Use the Add-On report to list everyone who bought an add-on, at registration or later, with the option they chose and whether it's paid. Use the Add-On Missing report to list the accepted registrations in a program that don't have a particular add-on.
Applies to: Org admins whose role includes these reports · All plans · Registration programs with add-ons
Where: Reports > Report Exports > Add-On; Reports > Report Exports > Add-On Missing
Which report to use
| You want to know | Report | What it covers |
|---|---|---|
| Who bought an add-on, which size or option, and whether it's paid | Add-On | One row per add-on purchase. One or more add-ons, all programs that aren't archived or one program, and an optional order date range. |
| Who in a program hasn't bought an add-on | Add-On Missing | One add-on, one program and one registration type at a time. Accepted registrations only. |
See who bought an add-on (Add-On report)
- Go to Reports > Report Exports and click Add-On.
- In Buy Item, keep All Buy Items or check the add-ons you want. Type part of a name to find one.
- To narrow to one size or option, choose it in Variance or Variance 2. These lists open once you check specific add-ons.
- In Program, keep All Programs or choose one (type to search). To leave out some offerings, uncheck them in Offering.
- To limit the report to add-ons ordered in a period, set the dates in the date range field, which is labeled "Data Range" on the page.
- Under Columns, move the fields you want from "Available fields:" to "Show these fields in this order:". For uniforms and similar items, include the variance fields, "Addon Item Text" and "Paid".
- Choose an Export Type and click Export.
What you'll see: a file with one row for each add-on purchase. "Paid" is True when the payments recorded for that add-on cover its cost, and False when part of it is still owed. "Addon Item Text" shows any text the family entered for the item. Contact fields are the primary account holder's.
See who hasn't bought an add-on (Add-On Missing report)
- Go to Reports > Report Exports and click Add-On Missing.
- In Type, choose whose registrations to check: Player, Volunteer, Sponsor or General.
- In Buy Item, choose the add-on.
- In Program, choose the program. All its offerings are checked in Offering; uncheck any you want to leave out.
- Under Columns, choose the fields you want, such as the enrollee's name, the primary account holder's email and phone, and the division and team.
- Choose an Export Type and click Export.
What you'll see: one row for each accepted registration of that type, in the program and offerings you chose, that doesn't have the add-on, whether it would have been bought at registration or later.
If it doesn't work
- "Please make a selection for Type.", "Please make a selection for Buy Item." or "Please make a selection for Program." On Add-On Missing, all three are required.
- "You must select at least one Field before exporting report." Move at least one field to "Show these fields in this order:".
- "The Start date cannot fall after the End date." On the Add-On report, fix the dates.
- The program isn't in the Program list. Both lists show programs whose registration is open or closed. Archived programs, and programs whose registration hasn't opened yet, aren't listed.
- Volunteers, or another type, are missing from the Add-On report. An add-on is offered only to the registration type it was added for. See Good to know.
- A registration you expected isn't on the Add-On Missing report. Waitlisted registrations aren't included, and neither are registrations in offerings that have no add-ons attached.
- The same person is listed more than once on Add-On Missing. The report can repeat a registration when its offering has several add-ons attached, or when the person is on more than one team. Remove the duplicate rows in your spreadsheet.
Good to know
- When you add an add-on to a program (2 Configuration, under Add-Ons), the Enrollment Type you choose decides who is offered it. An add-on added for Player is offered only on player registrations, so no volunteer can buy it and the reports have no volunteer rows for it. To charge volunteers, add the item to the program again with Enrollment Type Volunteer.
- The Add-On report also lists add-ons on canceled registrations. Add the Enrollment Status field to tell them apart. Waitlisted registrations aren't included.
- The Add-On report covers add-ons on program registrations only. Store purchases aren't on it: they're on the Store/Donation Detail report in Reports > Report Exports, which you can filter by Buy Item. To count every sale of an item, run both reports.
- The date range filters on the date the add-on was ordered. An add-on bought after registration is dated by its own order.
- Click Save Report to keep your choices for next time.
- To see add-on choices next to other registration details, the Enrollment Information report also has add-on fields, marked (a) in its field list.
