Every time someone submits an Entry Form, TeamSideline emails their answers to each address in the form's Email Address 1 to Email Address 5 boxes. If the form has an Email field and the person fills it in, they get a copy of the same email, and when you reply to your copy, the reply goes to them.
Applies to: Admins · All plans · Entry Forms on legacy content editor websites and the Entry Form widget on Editor 2.0 (CMS) websites
Where: Content > Entry Forms > (form) > Edit
Who gets the email
| Recipient | Gets it when | Replies go to |
|---|---|---|
| Each address in Email Address 1 to Email Address 5 | Every submission | The address the person typed in the form's first Email field. If the form has no Email field, or it was left blank, replies go to a TeamSideline no-reply address. |
| The person who submitted the form | The form has an Email field and they filled it in | A TeamSideline no-reply address |
Everyone gets the same email. The subject is the form's name followed by "Submit" and your organization's email Subject Text (Communications > Configurations > Email). The message lists the Form Name, the Submit Date and each field with the answer given, in the form's field order. Check box answers show True or False.
Set who gets the email
- Go to Content > Entry Forms.
- Click the Edit icon (pencil) on the form's row.
- Enter one email address in each Email Address box you need, up to five. Leave the others blank.
- Click Save.
What you'll see: "You have successfully updated Entry Form" followed by the form's name. When you create a form with Add Entry Form, the same five Email Address boxes are on the add panel.
Send the person who submits a copy
Add an Email field to the form. TeamSideline uses the first Email field in the form's field order, both for the copy and as the reply-to address on your copy.
- On Content > Entry Forms, click the Add Entry Field icon (green plus) on the form's row.
- Enter a Field Name, for example Email Address.
- In Field Type, choose Email.
- Check Is Required so the form can't be submitted without it.
- Click Add.
What you'll see: the field in the form's field list. Answers in an Email field must look like a valid email address. On legacy content editor websites, a form with an Email field also shows a Verification box: visitors type the code from the image before the form submits.
If it doesn't work
- Nobody at your organization got the email. Check that at least one Email Address box has an address. With all five blank, the response is still saved, but no one at your organization is emailed.
- One address gets the emails and another doesn't. The missing address probably has an email filter, which is added automatically when an email to it bounces or is marked as spam. Go to Communications > Email Filters, type the address in Email Address and click Search. Click the Delete icon on the filter and click OK. You'll see "The Email Filter has been deleted." If an email to the address bounces again, a new filter is added, so check the address is spelled correctly. Also ask the person to look in their spam or junk folder.
- The person who submitted didn't get a copy. The form has no Email field, they left it blank or mistyped it, or their address has an email filter (see above).
- "You must enter a valid Email Address 1." (or 2 to 5) when you save. Correct the address in that box. Each box takes one address.
- Visitors see "This form is no longer available." The form is hidden: its eye icon on Content > Entry Forms is red. Click the eye icon so it turns green.
- "The Verification code is incorrect. Please try again." On a legacy website, the visitor typed the code from the image incorrectly. They type the new code and click Submit again.
Good to know
- Every submission is saved, whether or not an email goes out. To see them, click the View Responses icon (magnifying glass) on the form's row, or export them from Reports > Report Exports > Entry Form Responses.
- Copy Entry Form copies the Email Address boxes along with the fields, so check the recipients on the copy.
- On Editor 2.0 (CMS) websites, submissions through the Entry Form widget send the same emails. The Editor 2.0 Form widget is a separate website-builder feature, and these settings don't apply to it.
- On legacy websites, Redirect To (Enhanced plan and higher) chooses the page visitors see after they submit. Without it, they return to your home page and see "You have successfully submitted the Form" with the form's name.
- Entry Form emails are copies of the answers, not registration confirmations. Program registrations send their own order confirmations; to get copies of those, see the related article.
