Every online card payment processed through Payrix carries a processing fee: a percentage of the amount charged plus a fixed fee per transaction. TeamSideline's standard Payrix rate is 2.95% + $0.30. Depending on how TeamSideline set up your account, either your organization pays the fee out of each payment, or customers pay it as a Processing Fee added at checkout.
Applies to: Org admins and treasurers · All plans · Organizations that take card payments through Payrix
Where: Reports > Report Exports > Settlement Item Detail (the fees on each payment); the Processing Fee line at checkout (what customers see)
How the fee is figured
- Percentage fee: a percent of the amount charged, rounded to the cent.
- Transaction fee: a fixed amount once per card payment, so a family paying for several registrations in one order pays it once.
- Only card payments have a processing fee. Check, cash and other payments you record, and $0 orders, have none.
- Your organization's rate is in your Payrix agreement. If it differs from the standard rate, use your rate in the examples below.
Option 1: Your organization pays the fee
Customers pay your listed price, and the fee comes out of the money Payrix sends you. Customers don't see a Processing Fee.
- Example: a $100.00 registration has a fee of $3.25 (2.95% of $100.00 is $2.95, plus $0.30), so your organization receives $96.75.
- To receive $100.00, charge $103.35. The fee on $103.35 is $3.35 ($3.05 plus $0.30), which leaves $100.00.
Option 2: Customers pay the fee
A Processing Fee is added to each card payment, and your organization receives the full order amount.
- Example: on a $100.00 order the Processing Fee is $3.25, so the customer pays $103.25 and your organization receives $100.00.
- Customers see "Each credit card order will incur a processing fee." in their cart, a Processing Fee line above Order Total (USD) at checkout, and the fee on their order confirmation and in their order history.
- When a customer pays only part of an order now (Partial Pay) or pays toward a balance, the fee is figured on the amount paid now.
- When you key in a card payment yourself with Place Order, the same Processing Fee is added at checkout. A payment taken on a card terminal has no Processing Fee.
TeamSideline sets which option your organization uses. To change it, contact TeamSideline Support. The change applies to payments made after it's made.
American Express and Discover
- Visa and Mastercard are always accepted. American Express and Discover are accepted only when TeamSideline turns them on for your payment gateway; ask Support to add them. Checkout shows the logos of the cards you accept.
- American Express payments cost more: 3.25%. If your organization pays the fees, American Express payments are charged 3.25% and other cards 2.95%. If customers pay the fee, the Processing Fee uses one rate for every card, so accepting American Express means 3.25% on all card payments.
Refunds, voids and chargebacks
- Processing fees aren't returned when you refund. With Option 1, refunding a $100.00 payment in full costs your organization the $3.25 fee, or you can refund $96.75 so the customer bears it. With Option 2, refunding $100.00 leaves the customer's $3.25 Processing Fee unrefunded, and returning $103.25 means your organization covers the fee. Your refund policy decides which.
- A payment voided before it settles isn't charged a fee. Refunding the full amount of a payment that hasn't settled yet voids it.
- Payrix charges a $20 fee for each chargeback (a dispute a cardholder opens with their bank).
If it doesn't work
- A customer was charged no Processing Fee. Your organization pays the fee (Option 1), or the customer paid by check, cash or another offline method, which has no fee.
- A customer's card is refused with "Credit Card Type selection is invalid." Your payment gateway doesn't accept that card, usually American Express or Discover. Ask TeamSideline Support to turn it on, or have the customer use another card.
- A payout is smaller than the payments you expected. Fees, refunds and chargebacks are taken out first. Compare the Gross, Fees and Net columns in the Settlement Item Detail export.
Good to know
- Fees are taken out before Payrix sends you a payout. The Settlement Item Detail export under Reports > Report Exports lists each payment's Gross, Fees and Net.
- Online payments in TeamSideline are by card only; families can't pay by ACH or bank draft.
- Payout timing is explained in Payrix payouts: when deposits arrive and why refunds can debit your bank. Ask TeamSideline Support about your account's payout schedule.
- TeamSideline Support can't refund processing fees.
