To move a team to another division after it has played games, first replace it in its old division's games with a placeholder team, then move it on the Reposition Teams page and add its played games to the new division. Because the team itself moves, it keeps its roster.
Applies to: Admins and schedulers · All plans · Leagues not linked to a registration program and leagues linked to individual (Youth or Adult) registration programs; not Team Registration leagues
Where: Schedules > Leagues & Divisions > (division) > More Options (2 Teams, 3 Time Slots, 4 Create Schedule, Edit Scores), plus the Reposition Teams icon on the league's row
First, pick the right method
- The team isn't in any game yet: drag it to the new division on Reposition Teams. See How do I move a team to a different Division?
- The team only needs a few games against another division of the same league: you don't have to move it. On the division's 4 Create Schedule page, click Add Game. The Home and Away lists include teams from the league's other divisions, shown as "Division, Team". Only one team in a game can be from another division. Exclude Cross Division on 1 Configuration > Scoring decides whether these games count in standings.
- A team is joining or leaving the league: see Removing a team after a schedule has started.
- Team Registration league: Add Team is turned off there, so the steps below can't be used. See How to swap teams from one division to another for a Team Registration program if I can't delete the schedule.
- Otherwise, follow the steps below.
Why a placeholder is needed
Reposition Teams grays out a team that is still in any game on its division's schedules, and on 4 Create Schedule you can only change the teams in games that are "Not played". So you reset the team's played games, hand its games to a placeholder that keeps the team's name in the old division, move the team, and then re-create its played games in the new division.
The steps use these example names: Cubs moves from Division A to Division B, and Bears is a team Cubs already played in Division A.
Step 1: Prepare
- Go to Schedules > Leagues & Divisions and click Division A's name to open its Standings page.
- Choose Cubs in the team list at the top and click Print View. Keep this list of Cubs' games (week, date, time, location, opponent and score). You'll need the scores later.
- Back on Leagues & Divisions, click the eye icon for Division A and for Division B so each turns red (Schedule Not Visible). Families won't see the half-finished schedules.
Step 2: Reset Cubs' played games in Division A
- Open Division A's More Options menu and click Edit Scores.
- 2For each game Cubs played, clear both scores and set Disposition to Not played.
- Click Save.
Step 3: Rename Cubs and add a placeholder in Division A
- Open Division A's More Options menu and click 2 Teams.
- Click the Edit icon for Cubs, add an asterisk to the end of Team Name (Cubs*) and click Save. Team names must be unique within a division, so this frees the name.
- Click Add Team, enter Cubs as the Team Name, check External Team and click Add.
The placeholder keeps the name Cubs on Division A's schedule. As an external team it isn't listed in Division A's standings.
Step 4: Replace Cubs* in Division A's games
- Open Division A's 4 Create Schedule page.
- In every game where Cubs* is the Home or Away team, change that drop-down to Cubs (the placeholder). For games that haven't been played, you can instead open the game's menu (the icon at the end of its row) and click Delete Game.
- Click Calc & Save.
- If Cubs* is also in Division A's 2nd Half or Playoff schedule, take it out of those games too. A team can't be moved while it's in any game.
- Optional: to let Division A's other teams keep their results against Cubs, open Edit Scores again, enter the scores for the games now played by the placeholder and click Save.
Step 5: Move Cubs* to Division B
- On Schedules > Leagues & Divisions, click the Reposition Teams icon (two arrows) on the league's row.
- Drag Cubs* and drop it on Division B's name.
What you'll see: Cubs* is listed under Division B. A grayed-out team can't be dragged because it's still in a game.
Step 6: Add Cubs' played games to Division B
- Open Division B's 2 Teams page, edit Cubs*, remove the asterisk and click Save.
- For each opponent Cubs played in Division A (Bears in the example), click Add Team, enter the opponent's name, check External Team and click Add.
- On Division B's 3 Time Slots page, click Add Time Slot for the day, time and location of each played game that has no matching time slot. If the page opens Auto Assign instead, click Disable Auto Assign first (this removes the division's Auto Assign settings). You can also skip this step: add the game with any time slot in the next step, then open its menu, click Edit Game and set its Day, Time and Location. A matching time slot is created for you.
- On Division B's 4 Create Schedule page, click Add Game, choose the Week (Division B's week that matches the game's date), Time Slot, Home and Away team for one played game and click Add. Repeat for each played game and for Cubs' upcoming games, then click Calc & Save.
- Open Division B's Edit Scores, enter the scores from your list and click Save. A game with both scores entered changes to Played.
Step 7: Check the results and show the schedules
- Division A's standings no longer list Cubs.
- Division B's standings show Cubs with the right record. Choose Cubs in the team list on Division B's Standings page to review its whole schedule.
- Click each division's eye icon on Leagues & Divisions to make its schedule visible again.
If it doesn't work
- "Add Team" and "Add Placeholders" are disabled due to the registration type Team. Teams are added during the enrollment process. This is a Team Registration league. Use the Team Registration article linked above.
- The team is grayed out on Reposition Teams. It's still in at least one game on a Regular, 2nd Half or Playoff schedule of its division. Check each of the division's 4 Create Schedule pages. A team that belongs to a pool can't be moved at all while its division has a schedule.
- The division you want isn't listed on Reposition Teams. It's in a league with a different season or sport. For leagues linked to registration programs, the registration type must match too.
- A game has no Home or Away drop-down on 4 Create Schedule. The game isn't Not played. Reset it on Edit Scores (Step 2).
- "This Team name is in use. Please use a different Team name." Another team in that division already has the name. Rename the original team first (Step 3), or add something to the external opponent's name.
- "All scores are required for both home and away teams for played games (see Week …)" When you clear a game's scores, also change its Disposition to Not played.
- "Team could not be repositioned. Please try again." Reload Reposition Teams and drop the team directly on the division's name.
Good to know
- Moving a team on the schedule doesn't change anyone's registration or program offering. In a league linked to a registration program, change enrollments separately if they should match the new division.
- If the team has practices assigned, moving it turns on the practice schedule for the new division.
- To swap two teams between divisions, follow these steps for each team.
- External teams don't appear in standings, but the teams that play them keep the results of those games.
