Overview
TeamSideline has a lot of reports, and the most common support question is simply "which one do I use?" This article maps the most frequent admin scenarios to the report that answers them, and explains the difference between the three places reports live.
Note: Not every report listed here appears on every site. Reports are tied to functionality — if your organization does not have a module (for example Facility Management, Officials, Memberships, or Volunteer Management), its reports will not appear in your menus. Running reports is an Admin-only function; report access is controlled by the Reports admin role. If you need report data in the hands of non-admins (coaches, parish/school contacts), run the report and post the file under Content > Downloads.
The three places reports live
- Reports > Report Exports — Build-your-own data exports. You pick the filters (Type, Program, Offering, Date Range, etc.) and choose which columns appear by moving fields from the Available Fields column into the Show these fields in this order column. Export to Excel, Tab Delimited, or HTML. This is where almost all "I need a spreadsheet of…" questions are answered. Reports here are grouped into five categories: Communication, Content, Customer, Facility Reservation, and Schedule.
- Reports > Report Viewer — Pre-formatted reports you view and print (rosters, accounting summaries, member passes, settlements). You select a report from the dropdown and click Go. You cannot choose columns here, but the layout is print-ready.
- Reports > Report Dashboards — Interactive on-screen views with filters and sorting, rather than a file download. Includes the Enrollment, Background Checks, Team Enrollments, Game Schedules, and Workflow – Enrollments dashboards.
Rule of thumb: start with the Enrollment Information Report
If your question is about people who registered — who they are, what they answered, what size shirt they need, what they owe, what team they are on — the answer is almost always the Enrollment Information Report (Reports > Report Exports > Customer). Every field used during a program's enrollment process is reportable there, including custom fields, enrollment fields, add-ons (buy items), terms and conditions, reservation fields, and division/team assignments.
- Go to Reports > Report Exports and click Enrollment Information.
- For Type, select All Enrollment Types or a specific enrollment type.
- Select the Program (the dropdown is searchable — type a keyword), then use the Offering checkboxes to pick all age groups/offerings or just the ones you need.
- Set the Date Range.
- Move the fields you want from the left column to the right column.
- Set Export Type to Excel (xlsx) and click Export.
- Click Save Report and give it a name so you can reuse the exact same configuration next season.
When you are choosing columns, field names are prefixed to tell you where the data comes from — (e) enrollment field, (es) enrollment section/custom section, (t) terms and conditions, (c)/(c+), (a). See Understanding Report Field Types for what each prefix means.
Registrations, rosters and participants
- Who has registered / what they answered on the form (school, grade, uniform size, special requests, medical info) → Enrollment Information Report. Add the specific fields you collected.
- Parent/guardian names, emails and phone numbers → Account Information Report for your whole customer base, or the Enrollment Information Report (add the Customer fields) if you want it by program.
- Who is on which team, including assigned volunteer coaches → Enrollment Information Report with the division and Assignment – Team Name fields, then sort in Excel. For non-individual (team) registration, use Rosters (non-individual registration) and Team Information under the Schedule category.
- Who has not been assigned to a team yet → Enrollment Information Report with Assignment – Team Name included; blank means unassigned. You can also see this on the Program's 4 Roster > Assign to Roster page.
- A printable roster to hand to coaches → Reports > Report Viewer: Basic Roster Print Out (name, jersey number/size, guardian contact), Detailed Roster Print Out (full participant and coach detail), or Safe Roster Print Out (staff + players with background check number, expiration and status). - Who played last season but hasn't signed up this season → Who's Not Enrolled Report. Set Enrolled In to the previous program and Not Enrolled In to the current one.
- Accounts with no enrollments at all → see the existing article How to run a report of accounts with no registration enrollments.
Money: balances, payments, refunds and deposits
- Who still owes money for a specific program/camp → Enrollment Information Report with Paid, Paid Amount (Reconciled) and Account Balance moved to the right column. This is the standard answer for "who has an open balance for Summer Camp?"
- Aged outstanding balances across the organization → Reports > Report Viewer > A/R Aging Detail, grouped in 30-day buckets, oldest first. Only accounts with a balance over zero appear — it does not list negative/credit balances, and cancelled orders are not yet taken into account. Transactions must be reconciled for this report to be accurate.
- All transactions in a date range (for matching a bank statement) → Account Transactions Report (Report Exports) for line-item transaction detail, or Account Reconciliation Detail Report for reconciled item detail.
- Refunds issued → Reports > Report Viewer > Cash Flow Detail by Tran Type, or the Account Transactions Report exported to Excel and filtered on Transaction Type = Refund.
- Revenue/settlement totals by program → Reports > Report Viewer > Cash Flow Detail by Pgm. Archived programs will not appear in the selection list — unarchive them first under Programs > Archived Programs.
What was actually deposited into our bank account, and which payments made up that deposit → the settlement reports:
- Reports > Report Viewer: Settlements – Payrix (high-level view of each deposit) and Settlements By Date Range – Payrix (same, filtered to a date range — useful for matching one bank deposit).
