Recipients unsubscribe themselves: every email your organization sends through TeamSideline ends with an unsubscribe link, and clicking it stops your organization's emails to that address. Admins can't add an unsubscribe in TeamSideline, so if someone asks to be removed and can't use the link, send their email address to TeamSideline Support, who can opt it out of your organization's emails for you.
Applies to: Org admins · All plans · Emails sent from your admin site, such as Send Communication emails, order confirmations and schedule changes
Where: The unsubscribe link at the bottom of each email; Communications > Email Filters (find and delete filters only)
How the unsubscribe link works
- At the bottom of your organization's email, the recipient clicks the link in "If you no longer wish to receive email from (your organization) please click here to unsubscribe."
- The Email Notifications page opens and shows the Email Address the email was sent to, with this note: "(Your organization) uses TeamSideline to communicate with you by email. However, if you no longer wish to receive emails from (your organization), click the Unsubscribe button below to be removed from all future emails."
- The recipient clicks Unsubscribe.
What they'll see: "Your email address has been removed from all (your organization) communications."
What you'll see: TeamSideline adds an Opt Out email filter for that address and your organization, and your organization's emails to the address stop from then on. The address shows a red flag in your rosters and account pages, and the Filter Type column in Communication Logs shows Opt Out for it. Other organizations that use TeamSideline keep emailing the address.
Two different unsubscribe links
| Footer link | What it stops | |
|---|---|---|
| Emails from your organization: Send Communication emails, order confirmations, schedule changes, volunteer emails and other emails from your admin site | "If you no longer wish to receive email from (your organization) please click here to unsubscribe." | Your organization's emails to that address |
| Emails from TeamSideline.com: messages coaches send from team sites, and game and practice reminders | "If you no longer wish to receive email from TeamSideline.com, please click here to unsubscribe." | All TeamSideline emails to that address, including yours. The page warns: "This action will remove you from all TeamSideline, Team Site, and Associated Organization communications." |
Unsubscribing from your organization's emails doesn't stop team-site messages or reminders, because those come from TeamSideline.com.
Remove someone who asks to stop getting your emails
- Ask the person to click the unsubscribe link at the bottom of any email from your organization. Unsubscribing is their choice, and it works right away.
- If they can't use the link, email TeamSideline Support at support@teamsideline.com with the email address or addresses and ask to opt them out of your organization's emails. Support can add the opt-out for your organization.
- Until then, leave them out of your sends: on Communications > Send Communication, check the list, click its arrow to expand it, and uncheck the person. If they're in a Custom Contact List, delete them from it on Communications > Custom Contact Lists.
Communications > Email Filters only finds and deletes filters ("Use this page to review and delete Email Filters."). It has no control to add an unsubscribe.
Undo an unsubscribe
Remove an unsubscribe only when the person asks you to.
- The person removes it: they sign in on your website, go to My Account > My Profile, click Edit next to their Email Address and delete the Opt Out filter. See Why Am I Not Receiving TeamSideline Emails? below.
- An admin removes it: go to Communications > Email Filters, search for the address and delete the filter. The steps are in How to remove an email filter on a customer's email addresses? below.
- They used a TeamSideline.com link: that unsubscribe stops every organization's emails. The person removes it by signing in at TeamSideline.com, clicking their name at the top of the page and clicking Edit next to Email Address.
Bounces and spam reports
Besides unsubscribes, TeamSideline adds filters automatically as soon as the email service reports a problem: a Bad filter when an email to the address bounces, and a Marked As Spam filter when the recipient reports an email as spam. These stop emails to that address from every organization. What each filter means, and where the red flag shows, is in What does the red flag next to an email address mean? below.
If it doesn't work
- Someone unsubscribed but still gets emails. If they're team-site messages or reminders, they come from TeamSideline.com: the person uses the unsubscribe link in one of those emails, or turns off reminders in their TeamSideline.com account. If the emails go to another address, such as a second parent's address on the account, each address unsubscribes on its own.
- The person says the unsubscribe link didn't work. Send the address to TeamSideline Support, who can add the opt-out for your organization.
- A member says they never unsubscribed. The link works without signing in and unsubscribes the address the email was sent to, so anyone who clicks it in a forwarded copy unsubscribes the original recipient. Confirm with the member, then remove the Opt Out as described above.
- You can't find a way to add an unsubscribe in Email Filters. That's expected. Use the person's own link or TeamSideline Support.
- Many addresses got red flags right after one email. Contact TeamSideline Support. They can look into what happened and check your organization's sending setup.
Good to know
- Unsubscribing from email doesn't stop text messages, and replying STOP to a text doesn't stop email. Members opt out of texts by replying STOP.
- To see everyone with a filter, export Reports > Report Exports > Account Information with the Email Filter column. For one email you sent, the Filter Type column in Communication Logs shows which recipients were filtered.
- Unsubscribes aren't removed in bulk. Each one is the person's own choice about their email.
- Emails that look like spam, such as an all-caps subject, a message that's only a picture or very little text, are more likely to land in spam folders and be reported as spam, which adds Marked As Spam filters.
