On an Editor 2.0 website, the events on your website's calendar come from Content > Calendar in your TeamSideline admin, not from the Site Editor. Add, change, hide or delete events there, and the calendar on your website picks up the change within a few minutes, without republishing the site.
Applies to: Org admins whose role includes Content > Calendar, such as Administrator · All plans, for organizations with Editor 2.0 (the CMS module) · Editor 2.0 (CMS) websites
Where: Content > Calendar
Add an event
- Go to Content > Calendar and click Add Calendar Event.
- Enter the Event Name (up to 50 characters). Visitors see this name on the calendar.
- Add a Description if you want one: details, directions or a link. It can be up to 2,000 characters, and the formatting counts toward that limit.
- Enter a Location if you want one (up to 50 characters). It's plain text, not one of your saved Locations, so it shows exactly as you type it.
- Under Event Date, keep One time event and choose the date. For an event that repeats, see Add a recurring event below.
- Under Event Time, choose Start and pick a start time (an End time is optional), or choose All Day or TBD.
- Keep the default Calendar Event Image, or use your own: click Remove, then Select, and choose an image file.
- Click Save.
You'll see "The event has been added." A new event shows on your website from the start.
Two more fields are on the page. Show on Home Page marks the event as highlighted. Show on Team Sites appears for organizations that take registrations: choose Yes and a Program Season (a year and a season), and the event also shows on every published Team Site for that season, which suits a picture day or a parent meeting. With a start time, the event then needs an End time too.
Add a recurring event
Use a recurring event for something that happens on the same weekdays for a stretch of time, such as a weekly clinic.
- Click Add Calendar Event and fill in the name and the other details as above.
- Under Event Date, choose Recurring event.
- Enter the Start Date and the End Date of the series.
- Under Recurring Day(s), check each day it happens, for example Tue and Thu.
- Set the Event Time and click Save. You'll see "The recurring event has been added."
TeamSideline adds a separate event for each checked day between the two dates, up to 52 events. From then on each date is its own event: changing or deleting one date doesn't change the others, and the series can't be edited as a whole. For a longer series, add a second recurring event that starts after the last date of the first.
Edit an event
- Go to Content > Calendar.
- In the Calendar view, click the event. In the List view, click its Edit icon (the pencil).
- Make your changes and click Save. You'll see "The Event has been updated."
To change every date of a recurring event, edit each date, or delete them and add the series again. An existing event can't be made recurring: the One time event and Recurring event choices appear only when you add an event.
Hide or delete an event
- On Content > Calendar, set View to List.
- Set the dates under Between and click Go.
- To hide an event but keep it, click its eye icon (Toggle Visibility). A green eye means the event shows on your website, and a red eye means it's hidden. Click it again to show the event.
- To delete an event, click its red X (Delete), then click OK. The message reads "Are you sure you want to delete the News Item" followed by the event's name, but it's the calendar event that is deleted.
Delete is only in the List view, not in the Calendar view or on the event's edit page, and a deleted event can't be brought back from Content > Calendar, so hide an event you may need again. Delete each date of a recurring event on its own row; there's no option to delete them all at once.
How events show on your Editor 2.0 website
- Your website's calendar, usually TeamSideline's calendar widget on your Calendar page, shows every visible event for the dates a visitor is looking at. Visitors can open an event to see its details, such as the description, location and image. Hidden and deleted events don't show.
- An upcoming events list, where your site has one, shows your next visible events from today on, up to 16, whether or not Show on Home Page is checked.
- The calendar can also show your games, practices, facility reservations and program registration dates. To choose which, go to Content > Site Editor, open the page with the calendar, click the calendar and use the Games, Practices, Reservations and Reg Dates switches in its content settings, then click Republish.
- Games and practices also depend on your organization's calendar settings (Show Games and Show Practices). Those settings aren't on the Editor 2.0 Content menu, so if games or practices are still missing after you check the calendar's switches, contact TeamSideline Support and ask them to check these settings.
- No admin setting limits how far ahead the calendar shows events: it loads the dates a visitor moves to.
- In the month view, a busy day shows its first events and "…" for the rest. The size of each day's box can't be changed.
What you'll see
- Content > Calendar opens in the view you used last. Switch with View: the Calendar view has day, week, month and agenda layouts, and the List view shows events between two dates.
- The List view shows each event's Event Date, Time and Event Name, 20 to a page, with four icons: the Show on Home Page check box, the eye, Edit and Delete.
If it doesn't work
- "An Event Name is required." Enter a name and save again.
- "The Event Date is required." Choose a date under One time event.
- "A valid Start Date is required." or "A valid End Date is required." A recurring event needs both dates.
- "End Date must be after start date." The series' End Date is before its Start Date.
- "At least one day must be checked for a recurring event." Check at least one day under Recurring Day(s).
- "A valid Start Time is required." You chose Start without picking a time. Pick one, or choose All Day or TBD.
- "The Event End Time must be after the Event Start Time." Change the End time, or clear it.
- "You have exceeded the maximum text length for a calendar description (2000 characters)." Shorten the Description. Formatting counts toward the limit, so text pasted from a document reaches it quickly; paste it as plain text instead.
- "When "Show on Team Sites " is selected, the Event End Time is required." Add an End time.
- "A valid year is required." or "Program Season is required." With Show on Team Sites set to Yes, enter a four-digit year and choose a season.
- "Invalid date range." In the List view, fill in both Between dates before you click Go.
- The event isn't on your website. Check that its eye icon is green and that you're looking at the right month, then wait a few minutes: the calendar can take up to 5 minutes to show a change. If your website has no calendar at all, contact TeamSideline Support.
- A link in an event's description opens a page-not-found error. Entry Form links added from the description's Links drop-down point to your legacy website's form address, which an Editor 2.0 site doesn't have (a known issue). Copy the address of the page that shows the form on your Editor 2.0 website, and add that as the link instead.
Good to know
- An event with a start time but no End time shows as one hour long. All Day and TBD events show on their date without a time.
- The Calendar Event Image is saved at up to 180 x 150 pixels, the size the page recommends ("Optimal size is 180w x 150h"), and the Crop tool keeps that shape. You can upload a JPG, JPEG, PNG, GIF, BMP or HEIC file up to 10 MB.
- To add many events at once, Elite and Enterprise plans can use the Calendar import on Administration > Import Data.
- If your organization is linked to a parent organization and Enable Cal Sharing is set to Yes for it on Administration > Associated Organizations, the parent's visible events show on your calendar too.
- A Google Calendar widget shows the events in that Google calendar, not your Content > Calendar events, and its pop-up shows only the title, description, and date and time.
