Volunteers can enter game scores without full admin access. Give a scorekeeper an admin login with only the Scorekeeper role: they can then use Edit Scores on any division and, on the Enhanced plan and up, Schedules > Multi Division Scoring to score several divisions on one page. Coaches and officials can also report scores themselves, and team staff can record a result on a game they added to their Team Site.
Applies to: Admins who manage users · Scorekeeper role and Edit Scores: all plans; Multi Division Scoring, Auto Coach Scoring and Coach Sign-In: Enhanced, Elite and Enterprise; officials' scores: Officials module · League and tournament divisions
Where: Administration > Manage Users > Users (Roles tab); then Schedules > Leagues & Divisions > (division) > Edit Scores, or Schedules > Multi Division Scoring
Choose who enters scores
| Who | Where they enter scores | What you set up |
|---|---|---|
| A scorekeeper, such as a league volunteer or a score-table helper | Your admin site: Edit Scores on a division's Standings page, or Schedules > Multi Division Scoring | An admin login with only the Scorekeeper role (below). Multi Division Scoring needs the Enhanced, Elite or Enterprise plan. |
| Coaches and team contacts | The "SCORE YOUR GAME" email, or Coach Sign-In on your website | Auto Coach Scoring on the division (Enhanced plan and up). No admin login is needed. |
| Officials, such as referees and umpires | Their Post Game Report, on your website or in the TeamSideline app | A role with Enters Scores ticked on Officials Management > Configurations, and Auto-Post Scores set to Yes to post the score (Officials module) |
| Team staff on a Team Site | Game Result on a game they added on the Team Site's Events page | Nothing. These results stay on the Team Site and don't change your standings. |
Set up a scorekeeper
- Go to Administration > Manage Users > Users and click Add User.
- Enter the volunteer's First Name, Last Name and Email Address, and a first Password that is unique to them, then click Add. You'll see "New user has been added."
- Click the Edit icon next to the new admin and open the Roles tab.
- Uncheck every role except Scorekeeper, including Administrator and Billing.
- Click Save. You'll see "The user has been updated."
- Tell the volunteer to sign in with Admin Sign In on your website, not Sign In, using that email address. They can set their own password with Forgot your password? on the Admin Sign In page, and they accept the admin site terms the first time they sign in.
What you'll see: the Roles column on Manage Users lists only Scorekeeper for them. When they sign in, the Schedules menu shows Leagues & Divisions and, on the Enhanced plan and up, Multi Division Scoring.
What a scorekeeper can do
- Score one division: Schedules > Leagues & Divisions, click the division's name to open its Standings page, and click Edit Scores.
- Score several divisions at once: Schedules > Multi Division Scoring, for games over up to 7 days. It needs the Multi-Division Scoring permission, which comes with the Scorekeeper, Scheduler and Administrator roles, and the Enhanced, Elite or Enterprise plan.
- Each step, Disposition and message on those pages is explained in How to enter game scores as an admin (Edit Scores and Multi Division Scoring).
- The role doesn't let them create or change schedules, change programs or registrations, see your customers' accounts or manage other admins. What does each admin role allow? lists what each role includes.
If your organization has associated organizations, you can limit a scorekeeper to one organization's games: open their Filters tab on Manage Users and add an associated organization filter. Games at other organizations' locations are then read-only for them, and Multi Division Scoring lists only their organization's locations. See Why can't I add a filter to an admin? (Administrator role overrides other roles).
Let coaches report scores
With Auto Coach Scoring on a division, each team's contacts get a "SCORE YOUR GAME" email after each game and report the score from it, without an admin login. If your organization also uses Coach Sign-In, coaches can score the game after signing in on your website. To turn it on, see How to turn on Auto Coach Scoring for a division (each setting explained). What coaches do is in How coaches report game scores and stats (scoring email, Coach Sign-In and Stats Entry) and How coaches report scores and stats from the Auto Coach Scoring email.
Let officials report scores
- Go to Schedules > Officials Management > Configurations.
- In the Roles section, click the Edit icon on the role whose officials should report the score, such as your plate umpire or center referee, tick Enters Scores and click Save.
- For their scores to post by themselves, set Auto-Post Scores to Yes in the General section and click Save.
After the game, an official in that role opens the game under Officials Management > Post Game Reports on your website, chooses I attended and enters both teams' scores, or chooses a reason under "If game not played, select a reason:". With Auto-Post Scores set to Yes, the score updates the game and your standings when the game has no result yet (it's Not played or Scoring in progress). A game that already has a result keeps it. With No, the score stays in the official's report: open it on Schedules > Officials Management > Assignments > Post Game Reports and enter the score with Edit Scores.
If your officials work for several associated organizations, Auto-Post Scores is set for each organization under Administration > Associated Organizations instead.
Team Site results
Team staff (Coach, Assistant Coach, Manager, Team Parent and Site Coordinator) can record a Game Result, such as Win, Loss or Tie, with a Team Score and Opponent Score, on a game they added with Add Event on their Team Site. That result shows on the Team Site only. It never reaches your standings, and a league game's score on a Team Site always comes from your schedule, so team staff can't enter it there.
If it doesn't work
- There's no Scorekeeper on the Roles tab. Your organization's role list doesn't include it. Contact TeamSideline Support.
- The scorekeeper doesn't see Multi Division Scoring. Your plan doesn't include it (it's on Enhanced, Elite and Enterprise). They can score each division with Edit Scores.
- Edit Scores is grayed out or missing. The division has no schedule yet, or its league is archived. For the other causes, see How to enter game scores as an admin (Edit Scores and Multi Division Scoring).
- Some games can't be changed. The scorekeeper has an associated organization filter, so games at other organizations' locations are read-only for them.
- Add User is grayed out, with a note that your plan supports a maximum number of administrators. Every admin login counts toward your plan's admin limit, scorekeepers included. Remove an admin you no longer need, or upgrade your plan.
- An official's report has no score boxes. Their role doesn't have Enters Scores ticked, or they chose "No, I didn't make it."
- An official's score didn't reach the standings. Auto-Post Scores is No, or the game already had a result. Enter or correct the score with Edit Scores.
- A Team Site result isn't in your standings. That's expected: results entered on a Team Site stay there.
Good to know
- The admin limit is 5 on Core, 10 on Enhanced and 20 on Elite, with no practical limit on Enterprise.
- Give each scorekeeper their own login with their own email address, so you can remove one without affecting the others. At the end of the season, remove them with the red X on Manage Users; their family account isn't affected.
- Coaches who report scores through Auto Coach Scoring don't need an admin role.
- The Pitch Count feature in the TeamSideline app doesn't send a game's score to your standings.
