Save Report keeps a Report Exports report's selections, fields and sort order under a name of your own, so next time you open it from Reports > Report Exports and click Export. Later you can overwrite it with new selections, rename it, keep it to yourself with Private?, lock its selections with Read Only?, or delete it.
Applies to: Admins who can open Report Exports · All plans (Read Only?: Enhanced plan and up) · Every Report Exports report except the USA Softball exports
Where: Reports > Report Exports
Save a report
- Go to Reports > Report Exports and click the name of the report you want.
- Make your selections: the report's filters (such as Program or Date Range), and the fields you want, moved from Available fields to Show these fields in this order with the arrow buttons or by dragging them, in the order you want them. Where the report offers them, pick up to three sort fields under Sort the report with the following fields.
- Click Save Report.
- In the Save Report window, enter a Report Name and, if you like, a Description that says what the report is for.
- Optional: check Private? so only you see the report, or Read Only? so other admins can run it but not change it.
- Click Save.
What you'll see: "You have successfully created the '(name)' Report." The page reopens as your saved report, titled with its name. On Reports > Report Exports it's listed in the same category as the report you built it from, with a green save icon (hover over it to see "Saved Report"), a lock icon if it's Read Only, its Description, and your name under Last Updated By.
Run a saved report
- Go to Reports > Report Exports and click the saved report's name.
- Check the selections. A saved report keeps the programs you picked, so pick this season's programs if the season has changed.
- Choose an Export Type and click Export.
Change a saved report's selections (Overwrite?)
- Open the saved report from Reports > Report Exports and change its selections or fields.
- Click Save Report. The window opens with the report's name, Description and Private? already filled in, and an Overwrite? box.
- Check Overwrite?.
- If the report should stay Read Only, check Read Only? again: it isn't filled in for you.
- Click Save.
What you'll see: "You have successfully updated the '(name)' Report." To keep the original and save a copy instead, leave Overwrite? unchecked and enter a new Report Name.
Rename a saved report or change Private? and Read Only?
- On Reports > Report Exports, click the Rename icon (the pencil) on the saved report's row.
- Change the Report Name, Description, Private? or Read Only?.
- Click Save.
Rename doesn't change the report's selections. To change those, use Overwrite? as above.
Delete a saved report
- On Reports > Report Exports, click the red X (Delete) on the saved report's row.
- Click OK on "Are you sure you want to delete the "(name)" Report?".
Deleting removes only the saved selections. No data is deleted, and the report you built it from stays in the list.
Who can see and change a saved report
| The saved report is | Who sees it in Report Exports | Who can overwrite, rename or delete it |
|---|---|---|
| Neither Private nor Read Only | Every admin who can run the report it was built from | Any of those admins |
| Read Only | Every admin who can run the report it was built from; the others can export it, but its selections are locked | Only the admin who saved it |
| Private | Only the admin who saved it | Only the admin who saved it |
- "The admin who saved it" is whoever last saved it with Overwrite?: overwriting another admin's report makes it yours.
- An admin limited by Report or Saved Report filters sees only the reports their filters name, and a Saved Report filter can show them a Private report too. See Why can't I add a filter to an admin? (Administrator role overrides other roles).
- TeamSideline support can rename or delete any saved report and change its Private? and Read Only? settings, for example on a report a former admin saved.
If it doesn't work
- "You must enter a name for your report." Enter a Report Name.
- "You must enter a unique name for your report. Your current report name is already in use for an existing report." Another report or saved report in the same category already has that name, possibly another admin's Private report that you can't see. Choose another name, or check Overwrite? if you meant to save over the saved report you opened.
- The selections are grayed out and there's no Save Report or Reset button. Another admin saved the report as Read Only. You can still export it. For different selections, open the report it was built from and save your own copy under a new name.
- There's no Rename or Delete icon on a saved report. It's Private or Read Only and another admin saved it. Ask that admin; if they've left, ask TeamSideline support to change its settings or delete it.
- A saved report isn't in your list. It's Private, your filters leave it out, or your role doesn't include the report it was built from.
- The name was cut short. A saved report's name keeps at most 50 characters.
- "You can only select a maximum of 200 fields before exporting a report." The Enrollment Information report exports at most 200 fields at a time. Move some back to Available fields.
- On a phone, the Save Report window doesn't fit the screen. Save reports from a computer.
Good to know
- A saved report keeps the report's filters, the fields and their order, and the sort fields. It doesn't keep the Export Type: each admin gets the Export Type they last exported with.
- On some reports one choice isn't kept and is back at its default when you open the saved report, so check it before you click Export: Selections on Enrollment Information (see How to run the Enrollment Information Report (who registered, answers, balances, team assignments)), Opportunity on Volunteer Hours and Who's Not Signed Up, Program on Payment Plan Detail, Transaction Type on Account Transactions, Membership on Membership History and Membership Information, Subject on Communication Log, Status on Officials Approved For, Schedule on Team Information, Gateway on Settlement Detail, and Payment Gateway and Settlement on Settlement Item Detail and Settlement Item Split Detail.
- A Date Range such as This Month or Last Year is worked out again each time you open the saved report. A Custom range keeps its dates.
- Reports run only when you click Export. There's no way to schedule a saved report or have it emailed.
- Read Only? shows only on the Enhanced plan and up, for admins whose role allows it (the Administrator role does).
- Report Viewer reports and the USA Softball exports have no Save Report button.
- Saving, overwriting, renaming and deleting a saved report are recorded in the Admin Activity Log (Enhanced plan and up); see How to see what your admins changed (Admin Activity Log).
- Fields from your own setup start with a code such as (e) for enrollment fields; see Understanding Report Field Types.