- Reports > Report Exports: Settlement Detail (deposit totals), Settlement Item Detail (the individual transactions in a settlement, including credit card fees), Settlement Item Split Detail (a further breakdown of settlement items).
Your deposit is net of refunds, chargebacks and fees for that batch, so it may not match the raw sum of transactions. See Reconciling Payrix Settlements: Reading Your Financial Reports.
- Chargebacks → Payment Gateway Chargebacks report (Report Exports > Customer).
- A single family's balance explained → this is not a report. Go to Customers > Account Management > Search, find the customer, and click Print Account Statement.
Store, donations and add-ons
- Donations or items added on to a registration (program add-ons / buy items) → Add-On Report. Select the Buy Item and Program, and add fields such as Add Item Text or Addon Variance. Use Add-On Missing to find enrollments where an add-on was not selected.
- Storefront sales or standalone donations from the donation page → Store/Donation Detail Report. Choose the Storefront (Donations or Store), the Store Item, and any Variation.
- Full order history → Order Detail Report (one row per order, which may contain several lines) or Order Line Detail Report (one row per line within each order).
Schedules, games, officials and facilities
- A game schedule as a spreadsheet → Games Report (Report Exports > Schedule). Includes locations, statistics, and playoff detail in the Home Team Name / Away Team Name / Playoff Game fields. To show assigned officials, move the Official field to the right column.
- A schedule showing officials / officials assignments → the Officials reports under the Schedule category: Officials Assignments, Officials Batch, Officials Game, Officials Information. The Officials module is an add-on, so these only appear if it is enabled for your site.
- An on-screen, filterable schedule view → Reports > Report Dashboard > Game Schedules. Filter by League, Location and Date Range, then use the column filter boxes; set Page Size to the total record count to see everything at once.
- Practices → Practices Report. Game/score results → Stat Results Report.
- Total field/facility usage across games, practices and reservations → Games/Practices/Reservation Information Report, and be sure to include Event Type.
- Facility reservations, including reservation custom fields → Reservation Information Report (Facility Reservation category). Select All facilities or one facility, plus a Date Range.
- Location setup, availability and block times → Location Information Report, Location Availability, Location Availability Configurations. If a report filtered by Associated Org returns nothing, the Organization field must be set per location on the Location Details tab (you can mass-update via Schedules > Locations > Manage Locations > Update Multiple Locations), or set the dropdown to All Locations.
Communication, surveys and entry forms
- What emails/texts went out → Communication Log Report (select Subject, Date Range, and whether to include Emails and/or Text Messages).
- Who is on a contact list → Contact List Detail Report.
- Survey responses → Survey Detail Report (pick the Survey, the questions to include, and a response date range).
- Entry form submissions → Entry Form Responses Report (Content category). All entry form fields are included automatically; only "Entry Response Name" and "Response Date" are optional. Remember the form only captures fields you created — if you did not add a name or email field, it cannot be reported.
- Sponsors → Sponsor Detail Report (Content category).
Volunteers, memberships, background checks and workflow
- Volunteer records and their commitments → Volunteer Information Report.
- Hours logged against a volunteer opportunity → Volunteer Hours Report (select Date Range and Opportunity; columns are Opportunity Name, Volunteer First/Last Name, Total Hours). Limitation: the Volunteer Management module does not currently track an individual's required hours or whether an organization-specific requirement (e.g. 9 hours per season) has been fulfilled.
- Who has not signed up for a volunteer opportunity → Who's Not Signed Up Report. Note that a volunteer drops off this report once they sign up for a single opportunity, even if your requirement is not met.
- Memberships → Membership Information Report (current) and Membership History Report. Member passes print from Report Viewer (Member Passes, Player Member Passes).
- Background check status → Reports > Report Dashboards > Background Checks (select Program and Volunteer Type via Dashboard Configuration), the JDP Background Check report, or the Safe Roster Print Out for RMA number, expiration and status. If a check has expired the Status field is blank — open the customer's Enrollments page to trigger an update.
- Workflow completion → Reports > Report Dashboards > Workflow – Enrollments. Configure Program(s), Workflow Status (All/Complete/Incomplete) and Workflow Type (Participant/Volunteer).
- Governing-body / sanctioning exports → purpose-built reports such as AYF Roster Export, LLB Rosters, USA Softball Volunteer/Player, and GotSport exports. These only appear if the relevant integration is enabled.
- Program setup audit → Program Offering Configurations Report.
Saving a report so you can reuse it
- Configure and export the report until it looks the way you want.
- Click Save Report.
- Enter a Report Name and Description and click Save. To replace a saved report you already created, tick Overwrite?.
- Your saved report then appears in the list under its category (for example under Customers) and can be edited later using the edit icon next to its name.
- Reset puts the fields back to their original configuration.
Naming saved reports with the year (for example "2026 Lacrosse Report") makes it easy to copy last season's configuration forward.
If no report gives you what you need
Report Exports covers most combinations, but truly custom report layouts are limited today.
