4 Create Schedule is where you build and fix a division's schedule. Create, Manual or Use Template makes the games, you change them in the grid or with each game's menu, and nothing is saved until you click Calc & Save, which won't save while a red Critical alert is on the page. Yellow Warning alerts don't stop a save.
Applies to: Admins and schedulers · All plans; some tools need Enhanced and higher or the Advanced Scheduling module, as noted · League divisions (Regular and 2nd Half schedules)
Where: Schedules > Leagues & Divisions > (division) > 4 Create Schedule
Before there's a schedule
- Create builds the schedule from 1 Configuration, 2 Teams and 3 Time Slots. It shows only when the division has a Day of First Game, at least 2 teams and enough time slots; otherwise an "Important Note" says what's missing.
- Manual: choose Weeks and Games Per Week and click Create to get rows you fill in yourself.
- Use Template (Enhanced and higher): pick a saved template and click Create. The list shows only templates that match this division's setup.
A new schedule isn't on your public site until you click the division's eye icon on Leagues & Divisions.
Buttons
| Button | What it does |
|---|---|
| Calculate | Rechecks the schedule and its alerts with your changes, without saving. Refresh the browser page to go back to the saved schedule. |
| Calc & Save | Recalculates and saves: "The Schedule has been calculated, saved, and is shown below. You can now view this schedule on the Standings & Results page." It won't save while a Critical alert remains. Neither Calculate nor Calc & Save rebuilds or reshuffles your games. |
| Delete | Deletes this schedule after "Are you sure you want to delete this Schedule?". Needs the 4 Create Schedule Delete permission; hidden once a game has a score. |
| Toggle View | Switches the grid between Week and Time Slot columns (the default) and Time and Location columns, where you type each game's date and time and pick its location. |
| Toggle Group | Lets you collapse and expand each week. |
| Display | Team Name shows only the teams you pick; Show Game # puts the game number under the date; Show Team # shows a temporary number beside team names. Click Apply. |
| Add Game | Adds one game: Week, Time Slot, Home and Away, then Add. |
| Block A Week | Week (Week Of), Block Reason and Block Result: "Move Games To Additional Week At End of Schedule" or "Push All Games Out One Week". Needs the 4 Create Schedule Block Week permission. |
| Save As Template | Enhanced and higher. Saves this schedule under a Template Name for divisions with the same setup. |
| Auto Resolve | Enhanced and higher. See Auto Resolve below. |
| MT Coaches | Enhanced and higher. Opens the Multi-Team Coaches page; shows only when Multi-Team Coach checking is on and this division has coach conflicts. |
| Clear Filters | Enhanced and higher. Shows the warnings you hid again; appears only while some are hidden. |
Change games
- Default view: each game has Week, Time Slot, Home and Away lists. Each time slot starts with + (the location is free then that week) or - (it isn't: the location is unavailable or another game uses it).
- After Toggle View: edit the date, time and location in the row. A day, time and location that matches no time slot adds a new time slot to the division.
- Drag a game onto another game to swap their dates, times and locations.
- Game menu (the icon at the end of the row): Swap Teams switches home and away; Delete Game removes the game; Edit Game opens Week, Day, Time, Location, Reschedule? and Highlight Game?, saved with Update. A new day, time or location adds a time slot.
- Reschedule? keeps the original as a canceled game with the reason you pick (Canceled, Lightning, Maintenance, No Official, Overtime, Rained Out, Schedule Conflict, Snowed Out or Other) and adds the game at its new time. A game that's already canceled offers only Reschedule Game. Canceled games show struck through, with a note saying when they were rescheduled.
- Highlight Game?: check Yes and choose a color for the game's row. To remove a highlight, open Edit Game, clear Yes and click Update. Reschedule Game on a canceled game has its own Highlight Game? for the new game.
Every change waits for Calc & Save, including Swap Teams and Delete Game. If you leave the page first, your browser warns that your changes may not be saved. Games with a score can't be changed.
Alerts
The top of the page counts Total Alerts, Critical and Warning and lists them; Show More opens the rest.
