To stop new Protect Youth Sports (PYS) background checks, remove Protect Youth Sports from every volunteer role that uses it, and turn off the manager check in Team Registration plus Roster programs. Checks already sent to PYS aren't affected, and your PYS account itself is canceled with PYS.
Applies to: Org admins · PYS Background Check module (all plans) · Youth Registration, Youth & Adult Registration and Team Registration plus Roster programs
Where: Programs > Manage Programs > (program) > 2 Configuration > Volunteers (2b Roster Configuration in Team Registration plus Roster programs); 1 Setup > Manager Background Check
Before you start
- A role's Background Check can't be edited. You delete the role and add it back with Background Check left at Select.
- Deleting and re-adding a role doesn't change anyone who already registered under it.
- Work through every program that's open, or will open, for registration. Copied programs keep each role's Background Check and the Manager Background Check, so check next season's copies too.
Step 1: Remove the check from each volunteer role
- Go to Programs > Manage Programs and open the program.
- Open 2 Configuration. In a Team Registration plus Roster program, open 2b Roster Configuration.
- Scroll to Volunteers. Each role that shows Protect Youth Sports in the Background Check column requests a check.
- Click the red X on that role's row, then click OK when asked "Are you sure you want to delete the volunteer type "Coach"?" (with your role's name).
- Click Add Volunteer.
- In Volunteer Type, choose the same role.
- Leave Background Check at Select.
- Click Add.
- Repeat for each role that showed Protect Youth Sports, then for each program.
What you'll see: the role back in the Volunteers list with a blank Background Check column. Volunteers who register for it no longer see the Background Check Information section, and no new check is requested.
Step 2: Turn off manager checks (Team Registration plus Roster)
- Open the program's 1 Setup.
- In Manager Background Check, choose Not Applicable.
- Click Save.
What you'll see: managers who register a team no longer see the Background Check Information section.
If it doesn't work
- A volunteer is still asked for their SSN. Another role or program still has Protect Youth Sports, or they're registering a team in a Team Registration plus Roster program whose Manager Background Check is still set. Check 2 Configuration, 2b Roster Configuration and 1 Setup.
- A check reached PYS after you made the change. The volunteer placed their order before the change, so the check had already been requested. Canceling their registration doesn't cancel it at PYS; contact PYS about it.
- Protect Youth Sports is back next season. The new program was copied from one that still had it. Remove it from the copy, and from the original before you copy it again.
- "To add a Volunteer, you need to make a 'Volunteer Type' selection." Choose a Volunteer Type before you click Add.
Good to know
- This stops new checks only. Checks already sent to PYS are still processed, and their results still come back to your Background Checks dashboard.
- Past results stay on each volunteer's account (Enrollments > Background Checks), and on the Background Checks dashboard while the program isn't archived.
- Canceling your PYS account, final invoices and billing questions go to PYS.
- If you're ending PYS for good, also tell TeamSideline Support so the background check service can be turned off for your site.
- To keep checking only some volunteers, such as approved coaches, see How to run background checks only on approved coaches (private background-check program).
