How to swap matchups, move games, and swap weeks on 4 Create Schedule

On a division's 4 Create Schedule page you can switch a game's home and away teams, change who plays, move a game to another week, time or location, and swap two whole weeks. Make the changes, click Calculate to check them, then click Calc & Save: nothing is saved until you do, except Swap Game, which saves right away.

Applies to: Admins and schedulers · All plans (swapping weeks: Enhanced, Elite and Enterprise; Swap Game and locking games: the Advanced Scheduling module) · League divisions, Regular and 2nd Half schedules

Where: Schedules > Leagues & Divisions > (division) > More Options > 4 Create Schedule

Calculate or Calc & Save

  • Calculate checks your changes and updates the alerts without saving: "The Schedule has been calculated and is shown below. To save this Schedule click the "Calc & Save" Button."
  • Calc & Save saves the schedule: "The Schedule has been calculated, saved, and is shown below. You can now view this schedule on the Standings & Results page." It won't save while a Critical alert is listed at the top of the page.
  • If you try to leave the page with unsaved changes, your browser warns you first.

Switch home and away in a game

  1. Click the game menu icon at the end of the game's row.
  2. Click Swap Teams. The home and away teams change places.
  3. Click Calc & Save.

Change which teams play each other

  1. In the game's row, choose a different team in the Home or Away list. To trade opponents between two games, change both games.
  2. Click Calculate and check the alerts. Team Selected Twice means one team is both home and away in a game; Games Per Week means a team now plays more games that week than the division allows.
  3. Click Calc & Save.

Move a game

Change the game in whichever of these ways suits the change:

  • Week and Time Slot: choose a new week and time slot in the game's row. In the Time Slot list, + means the slot is free that week and - means it isn't.
  • Toggle View: click it to show date, time and location columns, then type the date and time and choose the location. A day, time and location that isn't one of your time slots is added to the division's time slots.
  • Drag and drop: drag the game by the handle at the start of its row onto another game. The two games trade week, time slot, date and location. This works only when the other game is Not played, isn't a bye, isn't locked and belongs to this division.
  • Edit Game: choose it in the game's menu to set the week, day, time and location in one place, then click Update.

Then click Calculate, check the alerts, and click Calc & Save.

Swap a game with another game at the same location (Advanced Scheduling)

  1. Click Calc & Save first if you have other changes. This opens another page.
  2. Click the Swap Game icon in the game's row.
  3. On Swap Games, Date and Location start as the game's own. Change them to look at another day or location; tick Show All to list more locations.
  4. Under Available Swaps At This Location, select the circle next to the game to trade places with, which can be in any division, or next to an Available time to move the game there. Locked games show a lock and can't be chosen.
  5. Click Swap, or Cancel to go back without changing anything.

What you'll see: "Swap completed and saved." Both games are saved right away and you're back on 4 Create Schedule.

Swap two weeks (Enhanced, Elite and Enterprise)

  1. Below the schedule, find Games Per Week Distribution. Its columns are the weeks: W1, W2 and so on.
  2. Drag one week's column heading onto another week's ("Drag to swap weeks", then "Drop here to swap weeks"). Every game in the two weeks trades places, and each game's date moves by the same number of weeks.
  3. Check the new dates, then click Calc & Save.

Lock games you don't want moved (Advanced Scheduling)

  1. Click the lock icon in the game's row ("Unlocked, click to Lock"). Click it again to unlock ("Locked, click to Unlock").
  2. Click Calc & Save.

A locked game's menu and Swap Game icon are grayed out, other games can't be dropped onto it, and Auto Resolve leaves it where it is. Unlock it to change it.

Toggle View and Toggle Group

  • Toggle View switches the grid between Week and Time Slot columns and date, time and location columns.
  • Toggle Group groups the games by week so you can collapse and expand each week. The page remembers your choice.

If it doesn't work

  • "The Schedule has changed since you started editing it. Please re-calculate the schedule and try again." Someone saved this schedule while you were working. Reload the page and make your changes again.
  • Calc & Save doesn't save. A Critical alert, such as Time Slot Conflict or Team Selected Twice, is still listed. Fix it and click Calc & Save again.
  • The game menu is grayed out or missing. The game is locked, already has a score, belongs to another division, or Auto Resolve is running on the division.
  • Dropping a game onto another does nothing. The other game has a result, is a bye, is locked or belongs to another division.
  • You can't drag the week columns. Swapping weeks needs the Enhanced, Elite or Enterprise plan and an admin role that includes it.
  • There's no Swap Game or lock icon. Your site doesn't have the Advanced Scheduling module, or your admin role doesn't include those tools. There's no Toggle Group button either when your role doesn't include it.
  • "Please make a Swap selection." Select a game or an Available time before you click Swap.
  • "No available swaps." Nothing is open or scheduled at that location on that date. Change the Date or Location.

Good to know

  • A canceled game offers only Reschedule Game in its menu. To cancel or reschedule games for weather or other reasons, see How to Cancel/Reschedule Games.
