Families can register for a program only when its eye icon on Programs > Manage Programs is green (visible) and its Reg Status is Open. A visible program can still be listed on your website before or after its registration dates, just without a way to register. The program's row on Manage Programs usually shows the cause.
Applies to: Org admins · All plans · All registration programs, on legacy and Editor 2.0 websites
Where: Programs > Manage Programs (eye icon, Pgm Status, Reg Status); the program's 1 Setup (Program Duration) and 2 Configuration (offering dates)
Step 1: Check the program's row on Manage Programs
- Go to Programs > Manage Programs.
- Find the program and look at its eye icon (Toggle Visibility), its Pgm Status and its Reg Status.
- Match what you see to the table below.
| What you see | What it means | What to do |
|---|---|---|
| A red eye | The program is hidden. New and copied programs start hidden. | Click the eye so it turns green. |
| Reg Status: Not Open Yet | Registration hasn't started. It opens on the earliest start date among the offerings' registration dates, not on the Program Duration. | Wait for that date, or move the offering's Reg. Duration (or Early Reg. Duration) Starts date. |
| Reg Status: Closed | Every registration window has ended, including late and volunteer dates. | Move the offering's Reg. Duration (or Late Reg. Duration) Ends date to reopen it. |
| Pgm Status: Closed, and the eye is grayed out | The program's Program Duration on 1 Setup has ended. The program drops off every list on your website, and its eye can't be changed. | If the program is still running, move Program Duration Ends on 1 Setup and click Save. |
| The program isn't on Manage Programs | It's archived, or your admin user is limited to certain associated organizations or sport types. | Look in Programs > Archived Programs and un-archive it. |
To change an offering's dates, click its Edit icon (pencil) under Offerings on the program's 2 Configuration page, change the dates (times must be on the hour) and click Save. Tiered Pricing programs take their dates from Registration Pricing Tiers on 1 Setup instead.
What you'll see: both statuses update when you save, and on their own as the dates pass. With a green eye and Reg Status Open, families can register.
What Pgm Status and Reg Status mean
- Reg Status says whether registration is open today. It's Open from the earliest start among the offerings' dates (Early Reg. Duration, Reg. Duration or Volunteer Reg.) to the latest end (Reg. Duration, Late Reg. Duration or Volunteer Reg.), Not Open Yet before that, and Closed after. Each offering still opens and closes on its own dates. Volunteer dates that run later than player registration keep the program Open, and legacy websites then show it as Open for Volunteers.
- Pgm Status says where the program is in its season. It's Not Open Yet until registration first opens, Open from then until the Program Duration Ends date on 1 Setup arrives, and Closed after that. It decides which list on your website a visible program appears in. Families never see archived programs.
- The eye only shows or hides the program. It doesn't open registration: with a green eye, a program shows Not Open Yet until its registration starts.
Where families see the program
| Where | Which programs it shows |
|---|---|
| The Registration page (legacy websites) | Visible programs whose Pgm Status is Open. Their Enroll button shows only while registration is open. A program stays listed after registration closes, until its Program Duration ends or you hide it. |
| The Upcoming Programs page (legacy websites) | Visible programs whose Pgm Status is Not Open Yet. |
| The home page (legacy websites) | Visible programs with Show on Home Page checked whose Pgm Status is Open or Not Open Yet. |
| Editor 2.0 websites | Only pages that have a Programs widget, which lists Highlighted, Current or Upcoming programs. See CMS: Show your programs on your website (Programs widget). |
| The registration cart (every website) | Visible programs whose Reg Status is Open, plus a hidden program when the family arrives through its Program Access link. |
Show on Home Page (the box on 1 Setup, or Toggle Show on Home Page on Manage Programs) only features a visible program on your home page. It doesn't hide a program or decide whether families can register.
A hidden program can still be shared privately with a Program Access link, which works while its Pgm Status is Open. While it's hidden, its More Info page sends visitors to your home page.
Step 2: If the program is open but a family can't register
- The program isn't in the Program list. Youth programs are listed only after the family chooses a child as the Enrollee, and adult programs only when they choose an adult. A family with no child on the account clicks Add Enrollee first. When nothing fits the person chosen, the Enrollment Type list reads "There are no available programs to enroll in at this time for this enrollee."
- "There are no available offerings to enroll in for the enrollment type and program selected." No offering is open to that participant: its own dates haven't started or have ended; its Age Restriction Action is Prevent and the child's birth date (or grade) doesn't fit or isn't on the child's profile; its Gender Restrictions leave the child out; or Customer Access limits it (below).
- An offering shows (FULL). Its Max # of Enrollments is reached and the waitlist is off.
- Customer Access (organizations with Multi-Org Registration). When organizations are listed under Selected in Customer Access (1 Setup > Multi-Organization Settings), only customers associated with them can enroll in the program and its offerings. Move the missing organization from Available to Selected with the arrow and click Save. Offerings can have their own Customer Access too.
- The cart says your organization "does not have any Programs which are open for Enrollments at this time -- check back again soon!" No program is both visible and open for registration. Go back to Step 1.
If it doesn't work
- "You cannot show this program because there are no Offerings configured." The eye stays red. Add an offering on 2 Configuration, then click the eye again.
- "You do not have one or more of the following defined for this program: Terms & Conditions, an Enrollment Field, or a Custom Section." This is only a warning: the eye still changes. In Youth Registration programs it appears when any one of the three is missing, and it doesn't say which. Check those three sections on 2 Configuration.
- "You do not have any Terms & Conditions defined for this program." The Team Registration version of the same warning.
- "Please review your Program Duration Start and End dates on the program "1 Setup" page for accuracy." The Program Duration has ended, or it starts and ends on the same day. Fix the dates on 1 Setup.
- The eye is grayed out. The program's Pgm Status is Closed, or your admin role doesn't allow changing program visibility. Ask an admin who manages your users.
Good to know
- Before you open registration, check that the eye is green, an offering's registration dates are open, your payment gateway is set up for card payments (Administration > Payment Gateway), and the program has the enrollment fields and Terms & Conditions you need.
- To test a program before families can see it, keep it hidden and use a Program Access link. If you turn the eye green to test, turn it red again until you're ready.
- To test a youth program the way a family sees it, sign in with an account that has a child whose birth date fits one of its offerings.
