You can usually add or remove a team without rebuilding the schedule: put a new team into the games of the team that left, delete a departing team's remaining games, or add games for a new team on 4 Create Schedule. Rebuild the schedule in a new division only when most of the remaining games have to change.
Applies to: Admins and schedulers · All plans · Leagues not linked to a Team Registration program
Where: Schedules > Leagues & Divisions > (division) > More Options > 2 Teams and 4 Create Schedule
Before you start
- Only games that are Not played can be changed on 4 Create Schedule. Played games stay as they are, so their scores and the standings are kept.
- Changes on 4 Create Schedule are saved only when you click Calc & Save. Calculate shows the result without saving.
- To keep families from seeing a half-finished schedule, click the division's eye icon on Leagues & Divisions so it turns red while you work, and click it again when you're done.
- In Team Registration leagues, Add Team and Add Placeholders are turned off because teams come from team enrollments. See How to swap teams from one division to another for a Team Registration program if I can't delete the schedule.
Option 1: A new team takes over the games of a team that left
- On Leagues & Divisions, open the division's More Options menu and click 2 Teams.
- Click Add Team, enter the Team Name and contact details, and click Add. If the schedule uses placeholder teams (named 1, 2, 3 and so on), click the placeholder's Edit icon and change its Team Name instead.
- Open 4 Create Schedule. In each remaining game of the team that left, change its Home or Away drop-down to the new team.
- Click Calc & Save.
The team that left keeps its played games. If it shouldn't appear in the standings, edit it on 2 Teams and check External Team. Its opponents keep their results against it.
Option 2: Remove a team that drops out
- Open the division's 4 Create Schedule page.
- For each of the team's remaining games, open the game's menu (the icon at the end of its row) and click Delete Game.
- To show a bye for an opponent that no longer plays that week, click Add Game, choose the Week, set Time Slot to N/A, choose the opponent as Home and Bye as Away, and click Add.
- Click Calc & Save.
Keep a team that has already played: its results still count for its opponents. Check External Team on 2 Teams to take it out of the standings. A team can be deleted (red X on 2 Teams) only after it's out of every game, played games included.
Option 3: Add a team and schedule its games
- On the division's 2 Teams page, click Add Team, fill in the team and click Add.
- On 4 Create Schedule, click Add Game, choose the Week, a Time Slot, and the Home and Away teams, and click Add. Repeat for each game.
- If no time slot fits, add the game with any time slot, then open its menu, click Edit Game, set the Week, Day, Time and Location and click Update. A matching time slot is created for you.
- Click Calc & Save.
Option 4: Rebuild the schedule in a new division
Use this when the number of teams changes enough that the schedule needs to be created again. It replaces the division's teams with new team records, so use it only in leagues that aren't linked to a registration program, or in divisions where no players are assigned to teams.
- On Leagues & Divisions, click Add Division. Choose the same League, enter a new Division Name (division names must be unique), fill in Gender, Age Group and Level Of Play, and click Add. Don't delete the old division yet.
- Give the new division the same settings as the old one on its 1 Configuration pages (Scheduling, Scoring and Display), including Day of First Game.
- On the new division's 2 Teams page, click Add Placeholders, choose the # of Placeholders (the new number of teams) and click Add.
- On 3 Time Slots, click Copy Time Slots, choose the old division's League and Division, and click Copy. (Copy Time Slots only shows while the division has no time slots.)
- On 4 Create Schedule, click Create. Yellow warnings about the old division's games using the same time slots are expected until you delete the old division.
- On 2 Teams, edit each placeholder and enter the real team. Returning Contact can fill in the contact and team name from the old division's team (see Good to know).
- On 4 Create Schedule, make the weeks already played match what really happened: change the Home and Away drop-downs, and use Edit Game to move games to a different Week, Day, Time or Location (for example, to move the new team's early games to later weeks). Click Calc & Save.
- Open Edit Scores from the division's More Options menu, enter the scores of the games already played and click Save.
- Delete the old division with its Delete Division icon on Leagues & Divisions. Then rename the new division if you like (Division Name is on 1 Configuration > Display) and click its eye icon to make the schedule visible.
If it doesn't work
- "Add Team" and "Add Placeholders" are disabled due to the registration type Team. Teams are added during the enrollment process. This is a Team Registration league; see the Team Registration article.
- The Team "(name)" cannot be deleted because the team has been scheduled. Delete all schedules or remove the team from all schedules prior to deleting the team. Take the team out of every game first, or keep it and check External Team.
- Calc & Save doesn't save and red alerts are listed. Red alerts block saving; yellow ones are warnings. Common red alerts: TS "Team Selected Twice" (the same team is Home and Away), TC "Time Slot Conflict" (a time slot is used more than once in a week) and TN "Time Slot Not Selected" (a game has no time slot, or a bye isn't set up as Time Slot N/A and Away Bye). Fix the game named in the alert and click Calc & Save again.
- "The Schedule has changed since you started editing it. Please re-calculate the schedule and try again." Someone else saved this schedule while you were editing. Reload the page, then redo your changes.
- A game has no Home or Away drop-down. The game isn't Not played. Change its Disposition on Edit Scores first if it really needs to change.
- "This Team name is in use. Please use a different Team name." or "This Division name is in use. Please use a different Division name." Names must be unique within a division (teams) or league (divisions).
- "The division cannot be deleted because there are existing roster assignments." Players are assigned to the old division's teams, so the rebuild doesn't fit this league. Use options 1 to 3 instead.
Good to know
- Returning Contact lists contacts (Last name, First name) from your organization's existing teams in the same sport, plus coach imports from the last 90 days. Each contact appears once, using their most recent team, so a coach with two teams shows only one. Picking a contact fills the contact fields, and fills Team Name only while it's still blank or a placeholder number from 1 to 20. Teams in a deleted division and teams without a contact name aren't listed.
- An external team doesn't appear in standings, but the teams that play it keep those results.
- To move a team to another division instead, see How To Move A Team Between Divisions After Schedule Has Started (Registration Sites).
