The person who owns your organization's Payrix account changes the bank account your deposits go to, in the Payrix portal at payments.teamsideline.com, under Profile > Banking. Payrix then holds your payouts for 3–5 business days while it validates the new account, and it may ask for a document that shows the new account number.
Applies to: The Payrix account owner, often the treasurer · All plans · Organizations that take card payments through Payrix
Where: payments.teamsideline.com (the Payrix portal) > Profile > Banking; in TeamSideline, Administration > Subscription > Payment Gateways > Manage opens the portal
Who can change the bank account
- Each Payrix account has one owner login, and only that person can change the bank account in the portal. The owner is the Contact shown for your gateway on Administration > Subscription > Payment Gateways.
- Bank details aren't kept in TeamSideline, so no TeamSideline admin role, Administrator included, can change them.
- If the owner has left your organization, change the owner first: see Changing Your Organization's Financial Administrator or Owner (Payrix).
- If your organization has more than one payment gateway, for example one for an associated organization, each is a separate Payrix account with its own owner and bank account. Change each one on its own.
Change the bank account
- Go to payments.teamsideline.com. Or, in TeamSideline, go to Administration > Subscription > Payment Gateways and click Manage on the gateway. The portal opens in a new tab.
- Sign in with your Payrix username and password. They're separate from your TeamSideline sign-in.
- Click Profile in the upper-right corner. The picture below shows where it is.
- Click Banking on the left, then the edit icon next to the bank account number. The picture below shows the Banking page and the edit icon.
- Choose how to update the account; the picture below shows the choices. Signing in to your bank, where it's offered, lets Payrix confirm the new account right away. If you type the routing and account numbers instead, Payrix validates them and may ask for a document.
- Follow the prompts to finish. Edit your current account to replace it, rather than adding a second account, and enter the account number, its confirmation and the routing number together in one save.
What you'll see: the new account on the Banking page. Payrix holds your payouts for 3–5 business days while it validates the account, then sends them to the new account on your usual payout schedule.
If Payrix asks for a document
When Payrix can't confirm the new account on its own, TeamSideline Support emails you what it needs, with a secure link to upload it. The document must show the bank's name, your organization's name and the full routing and account numbers:
- A bank verification letter.
- A voided business check: not a starter or temporary check, and not a direct-deposit form. Don't let the word VOID cover the numbers.
- A bank statement, generally no more than 60 days old.
A document that doesn't show the full account number is rejected. Payrix verification: which documents are required and how to submit them explains how to send documents and what Payrix accepts.
If it doesn't work
- You can't sign in to the portal, or don't know your username. The portal doesn't take your TeamSideline email and password. See How do I log in to payments.teamsideline.com (Payrix) or reset my password?
- The owner can't sign in (for example, they've left), or the bank fields can't be edited. Contact TeamSideline Support. Support can submit the change to Payrix with a voided check or a bank letter for the new account, which you upload through the secure link Support sends. Payrix may then validate the change, and it may still need the account owner's approval.
- Payment Gateways isn't under Administration > Subscription. It shows only for admins with the Billing role. Go straight to payments.teamsideline.com instead.
- Your deposits stopped after the change. That's Payrix's validation hold: 3–5 business days, and longer until Payrix has any document it asked for. Check your email, including spam, for a request from TeamSideline Support. Payouts resume once Payrix approves the change. If you need the held money sooner, ask Support, who can ask Payrix about a one-time payout.
- A payout was returned because the old account was closed or the number was wrong. The money goes back to your Payrix balance, and TeamSideline Support lets your account's contact know. Change the bank account as above. Once Payrix validates the new account, the returned amount goes out with a later payout, and Reports > Report Viewer > Settlements - Payrix shows it in that payout's Payrix Adjustments line.
Good to know
- Changing the bank account doesn't change who owns the Payrix account, and changing the owner doesn't change the bank account.
- Change the account before you close the old one, so no payout goes to a closed account.
- Payrix can't send payouts to a PayPal account. Use a bank account.
- Never email bank account numbers, Social Security numbers or passwords to TeamSideline. When Support needs a document, it sends you a secure upload link.
- To get an email when a payout is sent, fails or is returned, turn on the disbursement alerts in the portal: see How to set up your Payrix Notifications.
- You can follow your deposits in TeamSideline without the portal, in Reports > Report Viewer > Settlements - Payrix.
