To take replies again on a closed survey, open it from Communications > Surveys and click Reopen Survey. Sending a survey again depends on how you published it: you can share an anonymous survey's link again at any time, but a private survey (emailed, one reply per person) can't be sent again, so copy it with Copy Survey and publish the copy.
Applies to: Org admins · Enhanced, Elite and Enterprise plans · Legacy content editor websites
Where: Communications > Surveys > View Survey (magnifying glass) > Reopen Survey; Communications > Send Communication
Reopen a closed survey
- Go to Communications > Surveys.
- On the survey's row, click the View Survey icon (a magnifying glass).
- Click Reopen Survey. It's there only when the survey's status is Closed.
What you'll see: "This survey has been reopened." The survey is Published again, and its links work again:
- An anonymous survey's link takes replies from anyone who has it.
- A private survey's emailed links that haven't been used work again. A link that was already used still shows "You have responded to this survey already."
Reopening sends nothing. To stop replies again, click Close on the same page and click OK on "Are you sure you want to close this Survey and not allow any more responses?".
Send an anonymous survey's link again
This works for a survey published with "Use the Links function to post a survey link that can have multiple anonymous responses". It must be Published, so reopen it first if it's Closed.
- Go to Communications > Send Communication, check the lists or people to send it to and click Next.
- On Create Your Message, enter the Email Subject and your message.
- Highlight the words for the link. Open the Links drop-down on the editor's toolbar, click the plus sign next to Anonymous Surveys and click your survey.
- Click Send Now, or click Next to choose your send options and then click Send.
To share the link in a text message or a social media post, open the survey from an email or page that has its link, copy the address from your browser's address bar and paste it into your message or post.
Send a private survey to more people
A private survey, published with "Use Send Communications to email a survey link - one reply per email", is emailed once, when you publish it. It can't be sent again: Publish Survey is only on a draft, and each emailed link takes one reply. To reach more people, copy it:
- Go to Communications > Surveys and click Copy Survey.
- Type the new Survey Name. It can't be the name of the survey you're copying.
- In Survey, choose the survey to copy.
- Click Copy.
What you'll see: "The Survey was successfully copied." The copy is a draft with the same questions and answer choices and no replies. Publish it from its View Survey icon, privately or as an anonymous link; see How to publish and share a Survey link (legacy Surveys).
The copy's replies are counted separately. To combine the two, export both with the Survey Detail report and add them together.
Remind people who haven't answered
TeamSideline doesn't record which recipient used which private link, so it can't email only the people who haven't answered. Instead, send a regular message to the same lists asking people to use the survey link in your earlier email. Their unused links work as long as the survey is Published.
If it doesn't work
- There's no Reopen Survey button. The survey isn't closed. A Published survey is already taking replies, and a Draft needs Publish Survey.
- Your survey isn't under Anonymous Surveys in the Links drop-down. It isn't published yet, or it was published as a private survey, which has no shared link. To get one, copy the survey and publish the copy with the Links option.
- People see "This survey has been closed." Reopen the survey.
- People see "This survey has not been published." The link is to a draft, such as a copy you haven't published yet. Publish it.
- Someone sees "You have responded to this survey already." but didn't reply. Their private link was used, for example by someone they forwarded the email to. Each private link takes one reply, so copy the survey and send them the copy.
- "New Survey Name required.", "Survey to Copy required." or "New Survey Name cannot be the same as the Survey To Copy." Type a new name and choose the survey to copy.
- The survey link opens your home page. Your organization's Editor 2.0 website is live, and old-website pages, surveys included, send visitors to it. Surveys aren't offered in the Links drop-down then either. See CMS: Legacy Survey Feature Sunset: Why Your Survey Links Redirect and What to Use Instead.
Good to know
- A survey's publishing method can't be changed once it's published. To switch between private and anonymous, copy the survey and publish the copy the other way.
- The survey link isn't added to text messages, so send a private survey by email.
- Replies are anonymous: your results don't show who answered. If you need to know, ask for a name or email address in one of the questions.