| Alert | Type | Meaning |
|---|---|---|
| Time Slot Conflict | Critical | A time slot is used more than once in a week. |
| Team Selected Twice | Critical | One team is both home and away. |
| Time Slot Not Selected | Critical | A bye isn't set up as Time Slot "N/A" with Away "Bye", or a game has no time slot. |
| Games Per Week | Warning | A team plays more than its games per week. |
| Overlapping Conflict | Warning | Two games at one location overlap. |
| Availability Conflict, Game Conflict | Warning | The location isn't available then, or another game is booked there. |
| Team Schedule Conflict | Warning | The game breaks a conflict set on 2 Teams. |
| Multi-Team Coach Conflict | Warning | A coach has another game or practice at that time. |
| Rest Period Violated, Game Spacing Violated, Same Day Games | Warning | A team's games are closer together than the division allows. |
| Practice Conflict, Holiday Conflict | Warning | The game overlaps the team's practice, or falls on a holiday. |
| Review Scheduling | Warning | A team's game count differs from Games Played Per Team, or a TBD game has no location. |
| Bye, Bye Removal | Warning | Byes were added for teams not playing that week, or removed when not needed. |
Hide a warning (Enhanced and higher): click the red X on an Availability, Game, Team Schedule, Multi-Team Coach, Rest Period, Game Spacing, Same Day Games, Practice or Holiday warning. It stays hidden for you in this division until you click Clear Filters. Critical alerts can't be hidden. Enhanced and higher can also change alert colors at Schedules > Configurations > Schedule Alert Colors.
Byes
- When a team doesn't play in a week, the page adds a bye for it, and it removes byes that aren't needed.
- To add a bye, use Add Game with Time Slot N/A, Away Bye and the team with the bye as Home. N/A is only for byes: a game whose day, time or place isn't known yet needs a TBD time slot from 3 Time Slots.
- To fix a red alert on a bye, set its Time Slot to N/A and Away to Bye in the default view (click Toggle View if you see Time and Location columns), then Calc & Save.
- To give teams an extra bye, delete a game with Delete Game and click Calc & Save.
Auto Resolve
Enhanced and higher. Auto Resolve moves games so they stop breaking Team Schedule Conflicts and, when Multi-Team Coach checking is on, Multi-Team Coach Conflicts. Locked games stay put.
- Click Auto Resolve.
- Choose any options: All Time Slots (use every time slot on 3 Time Slots), External Weeks (also look in other weeks) and Home Away Alternating (alternate home and away without changing locations). AI Auto Resolve (Elite and Enterprise) doesn't show these: it always uses every time slot and picks weeks itself.
- Click Resolve.
It runs in the background: the page is locked, refreshes every 30 seconds and you get an email when it's done; Cancel Auto Resolve stops it. If it moved games, the page shows the proposed schedule with each game's old week, time and location: click Approve to use it or Reject to keep yours. If the schedule already has scores, its changes are saved right away.
Advanced Scheduling icons
With the Advanced Scheduling module, each game has a Swap Game icon, which opens a page to swap it with another game, and a lock icon ("Unlocked, click to Lock" or "Locked, click to Unlock"). A locked game can't be edited, dragged or swapped until you unlock it.
Distribution tables (schedule graphs)
Below the schedule, Games Per Week, Games Per Team, Opponent, Time, Day and Location Distribution tables show how evenly each team's games are spread. With Enhanced and higher, drag a week's column in Games Per Week Distribution onto another week to swap those weeks' games, then Calc & Save. Gap Identification and Gap Distribution show only for double-header divisions (2 games per week, Double Header/Different Team or Same Team) when TeamSideline has turned on the Gap Distribution Grid for your organization.
Special cases
- Cross divisions: a team from another division shows a Cross Division Team icon, and games from another division's schedule are read-only. Add Game allows one team from another division, but not for a bye. In the second division of a cross division, Create, Manual, Use Template and Delete are hidden.
- Single Games divisions add games with their own form (Home Team, Away Team, TBD, Location, Date and Time), edit date and time in the row, and have a Toggle TBD icon. Their menu has Edit Game and Delete Game; there's no Create, Manual, Delete, Toggle View or Auto Resolve.
- Archived leagues are read-only. Games at locations outside your organization filter are read-only too ("One or more games cannot be updated due to User Organization Filter assignments.").
If it doesn't work
- Calc & Save doesn't save. A Critical alert is still on the page. Fix it, then Calc & Save.
- "The Schedule has changed since you started editing it. Please re-calculate the schedule and try again." Someone saved the schedule while you worked. Reload the page and redo your changes.
- A game has no menu, or a gray one. It has a score, belongs to another division, is locked (unlock it) or the page is locked while Auto Resolve runs.
- "The week you have selected is blocked." That week is blocked with Block A Week. Choose another week, or delete the block row.
- A bye shows on the public schedule or standings for a team that plays that week, but not on 4 Create Schedule. Contact TeamSideline Support.
- There's no Create button. See Why can't I create my schedule? Time slot and team requirements for the Create button.
Good to know
- Time slots repeat every week. If some weeks have fewer usable slots, create the schedule from your regular weekly slots, then move single games by hand with Edit Game or Toggle View, and block weeks you can't play.
- Playoff schedules have their own page under 4 Create Schedule, with their own alerts.
