To add an event to your organization's calendar, go to Content > Calendar, click Add Calendar Event, fill in the event and click Save; to change one, open it from the same page. The page is the same for legacy and Editor 2.0 websites, and each visible event shows on your website's calendar, and on Team Sites when you choose.
Applies to: Org admins whose role includes Content > Calendar · All plans · Legacy and Editor 2.0 (CMS) websites
Where: Content > Calendar
Add an event
- Go to Content > Calendar and click Add Calendar Event.
- Enter the Event Name, up to 50 characters. Check Show on Home Page to highlight the event (see How events show on a legacy website below).
- Optional: enter a Description, up to 2,000 characters with its formatting, and a Location, up to 50 characters of plain text.
- Under Event Date, keep One time event and choose the date. For a series, see Add a recurring event below.
- Under Event Time, choose Start and pick the start time, plus an End time if you want one; or choose All Day or TBD. The time list runs from 7:00 AM to 9:45 PM, so type any other time into the box.
- Keep the default Calendar Event Image, or use your own: click Remove, then Select, and choose a JPG, JPEG, PNG, GIF, BMP or HEIC file of up to 10 MB. It's saved at 180 by 150 pixels ("Optimal size is 180w x 150h").
- Optional, for organizations that take registrations: set Show on Team Sites to Yes and fill in the Program Season, so the event shows on those Team Sites. See How to show an organization calendar event on Team Sites (picture day, meetings).
- Click Save. You'll see "The event has been added."
Add a recurring event
- Click Add Calendar Event and fill in the details as above.
- Under Event Date, choose Recurring event, enter the Start Date and End Date, and check the Recurring Day(s), for example Tue and Thu.
- Click Save. You'll see "The recurring event has been added."
Each checked day between the two dates becomes its own event, up to 52 events in one save; for a longer series, add a second one that starts after the last date. From then on, each date is edited, hidden or deleted on its own.
Edit an event
- Go to Content > Calendar. Click the event in the Calendar view, or click its Edit icon (the pencil) in the List view.
- Make your changes and click Save. You'll see "The Event has been updated."
An existing event can't be made recurring: One time event and Recurring event appear only when you add an event. To repeat an event, add it again as a recurring event and delete the original.
Find events: the Calendar and List views
- View, at the top right, switches between Calendar (with Day, Week, Month and Agenda) and List. The page opens in the view you used last.
- The Day and Week views show 8:00 AM to 9:00 PM in a fixed-height pane: scroll down for evening events, or use Agenda or the List view.
- The List view shows the events Between two dates, 20 to a page, with each event's Event Date, Time and Event Name and four icons: the Show on Home Page check box, the eye (Toggle Visibility: green shows the event on your website, red hides it), Edit and Delete.
- When you switch from Calendar to List, Between runs from the first of the month you were viewing to the day you had selected, so later events aren't listed until you change the second date and click Go.
- To print a list of events, set Between from the date you want, click Go, and print the page from your browser.
How events show on a legacy website
- Every visible event (green eye) is on your website's calendar. Visitors can open an event to read its details and save it to their own calendar with Download Event, which downloads an .ics file.
- The calendar on your home page lists your next visible events from today. On Content > Configurations > General, # of Events sets how many (Off, or 1 to 16) and Style sets the look (List or Icons). Show on Home Page doesn't add an event to that list or take it off: it highlights the event, in bold in the List style or with a star in the Icons style.
- On the same page, Show Games and Show Practices put your scheduled games and practices on the website's calendar too, Show Reg Dates adds registration dates and, with the Facility module, Show Reservations adds facility reservations.
For an Editor 2.0 website, where the calendar is a widget set in the Site Editor, see CMS: Add and edit calendar events on your website.
If it doesn't work
- "An Event Name is required." or "The Event Date is required." Fill in that field and click Save again.
- "A valid Start Date is required.", "A valid End Date is required." or "End Date must be after start date." A recurring event needs both dates, with the End Date after the Start Date.
- "At least one day must be checked for a recurring event." Check at least one of the Recurring Day(s).
- "A valid Start Time is required." You chose Start without a time. Pick one, or choose All Day or TBD.
- "The Event End Time must be after the Event Start Time." Change the End time, or clear it.
- "You have exceeded the maximum text length for a calendar description (2000 characters)." Shorten the Description. Its formatting counts toward the limit, so text pasted from a document fills it fast: paste it as plain text.
- "A valid year is required.", "Program Season is required." or the End Time message for Team Sites With Show on Team Sites set to Yes, enter a four-digit year, choose a season, and give a timed event an End time.
- There's no Show on Team Sites field. It appears only for organizations that take registrations.
- "Invalid date range." In the List view, fill in both Between dates before you click Go.
- The event isn't on your website. Its eye is red: click it in the List view so it turns green. Also check the month you're looking at.
Good to know
- Show on Team Sites doesn't rule out All Day or TBD times. An event with either can go on Team Sites. Only an event with a start time needs an End time there.
- A deleted event can't be brought back, so hide an event you may need again. See How to delete an event from your organization's calendar (Content > Calendar).
- To add many events at once, the Elite and Enterprise plans can use the Calendar import on Administration > Import Data. See Steps to creating a Calendar Import.
- Content > Calendar holds only the events added there. Games, practices, registration dates and facility reservations come from your schedules, programs and facilities.
