To take card payments in TeamSideline, your organization completes a Payrix merchant application. Ask TeamSideline Support at support@teamsideline.com for the application link, fill in its four sections (Business, Owner, Bank, and Terms & Conditions) and click Sign Up. After Payrix approves the account, TeamSideline Support connects it to your site.
Applies to: Admins and treasurers setting up card payments · All plans · Organizations applying for a Payrix merchant account
Where: The merchant application link from TeamSideline Support. After approval, the gateway is listed under Administration > Subscription > Payment Gateways.
Before you start
- Your organization's legal name and EIN, exactly as they appear on your IRS paperwork.
- The physical address on file with your state's Secretary of State. Payrix doesn't accept a P.O. box.
- Details for the person responsible for the account, usually an officer such as the President or Treasurer: name, phone, email, date of birth, Social Security number, title and home address.
- The bank account for deposits: your online banking sign-in (to link it through Plaid) or its routing and account numbers.
- Your expected yearly card volume and a typical payment amount.
Choose the right application
| If your organization is | Use |
|---|---|
| Recognized by the IRS as tax-exempt, such as a 501(c)(3) | The Non-Profit application |
| Owned and operated directly by a city, county, school district or other government agency | The Government application |
| Anything else, such as an LLC, corporation, partnership or a club without tax-exempt status | The Business application |
Which Payrix application applies, and why government-entity status may be denied explains the choice in more detail.
Complete the application
Business section
- Open the application link from TeamSideline Support.
- Under Business Overview, enter:
- Country: United States.
- Business Type: how your organization is legally set up.
- Legal Business Name: exactly as it appears on your tax returns.
- DBA - Statement Descriptor: the name families see on their card statements, or check the box if it's the same as the legal name.
- Industry: nonprofits enter 8398; others choose the closest category.
- TIN Type: EIN. TIN: your organization's EIN.
- Business Phone, Business Email, Business Website and Customer Service Phone.
- How does the business primarily take payments: Customer Enters Payment Online.
- Under Business Details, enter a description for your bank statement (we suggest TeamSideline), a short description of what you charge for (for example, softball league registration), your Annual Processing Volume and your Average Transaction Amount. If registrations cost $200 to $300, enter about $250; it doesn't have to be exact.
- Under Business Address, enter the address on your legal business paperwork. It must match what's on file with the Secretary of State, and every nonprofit must have a principal address there; your state's business entity search website shows it.
- Under Account Login, create a unique username and a password. You'll use them to sign in to the Payrix portal at payments.teamsideline.com; they're separate from your TeamSideline sign-in.
Owner section
- Under Owner Information, enter the responsible person's First Name, Last Name, Phone Number, Email Address, Country, Date of Birth, SSN and Business Title. Nonprofits fill this in too.
- Under Owner Address, enter that person's home address.
- If the business has other owners, click Add Additional Owner and repeat steps 6 and 7 for each one.
Bank section
- Under Enter Banking Account Information, choose Link Existing Bank Account to sign in to your bank through Plaid, or Enter Bank Info Manually to type the account details. Use the account where deposits should go.
Terms & Conditions section
- Open each Terms & Conditions link, check the boxes to agree, and click the blue Sign Up button.
Screenshot: the Terms & Conditions section with the Sign Up button.
To stop and come back later, click Finish Later. You'll be asked to confirm your email address, and a one-time code is sent so you can come back and finish.
What happens next
- Payrix reviews the application. If it needs documents to verify your organization, address, bank account or owner, TeamSideline Support emails you exactly what to send.
- When Payrix approves the account, TeamSideline Support connects it to your site as a payment gateway.
- Tell Support whether your organization or your customers pay the processing fee. If you don't choose, customers pay it.
- Sign in at payments.teamsideline.com with the username and password you created, confirm your email address, and turn on the email alerts for deposits and chargebacks.
What you'll see: admins with the Billing role find the gateway under Administration > Subscription > Payment Gateways, shown as your legal name, doing business as your DBA, with your Payrix merchant ID and the status Connected. Card payments made on your site then go to your merchant account.
If it doesn't work
- The code to finish later doesn't arrive. Check your spam folder and the email address or phone number you entered, wait a few minutes and try again, or try another browser. TeamSideline can't see or resume a partly completed application, so if the code never arrives, start a new application.
- The address is rejected. It's probably a P.O. box. Enter the street address on file with your state.
- Plaid can't connect to your bank. Close the Plaid window and choose Enter Bank Info Manually instead.
- Your username is already taken. Payrix usernames must be unique. Choose another one.
- Your organization doesn't have an EIN. Contact TeamSideline Support before you apply.
- Payrix asks for documents after you apply. See Payrix verification: which documents are required and how to submit them.
Good to know
- Payrix asks for the owner's Social Security number and date of birth to verify that person's identity, as federal rules require. It doesn't make them financially responsible for the organization; the organization's EIN is used for tax reporting.
- Enter personal and bank details only in the application. Never send them to anyone by email; if TeamSideline Support needs more information, they send you a secure link.
- Card statements may show a shortened version of your DBA - Statement Descriptor. If a family says they were charged by an organization they don't recognize, contact TeamSideline Support right away so the payment setup can be checked.
- Each additional payment gateway, for example a separate bank account for an associated organization, needs its own merchant application. A change of legal entity or EIN also needs a new application. Ask TeamSideline Support.
