A red flag next to an email address means the address has an email filter, so TeamSideline isn't sending emails to it. Filters are added automatically, for example when an email to the address bounces, when the person unsubscribes or when they mark an email as spam. Hover over the flag for details.
Applies to: Org admins, coaches and members · All plans · Legacy and Editor 2.0 websites
Where: Rosters, account pages and team contacts on the admin site and team sites; Communications > Email Filters
What each filter means
| Filter | What happened | Whose emails it stops |
|---|---|---|
| Bad | An email to the address bounced, usually because it's misspelled or doesn't exist, or the address isn't a valid email format. | Every organization that uses TeamSideline |
| Opt Out | Someone clicked the unsubscribe link in an email sent to the address. | Your organization only, when the link was in one of your organization's emails. All TeamSideline email, when the link was in a TeamSideline.com email, such as a team site email. |
| Blocked | A spam filter or firewall is blocking TeamSideline emails, for example for everyone at a school or company. | Every organization |
| Mailbox Full | Emails came back because the mailbox is full. | Every organization |
| Marked As Spam | The person marked a TeamSideline email as spam in their email program. It may show as "Email recipient flagged email as spam". | Every organization |
Where you'll see it
- Team site rosters: the flag's tooltip reads "This email address is either invalid (entered wrong), or, is not accepting TeamSideline emails. A Roster Staff member needs to review the entry and correct if needed." followed by the filter in parentheses, for example (Bad). For a member who keeps their details private, only team staff see it.
- Admin rosters and accounts: on program rosters and a customer's Account Overview (Customers > Account Management), the tooltip reads "This email address is either invalid (entered wrong) or is not accepting TeamSideline emails." Team contacts on a division's 2 Teams page use similar wording that also mentions blocked and mailbox full.
- Send Communication: in a Custom Contact List, a filtered contact is grayed out and can't be selected. Hover over it to see "Filtered, Filter Reason:" and the filter.
- Communication Logs: open a communication. The Filter Type column in the Email Recipients table shows which emails weren't sent and why.
- Your own address: when you sign in, you see "Your email address is currently not receiving emails.", and on My Account > My Profile the Edit button next to your Email Address shows the red flag.
See every address with a filter
- Go to Reports > Report Exports and click Account Information.
- Under Columns, move Email Filter, plus the name and email fields you need, from Available fields to Show these fields in this order.
- Choose an Export Type and click Export.
What you'll see: a file with an Email Filter column that shows each filtered account's filter. The Communication Log report has an Email Filter Type field for the emails in each communication.
Removing a filter
Members: remove a filter from your own address
- Sign in on your organization's website.
- Go to My Account > My Profile.
- Click Edit next to your Email Address. It shows the red flag when there's a filter.
- In the list of filters (Email Filter, Organization, Created Date), click the red X (Delete) next to the filter, then click OK.
What you'll see: "There are no email filters on your email address."
If you unsubscribed from a TeamSideline.com email, such as a team message or a game reminder, that opt-out stops every organization's emails, but your organization's website doesn't show it. Remove it at TeamSideline.com: click your name at the top of the page, then Edit next to your Email Address.
Admins
Go to Communications > Email Filters, search for the address and delete the filter. The steps are in How to remove an email filter on a customer's email addresses?. That page only finds and deletes filters: admins can't add a filter or opt someone out there.
If it doesn't work
- The red flag came back. Another email to the address bounced, so a new Bad filter was added. Correct the address if it's misspelled before you remove the filter again.
- A member says they never unsubscribed. An Opt Out is added when anyone clicks the unsubscribe link in an email sent to that address, including in a forwarded copy. Confirm with the member before you remove it.
- Emails still don't arrive after the filter is removed. Removing a filter affects new emails only; emails held back earlier aren't resent. Ask the member to check their spam or junk folder, and check the Filter Type column in Communication Logs for your next email.
Good to know
- Members can still read the emails they missed: they sign in at TeamSideline.com and open Communications > Received.
- Email filters don't affect text messages. An opted-in phone still gets your texts.
- Mass removal of email opt-outs isn't permitted. Opt-outs are each person's choice about their communications, so each one is reviewed on its own before a filter is removed.
