If you're looking for information about player passes, membership cards, volunteer passes, digital player cards, roster passes, or printing player passes, this article covers everything you need to know. In TeamSideline, these are officially called Member Passes.
Member Passes allow you to create digital or printable identification cards for players, volunteers, coaches, or other participants. Passes can display participant information, enrollment details, photos, membership status, custom fields, and (if enabled) Card Tracking information.
Before You Begin
The Member Passes feature must be enabled on your organization.
If Member Passes are not available, contact support@teamsideline.com to request activation.
Status Bar (Workflow, Membership, or Card Tracking)
If your organization uses the Workflow, Membership Module, or Card Tracking, each Member Pass displays a colored status bar.
- Green = All required steps are complete.
- Red = One or more required items are incomplete.
This provides staff with an easy way to verify eligibility at a glance.
Create a Member Pass (Player Pass Template)
- Go to Programs > Configurations > Member Passes.
- Click Add Member Pass.
- Enter a Member Pass Name.
- Click Add.
- Select the Participant Type.
- For volunteer passes, select the appropriate Volunteer Type.
- Choose the Subheader Field that will appear beneath the participant's name.
- Only one subheader can be displayed.
- You may also select Custom Text to enter your own subheader.
- Click Save.
Add Information to the Pass
- Click Add Field.
- Select the fields you want displayed.
- Click Save after each addition.
A Member Pass can display up to six fields.
You can also edit an existing pass from Programs > Configurations > Member Passes.
Enrollment Fields
If you add Enrollment Fields to a Member Pass, those same Enrollment Fields must also be included in the Program so the information is collected during registration.
Card Tracking Information (Optional Upgrade)
If your organization has the Card Tracking upgrade, you can display Card Tracking information such as:
- Card Count
- Card Expiration Date
If a participant has been suspended, their Member Pass automatically displays a red "Suspended" banner.
Card Tracking is an optional feature. Contact support@teamsideline.com if you'd like to add it.
Enable Member Passes for a Program
- Go to Programs > Manage Programs.
- Open the desired Program.
- Go to the 1. Setup page.
- Set Enrollment Image to Yes, Required, or New.
- Set Enable Member Pass to Yes.
- Select the Member Pass template to use.
- Click Save.
If your Member Pass displays Enrollment Fields, be sure those fields have also been added to the Program.
View a Player Pass or Volunteer Pass
To view an individual Member Pass:
- Go to Customers > Account Management > Search.
- Find the customer.
- Open their Account Overview.
- Select the Enrollments tab.
- Click the magnifying glass next to the participant.
Print Player Passes for an Entire Team
- Go to Programs > Manage Programs.
- Open the Program.
- Select the 4. Rosters tab.
- Choose a Team.
- Click Print Member Passes.
This prints passes for every rostered participant on that team.
Print Player Passes for an Entire Program
This feature is available with the reporting upgrade.
- Go to Reports > Report Viewer.
- Select Member Passes from the report list.
- Choose the Member Pass template.
- Select the Program.
- Click Preview.
- Print the passes.
