Every Entry Form submission is saved in TeamSideline. View a form's responses from Content > Entry Forms, download them with Reports > Report Exports > Entry Form Responses, and delete one from the form's responses list. A deleted response can't be brought back from your admin site, so export first if you might need it.
Applies to: Org admins · All plans · Entry Forms on legacy content editor websites and the Entry Form widget on Editor 2.0 websites
Where: Content > Entry Forms > View Responses (magnifying glass); Reports > Report Exports > Entry Form Responses
View a form's responses
- Go to Content > Entry Forms.
- On the form's row, click the View Responses icon (magnifying glass).
What you'll see: the Entry Form Responses page for that form, newest first, 20 responses to a page, with page links above and below the list. Each row shows the Response Id, the Date/Time in your organization's time zone, and a column for each field on the form.
The list has no search, sort or filter. To find one person, use your browser's Find (Ctrl+F, or Command+F on a Mac) on each page, or export the responses and search the file.
Export responses to a spreadsheet
- Go to Reports > Report Exports and click Entry Form Responses.
- In Entry Form, choose the form.
- Entry Form Fields lists the form's fields, all selected. To leave one out, hold Ctrl (Command on a Mac) and click it.
- If you want only some responses, set a Response Date Range.
- Under Columns, make sure at least one item, such as the response date, is in Show these fields in this order. Move items there from Available fields with the arrow buttons or by dragging.
- Choose an Export Type: Excel (xlsx), CSV, Html or Tab (legacy).
- Click Export.
What you'll see: a file with one row per response, oldest first, showing the columns you chose and each selected field's answer. Html opens in your browser instead of downloading.
To run the same export again later, click Save Report and give the report a name. A saved report keeps the form, its fields, the date range and the columns. The page remembers your Export Type for you separately. Reset clears your choices.
Delete a response
- Go to Content > Entry Forms.
- On the form's row, click the View Responses icon (magnifying glass).
- Find the response. Its Response Id and Date/Time help you tell similar responses apart.
- Click the red X (Delete) at the end of the response's row. On a form with many fields, scroll right to reach it.
- Click OK to confirm.
What you'll see: the response disappears from the list, and it's left out of every export from then on. There's no undo on your admin site.
Tip: if you use an Entry Form for free agents, delete each response once that player is on a team. The list then shows only the players still waiting.
Make sure each response says who sent it
A response holds only the answers typed into the form's fields. TeamSideline doesn't save the visitor's name, sign-in or internet address with it, even when they're signed in. On every form where you need to know who it came from, add a field for the person's name and an Email field, and check Is Required on both. An Email field also sends the visitor a copy of their answers.
Editor 2.0 websites
Submissions through TeamSideline's Entry Form widget are saved here, like those from a legacy website. The website builder's own Form widget is different: its responses stay in your website's Site Dashboard and never appear in Content > Entry Forms or Report Exports. See CMS: Entry Form widget vs. Form widget - which to use and where responses go.
If it doesn't work
- "Please make a selection for Entry Form." Choose the form in Entry Form, then click Export again.
- "You must select at least one Field before exporting report." Move at least one item into Show these fields in this order under Columns. The fields selected in Entry Form Fields don't count for this check.
- "The Start date cannot fall after the End date." Fix the Response Date Range.
- "No entry form responses." Nobody has submitted the form yet, or every response was deleted. Check that the form's eye icon on Content > Entry Forms is green: while it's red, visitors see "This form is no longer available." instead of the form.
- The form isn't in the Entry Form list on the report. The form was deleted. A deleted form's responses can't be viewed or exported from your admin site.
- A column is empty for older responses. The field was added after those responses came in, so they have no answer for it. A field you delete disappears from the list and the export, along with its answers.
- Responses from a website builder Form widget aren't in the report. That's expected. Find them in your website's Site Dashboard.
Good to know
- Responses stay with their form. Copy Entry Form copies a form's fields and email addresses but not its responses, and Administration > Import Data has no Entry Form responses import, so responses can't be moved into another form. To combine forms, export each one and combine the files in a spreadsheet program.
- Hiding a form with its eye icon stops new submissions and keeps its responses. Deleting the form removes it, with its responses, from Content > Entry Forms and from the report, so export them first.
- On the Enhanced, Elite and Enterprise plans, Administration > Manage Users > Activity Log records each deletion as "Deleted Entry Form Response Id" followed by the number.
- For questions with answer choices and anonymous replies, a legacy website can use Communications > Surveys (Enhanced, Elite and Enterprise plans). On an Editor 2.0 website, build the form in the Site Editor instead; see CMS: Create a survey or feedback form on your website.
- To email everyone who filled out a form, such as your free agents, see How to email or share your Free Agent list (Entry Form responses).
