The Enrollment Information report exports one row per registration in the programs you choose, with the columns you pick: contact details, enrollment field answers, add-ons, payment status, and division and team assignments. Go to Reports > Report Exports, click Enrollment Information, choose a Type and your programs, move the columns you want into the report and click Export.
Applies to: Admins with access to Report Exports · All plans · All registration programs (for players on Team Registration plus Roster rosters, use the Roster Enrollment report)
Where: Reports > Report Exports > Enrollment Information
Run the report
- Go to Reports > Report Exports and click Enrollment Information.
- If you see Organization, check the organizations to include and choose Select by: Customer Organization or Offering Owner Organization.
- In Type, choose All Enrollment Types, Player, Volunteer, Sponsor or General (adult and team registrations). For Volunteer, you can pick one role in Selections.
- In Program, check one or more programs. Type part of a name to search. Programs are grouped under Current Programs and Archived Programs.
- Optional: in Offering, uncheck the offerings you don't want. Every offering of the programs you checked starts out checked.
- In Date Range, leave All Dates or choose a period. It filters on the date each registration was placed, not on program dates.
- Under Enrollment Status, check Accepted Enrollments (checked to start), Canceled Enrollments and Waitlisted Enrollments as needed.
- Optional: enter an Order Number without the # sign, or part of a team name in Assigned Team. Organizations that use Workflows can also choose a Workflow to add its items as columns.
- Under Columns, move fields from Available fields to Show these fields in this order with the arrow buttons or by dragging them. Drag them up or down to set the column order.
- 1Choose an Export Type: Excel (xlsx), CSV, Html or Tab (legacy). The page remembers your choice.
- Click Export.
What you'll see: a file with one row per registration, sorted by offering and then by the registrant's last and first name.
Useful columns
| Column | What it shows |
|---|---|
| Assignment - Team Name, Assignment - Division Name | The team and division the person is assigned to. For team registrations, the registered team. |
| Assignment Date | When they were assigned to the team |
| Order Date | When the registration was ordered. Export last season's program with it to count registrations by day or week and compare them with this year. |
| Enrollee Birthday, Age As Of | The registrant's birth date, and their age on the offering's Age As Of Date |
| Paid, Paid Amount (Reconciled) | Whether the registration's cost is fully reconciled with payments, and the amount reconciled. Paid appears only if your admin role includes Account Reconcile. |
| Account Balance | The balance of the family's whole account, not just this registration |
| Coupon Code, Coupon Discount, Coupon Offer Desc | The coupon used on the registration |
| Within Boundary | In Bounds, Out of Bounds, or N/A when no boundary check applied |
| New vs Returning | Returning if, when they registered, the player already had a registration with your organization (for a volunteer, the adult already had one on the account); otherwise New. Your own registration questions don't change it. |
| Enrollment Image | Yes if the registration has a photo, otherwise No |
| Order Source | Whether the order was placed online or by an admin (Offline) |
| Customer and Customer 2 columns | The primary account holder, and the second parent or guardian on the account, with their names, email addresses and phone numbers (for example Customer 2 Email and Customer 2 Phone Number). Add them to export the parents' contact details for the programs you choose. |
| Enrollee Id | The player's ID on player registrations; the adult's ID on volunteer and adult registrations |
| Background Check columns | The volunteer's background check (organizations with background checks) |
| Session | Youth Camp registrations only: the session the registration is for, by its name or the week or day it covers, so day-by-day registrations can be told apart from full-week ones |
| Membership Check Reference, Membership Check Status | The membership number checked at registration and the result of the check (organizations that use the membership check) |
What the prefixes mean
Fields from your own setup start with a code, as the key under Columns explains:
- (e) Enrollment fields, your questions on the registration form. Once you check programs, only the fields on those programs are listed.
- (es) Fields from a custom section TeamSideline set up, such as medical information.
- (c) Custom fields on player, parent, account, team and internal enrollment records. (c+) Parent custom fields for the account holder (Customer) and the second parent (Customer 2).
- (a) Add-ons: Yes or No, with columns for the add-on's options (Variance), text, cost and quantity.
- (t) Terms & Conditions, with a Revision column.
- (w) Workflow items, when you choose a Workflow.
Save the report to run again
- Set up the report as above.
- Click Save Report.
- Enter a Report Name (up to 60 characters) and, optionally, a Description.
- Optional: check Private? to keep it to yourself, or Read Only? (Enhanced plan and higher) so others can run it but not change it.
- Click Save.
Saved reports are listed on Reports > Report Exports with a save icon. Click the name to open it with your settings, then click Export. To change one, open it, adjust it, click Save Report, check Overwrite? and click Save.
Save Report doesn't keep the Selections choice. When you open a saved volunteer report, choose the role in Selections again before you export, or the file includes every volunteer type.
If it doesn't work
- "Please make a selection for Type.", "You must select at least one program." or "You must select at least one enrollment status to include." Complete the option named.
- "You must select Start and End dates." or "The Start date cannot fall after the End date." Fix the Date Range, or choose All Dates.
- "You must select at least one Field before exporting report." or "You can only select a maximum of 200 fields before exporting a report." Keep between 1 and 200 fields in Show these fields in this order.
- "Please make a selection for Organization." Check at least one organization.
- "You must enter a name for your report." or "You must enter a unique name for your report. Your current report name is already in use for an existing report." Enter another Report Name, or check Overwrite? to replace the saved report you opened.
- A program isn't in the Program list. Choose a Type first. Programs whose registration hasn't opened yet aren't listed, and neither are the rosters of Team Registration plus Roster programs: use the Roster Enrollment report for those players.
- An enrollment field isn't in Available fields. After you check programs, only the enrollment fields currently on those programs are listed. A field removed from a program no longer appears for it.
- Fewer rows than expected. Check Enrollment Status (only Accepted is checked to start), the Date Range (registration date), the Offering checkboxes, and the Order Number and Assigned Team boxes. If an adult program's file is empty, set Type to General or All Enrollment Types: adult registrations are General, not Player.
- There's no Paid column. Your admin role doesn't include Account Reconcile. Background check columns appear only for organizations with background checks.
- A saved volunteer report lists every volunteer type. Choose the role in Selections again before you export.
Good to know
- Each registration is its own row, so someone registered in two programs, or as both a player and a volunteer, appears more than once.
- Answers go into columns by field name, so give each enrollment field its own name.
- Mail Merge documents use the same fields, so a column you see here can go on a printable form.
- Reset reloads the page and drops changes you haven't saved.
- For counts or a list you can sort and click, use Reports > Report Dashboards > Enrollments.
