Open the member's account and click Suspensions. On the General tab, Add Suspension suspends one person in one program between two dates. On the Soccer tab, Add Card records a card, such as a yellow or red card, and Suspend marks the account holder suspended until you remove it.
Applies to: Admins whose role includes Card Tracking · All plans, with the Member Passes module (TeamSideline turns on card tracking) · All program types
Where: Customers > Account Management > Search > (account) > Suspensions; Customers > Configurations > General (Suspension Configurations); Reports > Report Exports > Card Tracking Detail
Before you start
- The Suspensions tab shows only for admins whose role includes Card Tracking. If your organization doesn't have card tracking yet, contact TeamSideline Support.
- TeamSideline sets up the lists on this tab. Suspension Reason on the General tab always offers General, and your organization's Card Type and Suspension Type lists on the Soccer tab are added by TeamSideline Support. There's no page where admins add or change these values.
- Pick the tab that fits what you're recording:
| General tab | Soccer tab | |
|---|---|---|
| Who it's for | Any member of the account: a player, or an adult who plays or volunteers | The account holder, the adult who owns the account (for example in an adult league where players register themselves) |
| What you record | A suspension for one program, with the date it was issued, the date it expires, a reason and notes | Cards (date issued, an optional expiry date, card type, an optional program and notes), and a suspension with a type |
| When it ends | By itself, once its Date Suspension Expires has passed | When you click Remove |
| Where it shows | The person's Member Pass and picture rosters for that program | The family's Card History page, the Card Tracking Detail export and the account holder's own Member Passes |
Suspend someone for a program (General tab)
- Go to Customers > Account Management > Search and find the account.
- Click the account holder's name, then click the Suspensions tab.
- On the General tab, click Add Suspension.
- In Program, choose the program the suspension is for. Only programs that aren't archived are listed.
- In Participant, choose the person.
- In Participant Type, choose Player for a player. For an adult, choose General (an adult who plays) or Volunteer (a coach or other volunteer).
- Enter the Date Suspension Issued and the Date Suspension Expires.
- Choose the Suspension Reason and type the Suspension Notes. Every field is required.
- Click Add.
What you'll see: the suspension in the list under its program, with Date Issued, Date Expires, Participant and Reason. The person's Member Pass for that program shows a red SUSPENDED header right away.
End a suspension early or correct one
A General-tab suspension can't be edited. To end it early or fix a mistake, click the red X (Delete Suspension) on its row and confirm "Are you sure you want to delete the suspension on (date) for (name)?" Then add a corrected suspension if you need one. A suspension that has expired stays in the list as a record.
Record a card (Soccer tab)
- On the account's Suspensions tab, click Soccer.
- Click Add Card.
- Enter the Date Card Issued. Optionally, enter the Date Card Expires, the day the card stops counting.
- Choose the Card Type, such as Yellow or Red.
- In Program, choose the program the card was given in. It's optional, but a red card counts on Member Passes only when it has a program.
- Optional: type Notes.
- Click Add.
What you'll see: the card in the list under its program, with Date Issued, Date Expires, Card Type and Notes. The form clears for the next card, except Date Card Expires, which keeps the last date you entered, so check it before you add another card.
To change a card's notes, click its pencil icon (Edit Card), change Notes and click Save. To change anything else, delete the card with its red X (Delete Card) and add it again.
Suspend the account holder (Soccer tab)
- On the account's Suspensions tab, click Soccer, then Suspend.
- Choose the Suspension Type and click Update.
What you'll see: a red box that reads "(name) is currently suspended (type)." This suspension has no dates. To lift it, click Remove in the red box.
Let families see their cards (Card History)
- Go to Customers > Configurations > General.
- Under Suspension Configurations, set Show Card Page to Yes.
- To show your card notes too, set Show Card Notes to Yes.
- Click Save.
Families then find My Account > Card History when they sign in to your website. It shows the account holder's Soccer-tab suspension in red and the account's cards by program, with Date Issued, Date Expires, Card Type and, if you allow it, Notes. General-tab suspensions don't appear on this page.
Export cards and suspensions
- Go to Reports > Report Exports and click Card Tracking Detail.
- Choose a Program, or All Programs.
- Enter the Date Range. Both dates are required.
- Choose the Columns and the Export Type.
- Click Export.
The file lists the Soccer-tab cards issued in that date range and the account holders under a Soccer-tab suspension. General-tab suspensions aren't in it; check those on each account's Suspensions tab.
What you'll see on Member Passes and rosters
- A General-tab suspension puts a red SUSPENDED header on the person's Member Pass for that program until its Date Suspension Expires has passed. Their passes for other programs aren't marked.
- A Soccer-tab suspension marks the account holder's own passes.
- A red card with a program turns the status bar red on the online passes for that program in that account (the page a pass's QR code opens) until its Date Card Expires. A red card with no expiry date keeps counting.
- Picture rosters mark a suspended player as Suspended.
- A pass can also show the Card Count, Card Expires, Suspension Issued, Suspension Expires and Suspension Reason fields when you add them to it.
The screenshot below is an example of a suspended member's pass, with the red SUSPENDED header across the top.
If it doesn't work
- There's no Suspensions tab on the account. Your admin role doesn't include Card Tracking, or your organization doesn't have card tracking. Ask an admin who manages roles, or contact TeamSideline Support.
- The Card Type, Suspension Type or Suspension Reason list is empty, or the value you need isn't there. TeamSideline adds these values for your organization; contact TeamSideline Support.
- The program isn't in the Program list. Archived programs aren't listed.
- Participant Type has nothing to choose. Choose the Participant first; the list fills in for that person.
- "Program is required.", "Participant is required.", "Participant Type is required.", "Date Suspension Issued is required.", "Date Suspension Expires is required.", "Suspension Reason is required." or "Suspension Notes are required." Fill in that field and click Add again.
- "Date Suspension Expired can't be less than Date Suspension Issued." The expiry date is before the issue date. Correct one of them.
- "Date Card Issued field required.", "Card Type field required." or "Suspension Type field required." Fill in that field. "Date Card Expired can't be less than Date Card Issued." means the card's expiry date is before its issue date.
- A pass doesn't show SUSPENDED. The suspension is for a different program, its Date Suspension Expires has passed, or it's a Soccer-tab suspension and the pass belongs to someone other than the account holder. A team's Print Member Passes printout and the Report Viewer's Member Passes report show SUSPENDED only for a Soccer-tab suspension: to check a General-tab suspension, print the person's own pass from their Enrollments tab or open the online pass.
- A child's pass shows "Yellow: 0 / Red: 0" although the account has cards. Soccer-tab cards are recorded on the account holder, so the Card Count and Card Expires fields count them only on the account holder's own registrations.
- Families don't see Card History. Set Show Card Page to Yes. Card History never shows General-tab suspensions.
Good to know
- Suspensions and cards are records. They don't stop anyone from registering or being placed on a team; they show on passes, rosters and Card History so your staff can act on them.
- A General-tab suspension can be for any program that isn't archived, including one the person isn't registered in. It only shows on passes and rosters for that program.
- Pass colors are fixed: a red SUSPENDED header for a suspension, and a red or green status bar for the pass's other checks, a red card among them. Your organization can't choose its own colors.
- Changes to suspensions and cards are recorded in Administration > Manage Users > Activity Log (Enhanced plan and higher).
