To post documents on your Editor 2.0 website, upload them on Content > Downloads in your admin site. TeamSideline's Download Files widget, on a page in the Site Editor, lists every visible file there and keeps the list up to date without republishing when you add, replace, hide or reorder files.
Applies to: Org admins whose role includes Downloads (and Site Editor access, to place the widget) · All plans, for organizations with Editor 2.0 (the CMS module) · Editor 2.0 (CMS)
Where: Content > Downloads (Files and Categories tabs); Content > Site Editor (the Download Files widget)
Upload a file
- Go to Content > Downloads and click Add File.
- Next to Select File, click Select and choose the file on your computer. Upload PDFs where you can: save Word, Excel or PowerPoint files as PDF first, so they keep your layout and open in the visitor's browser.
- Type the Document Name (up to 100 characters). It's the name visitors see.
- In Category, choose a category, or leave it at Select and type a new category name in the box beside it. Do one or the other, not both.
- Click Add.
What you'll see: "The file was successfully uploaded." The file is added at the end of its category under Visible Documents, and your website's Download Files widget lists it within a few minutes.
Show your files on a page
If your website already has a Downloads page that lists your files, you can skip this: managing the files on Content > Downloads is all you need to do. To list them on another page:
- Go to Content > Site Editor and open the page.
- Click the plus icon (+) in the section where the list should go. For a new section, click Add Section, choose Layouts and pick a blank grid first.
- Type Download Files in the search and choose TeamSideline's Download Files widget.
- Click Republish.
What you'll see: on your live website, the widget lists your visible files in the order set on Content > Downloads, category by category. Visitors click a file's name to open it: a PDF opens in their browser, and other files download. A widget always lists all your visible files; it can't be limited to one category.
Replace, rename, hide, reorder or delete a file
Do all of this on Content > Downloads. Your website follows within a few minutes, without republishing.
- Replace or rename a file: click the Edit icon (pencil) on its row. On Edit Document, change the Document Name or Category Name, or click Select next to File Name and choose the new file, then click Save. You'll see "The document has been updated." Links to the file keep working and open the new file, whatever it's called.
- Hide or show a file: click its eye icon. A green eye means the file is visible; a red eye means it's hidden. A hidden file drops off your website's list, and links to it stop working.
- Change the order: drag a file's row. To order the categories, open the Categories tab and drag them; the list there is titled "Categories (In Order Displayed On Public Site)".
- Delete a file: click its red X, then click OK.
Link to one file from a button or text
- On your live website, right-click the file's name in the Download Files list and copy the link address.
- In the Site Editor, select the text or button, open its link settings and choose Web Address.
- Paste the address, then click Republish.
That link opens the file you keep on Content > Downloads, so it keeps working when you replace the file there, and it counts in the file's Downloaded column. A file you add with the editor's own File Download link type is a separate copy kept by the website editor: replacing the file on Content > Downloads doesn't change it.
In a TeamSideline email, the Links drop-down's Downloads group inserts a link to any visible file.
If it doesn't work
- Category headings don't show on a computer. On a computer, the Download Files widget can list your files without their category headings, while phones show them. The files still follow your category order. Until that changes, give each file a name that makes sense on its own, such as U10 Spring Practice Schedule rather than Schedule, or put every file in one category if you don't need groups. You can't do without categories: every file needs one, and a category can't be deleted while it holds files.
- A file isn't in the list. It's hidden (a red eye, under Not Visible Documents), or it was added a moment ago. Click its eye so it turns green, then reload the page after a few minutes or open it in a private browser window.
- The page shows no files at all. Check that Content > Downloads has visible files. If it does, the widget was removed from the page: add it again and republish.
- A link to a file shows "Error downloading file." The file is hidden or was deleted. Show it again, or link to the current file.
- "The file type you have chosen is not allowed. To protect your security and the security of those who may download files from the web, the file types are restricted to PDF, DOC, XLS, PPT, TXT and RTF. Other types of files may pose a security risk." Save the document as a PDF and upload that.
- "The file you have chosen to upload exceeds 10 MB, which is the maximum file size we can store on the site. This limitation helps to ensure that users wishing to download these files may do so in an acceptable amount of time." Make the file smaller, for example by saving the PDF with smaller pictures, or split it into two files.
- "A category needs to be selected or a new category needs to be added. Please click Select to add a file, then assign a Category Name for this file. You can create a new Category name, or, select an existing Category name." Choose a category, or type a new one. The other upload messages are explained in How to add documents (PDFs) to your website with Downloads (Legacy content editor).
- Download Files isn't in the Site Editor's search. Contact TeamSideline Support.
- Downloads isn't on your Content menu. Your admin role doesn't include it. Ask an admin who manages your users.
Good to know
- Files on your website are public. Anyone who has a visible file's link can open it without signing in, even when you link it from a password-protected page. Don't post private information, such as medical forms or contact lists.
- Each file can be up to 10 MB.
- The Downloaded column on the Files tab counts each time someone opens the file from your website or a link. Opening it from the Files tab yourself isn't counted.
- Content > Downloads is the same page for both website editors. A legacy website lists the files on its own Downloads page instead: see How to add documents (PDFs) to your website with Downloads (Legacy content editor).
