date (MM/DD/YYYY or M/D/YY), Start Time and End Time (8:00, 08:00 or 8:00 AM), Schedule Name (the location's Schedule Name on the Locations page) and Team Name (exactly as on 2 Teams). Comments are optional. Each import covers one division, and turns on Practice for that division if it isn't on yet. Every row needs a real location: unlike the league schedule import, the practice import doesn't accept "TBD" as a Schedule Name. Review the results on 4 Create Schedule > Practice.
If it doesn't work
- "This division does not have a Practice schedule enabled." Tick Practice on 1 Configuration > Scheduling and save (Step 1).
- There's no Practice option under 4 Create Schedule. Tick Practice on 1 Configuration > Scheduling (Step 1). The option also needs the Schedules 4 Schedule SubMenus permission in your admin role.
- Practices don't show on the website. Show Practice Section is set to Do Not Show, which is the default for new divisions unless Sport Defaults say otherwise. Change it on 1 Configuration > Display.
- "Slot Definition Incomplete." Add Rolling Practice needs at least two complete slots (team, location, day and time, or a team with Bye), and every slot that has a team must be complete.
- "Start and End Date period greater than 180 days." Shorten the date range, or add a second series for the rest of the season.
- "At least one Day must be selected if a Recurring Practice has been selected." Tick at least one Recurring Day(s) box.
- "Invalid practice start time. Must be a 5 minute increment." Use times such as 6:00 or 6:05.
- "The Practice Start Time cannot be greater or equal to the Practice End Time." Make the end time later than the start time.
- The Practice box on 1 Configuration is grayed out. It can't be turned off once the division has practices, and can't be changed for an archived league.
- Import: "The team name '[name]' can not be matched to any known teams within the league and division you selected." or "The location '[name]' can not be matched to any known locations." Correct the Team Name or Schedule Name in your file to match TeamSideline exactly.
Good to know
- Coaches can add, change or remove their own practices when Practice Changes is on under Coach Sign-In in Schedules > Configurations > General (Enhanced plan and up). See How to add a Practice Schedule as a Coach.
- On Practice Change (1 Configuration > Communication) controls whether communications are sent when the practice schedule changes.
- After you create the regular schedule, check the conflict warnings for days with both a practice and a game.
