To list families who have never registered for anything, export the Account Information report with Exclude accounts with an enrollment checked. To find people who registered for one program but not another, for example last season but not this season, use the Who's Not Enrolled report instead.
Applies to: Org admins with access to Report Exports · All plans · Registration organizations
Where: Reports > Report Exports > Account Information, or Reports > Report Exports > Who's Not Enrolled
Which report to use
| You want | Use |
|---|---|
| Accounts with no enrollment of any kind | Account Information, with Exclude accounts with an enrollment |
| Players, adults or volunteers who were in one program but haven't registered for another | Who's Not Enrolled |
| Everyone who is enrolled in a program | Enrollment Information |
Export accounts with no enrollments
- Go to Reports > Report Exports and click Account Information.
- If you see Organization, check the organizations to include.
- Under Include, check the rows you want: Primary Accounts (one row per account), Additional Parents and Players (one row per player).
- Leave Date Range at All Dates, or choose a range to list only accounts created in that period. It filters on the date each account was created, not on registrations.
- Next to Enrollments, check Exclude accounts with an enrollment.
- Next to Inactive, check Include inactive accounts if you want them too.
- Under Columns, move the fields you need from Available fields to Show these fields in this order with the arrow buttons or by dragging them, for example Player First Name and Player Last Name plus the contact fields you need.
- Choose an Export Type: Excel (xlsx), CSV, Html or Tab (legacy).
- Click Export.
What you'll see: a file with one row for each account, additional parent or player you included. On Players rows, the parent and contact columns show the primary account holder.
What Exclude accounts with an enrollment leaves out
The box removes the whole account if anyone on it has ever had an enrollment in your organization:
- any member, in any role: a player, a parent, a volunteer, a sponsor or a team registration;
- any program and season, including archived programs;
- any status: accepted, waitlisted or canceled.
So if one child in a family is registered, none of that family's players are listed. To find individual people who haven't registered, use Who's Not Enrolled.
Find people enrolled in one program but not another
- Go to Reports > Report Exports and click Who's Not Enrolled.
- In Type, choose Player, Volunteer, Sponsor or General (adult registrations).
- In Enrolled In, choose the program they were in, for example last season's. Programs are grouped under Current Programs and Archived Programs.
- In Not Enrolled In, choose the program to check, for example this season's.
- Under Columns, choose the fields to show.
- Choose an Export Type and click Export.
What you'll see: everyone of that type with an accepted or waitlisted enrollment in the first program who has no enrollment of the same type in the second. People are matched one by one, so a family can be listed for one child and not another. A canceled enrollment in the second program still counts as enrolled.
If it doesn't work
- "You must select at least one of the available Include checkboxes." Check Primary Accounts, Additional Parents or Players.
- "You must select at least one Field before exporting report." Move at least one field to Show these fields in this order.
- "The Start date cannot fall after the End date." Fix the Date Range.
- "Please make a selection for Type.", "Please make a selection for Enrolled In." or "Please make a selection for Not Enrolled In." Fill in the field named.
- "Enrolled In and Not Enrolled In cannot contain the same selections." Choose two different programs.
- A family you expected isn't in the Account Information file. Someone on the account has an enrollment (even a canceled one), the account is inactive (check Include inactive accounts), or it was created outside the Date Range.
- A program isn't in Enrolled In or Not Enrolled In. Only programs whose registration is Open or Closed are listed, so a program that isn't open yet won't appear.
- There's no Include section. On sites that register adults only, the report lists primary accounts only.
Good to know
- Account Information covers every customer account in your organization; it isn't limited to a program.
- The birth date column is filled for players. For parents, it's filled only when your organization collects adult dates of birth, for example for background checks or with a Personal Information section on adult registrations. That section also fills Legal First Name, Legal Middle Name and Legal Last Name.
- Click Save Report to keep these settings so you can run the same export again.
- To see who is enrolled in a program instead, use the Enrollment Information report or Reports > Report Dashboards > Enrollments.
