Update Multiple Locations changes many locations in one step: it adds available or blocked times to all of them, deletes their availability or blocked times, changes their category, organization, game spacing, calendar visibility or first and last game flags, or adds or clears their age groups. Choose the Update Type, tick the locations, fill in the fields and click Update.
Applies to: Admins whose role includes Edit Location and Multiple Update · Elite and Enterprise plans (Organization, Game Spacing and Age Groups matter only with Advanced Scheduling) · Locations on Schedules > Locations
Where: Schedules > Locations > Manage Locations > Update Multiple Locations
Update several locations
- Go to Schedules > Locations > Manage Locations and click Update Multiple Locations.
- Under Step 1, choose the Update Type: Age Groups, Block Times, Location Details, Reset Availability and Block Times, or Set Availability.
- Under Step 2, tick the locations under Locations. They're grouped by category, each shown as its location name, field and any age groups. Ticking a category ticks all of its locations, and ticking All Locations ticks every location you can see.
- Under Step 3, fill in the fields for that Update Type (see below).
- Click Update.
What you'll see: "Multiple locations have been updated." and an empty Update Multiple Locations page, ready for the next change. The page doesn't show the locations' current settings; open a location's Details or Availability tab on Manage Locations to check the result.
Set Availability and Block Times: add times to every location
Set Availability adds a time when the locations are available for your games and practices, and Block Times adds a time when they aren't. Each location gets the new entry on its Availability tab; entries it already has stay as they are. A location with no availability at all counts as available at every time.
| Field | What to enter |
|---|---|
| Start Time and End Time | Hour and minute, from 12 am to 11:55 pm. The start must be earlier than the end, on the same day. |
| Date(s): Recurring | A Start Date and End Date (the end after the start) and at least one of the Recurring Day(s), Mon to Sun, or All Week. |
| Date(s): One Time | One date. Fill in either Recurring or One Time, not both. |
| Note | Optional, up to 255 characters, shown with the entry on each location's Availability tab. |
Reset Availability and Block Times: delete times
The page warns: "This will delete all availability and/or block times for selected locations." Tick Availability, Block Times or both. Every entry of that kind on each location you ticked, past and future, is deleted when you click Update. Nothing asks you to confirm, and the admin site can't bring deleted entries back, so note anything you'll need again first.
Location Details: change settings on every location
Fill in only the fields you want to change. A list left at Select is unchanged.
| Field | What it changes |
|---|---|
| Select or Enter Category | Choose a category, or type a new name (up to 50 characters) to create one. A category chosen in the list wins over a typed name. |
| Organization | The associated organization the locations belong to (Advanced Scheduling). It doesn't add that organization to the Associated Organizations list on each location's Details tab, which Auto Assign uses. |
| Game Spacing | "Length of time between the start of each game." The list runs from 5 to 240 minutes, but a location's Details tab offers 0 to 180, so stay at 180 or less. |
| Visible To Public | Whether the public can open each location's calendar from your Locations page (the location's Show Calendar setting). It doesn't show or hide the location itself: that's the eye icon on Manage Locations. |
| First Game Flag and Last Game Flag | Yes adds the first or last game arrow on schedules, with the optional message you type below it (up to 150 characters). No removes the arrow and its message. |
Age Groups: add or clear age groups
Choose an Age Group to add it to every location you ticked that doesn't have it yet, or tick Clear Existing to remove all of their age groups first. With both, each location ends up with only the age group you chose. Age groups on a location are used by Auto Assign (Advanced Scheduling), which plays a division's home games only at locations that list its age group.
If it doesn't work
- "Select at least one Location to update." Tick at least one location in Step 2.
- "Check either the Availability checkbox or the Block Times checkbox." With Reset Availability and Block Times, tick one or both.
- "Check either the Clear Existing checkbox or select from the Add Age Group dropdown." With Age Groups, choose an age group, tick Clear Existing, or both.
- "Select at least one Update field." With Location Details, set at least one field.
- "The Start Time has not been selected or is incomplete." or "The End Time has not been selected or is incomplete." Choose an hour for the time.
- "The Start Time cannot be greater or equal to the End Time." Make the start earlier than the end.
- "You must select Recurring or One Time." Choose one under Date(s).
- "The Start Date has not been entered.", "The End Date has not been entered." or "The Start Date cannot be greater or equal to the End Date." For Recurring, enter both dates, the end after the start. For a single day, use One Time.
- "At least one Day must be selected if a Recurring time has been selected." Tick at least one of the Recurring Day(s).
- "The One Time Date has not been entered." Pick the date.
- "You have selected a Recurring time but have entered date for a One Time." or "You have selected a One Time but have entered values for a Recurring time." Clear the dates of the option you're not using.
- There's no Update Multiple Locations button. Your plan doesn't include it (Elite and Enterprise), or your admin role doesn't include Edit Location and Multiple Update. Ask an Administrator.
- A location isn't listed. If your admin account is limited to some associated organizations, you see only their locations. Archived locations aren't listed.
- A location's Details tab shows an error after you set its Game Spacing above 180 here. Set Game Spacing to 180 or less on this page.
Good to know
- Set Availability and Block Times add an entry every time you click Update, so running the same update twice gives each location the entry twice. Delete the extra one on the location's Availability tab.
- With the Facility module, when Link Availability Blocks is Yes (Facility Reservation > Configurations > General), Block Times also blocks the facility at that location, if it's a time-use facility.
- Each location stands alone: there's no parent and child link between locations, so fields that share space (such as a full field and the smaller fields on it) must be blocked separately.
- To add many availability entries from a spreadsheet, use the Location Availability import (Elite and Enterprise) on Administration > Import Data. Like this page, it only adds entries and never deletes any, so importing the same file twice adds every entry twice.
