A registration program can check one thing about who may register for each offering. You choose it in Age Validation Type on the program's 1 Setup page: Age As Of (age on a cutoff date), Custom Validation (birth-date ranges you name, such as grades) or Grade Validation (the Player Grade on each player's profile). Each offering's Age Restriction Action then decides whether a mismatch only warns the family or stops the registration.
Applies to: Org admins · All plans (Custom Validation needs the Custom Grade Validation permission, and Grade Validation the Player Grade permission) · Youth Registration, Adult Registration, Youth Camp Registration and Team Registration plus Youth Roster Registration programs
Where: Programs > Manage Programs > (your program) > 1 Setup > Age Validation Type, then 2 Configuration > Offerings > Edit
The three checks at a glance
| Check | What it compares | What you set on each offering | Program types |
|---|---|---|---|
| Age As Of | The participant's age on the offering's Age As Of Date, or their birth date against a From and To date range | Age As Of Date, Restriction Range Type (Age or Date) and Age Restriction (From and To) | Youth Registration, Adult Registration, Youth Camp Registration and Team Registration plus Youth Roster Registration |
| Custom Validation | The participant's birth date against named birth-date ranges in a list you build once under Programs > Configurations > Custom Grade Validation | Custom Grade Validation Item (one or more ranges) | Youth Registration, Adult Registration and Youth Camp Registration |
| Grade Validation | The Player Grade on the player's profile, which families enter and which moves up one grade every year on your Player Grade Update Date | Player Grade (one or more grades) | Youth Registration and Youth Camp Registration |
On an Adult Registration program, Age Validation Type appears only when Birthday on Customers > Configurations > General is Yes, Required or Yes, Optional, because adults are checked against their own birth date. Team Registration, Team Registration plus Adult Roster Registration and Youth & Adult Registration programs have no Age Validation Type.
How to choose
- Age groups with a cutoff date (for example, U10 as of August 31): use Age As Of. Each offering has its own Age As Of Date, and families see the eligible birth dates under each offering on the program's More Info page.
- Grades worked out from birth dates (for example, your school district's cutoff decides who is in 3rd grade): use Custom Validation. One list can serve many programs, and an offering can take several ranges, such as 3rd and 4th grade. The ranges are fixed dates, so update them before each season.
- The grade the player is actually in, including players held back or moved ahead a year: use Grade Validation. Families must give every player a grade, and grades move up on their own each year.
- No age or grade limit: leave Age Validation Type at None.
A program uses one check, so it can't check age and grade together. Gender Restrictions are separate and work alongside any of the three.
Set up the check you chose
- Custom Validation only: build your list of birth-date ranges under Programs > Configurations > Custom Grade Validation.
- Grade Validation only: on Customers > Configurations > General, set Player Grade to Yes, choose a Player Grade Update Date and click Save. Then build your grade list under Programs > Configurations > Player Grade.
- Go to Programs > Manage Programs, click the program's name and open 1 Setup.
- In Age Validation Type, choose the check. For Custom Validation, also choose your list in Custom Grade Validation.
- Click Save.
- Open 2 Configuration (2b Roster Configuration for a Team Registration plus Youth Roster program) and click the Edit icon on an offering, or click Add Offering.
- Set Age Restriction Action to Warning or Prevent (see below), then fill in the check's fields from the table above.
- Click Save (Add for a new offering), and repeat for each offering.
What you'll see: the check's fields appear on offerings only after 1 Setup is saved with a check. Each check's own article, under Related articles, has every field, example and message.
Warning or Prevent
| Age Restriction Action | What families see when they register |
|---|---|
| None | Nothing is checked for that offering, whatever the program's Age Validation Type. |
| Warning | Every offering is listed. If the participant doesn't fit, a warning appears, but the registration is still added to the cart. |
| Prevent | Offerings the participant doesn't fit aren't listed for them, or can't be added. Someone with no birth date on file can't register for the offering until it's added to their record. |
With Grade Validation, a player with no grade can't choose any offering in the program, whatever each offering's action, until the family adds the grade on their account's Members page.
Where the check applies
- Families registering online: the check runs in the registration cart, including when they arrive through a private Program Access link.
- Admins: Place Order and Transfer show a mismatch only as a warning and let you continue, so you can make an exception.
- Not checked: imports and changing the offering on an existing enrollment. Changing the settings doesn't re-check, move or remove anyone already registered.
- Team Registration plus Youth Roster programs: the roster offering's Age As Of rule is checked when a team manager or admin adds a player to a team roster, against the date of birth entered there. When the family then registers from the roster invitation, the birth date on their account isn't checked again, so review ages on your team rosters.
- The More Info page shows the eligible birth dates ("DOB:") only for Age As Of offerings set to Warning or Prevent, and lists any Gender Restrictions. Custom Validation and Grade Validation show nothing there, so put the grades in the offering's name, such as 3rd-4th Grade.
Other settings that limit who can register
These work separately from Age Validation Type:
- Gender Restrictions (Youth Registration and Youth Camp offerings): there's no warning option. Families only see offerings that include the player's gender, while Place Order only warns.
- Customer Access (organizations with Multi-Org Registration, on 1 Setup or on each offering): only customers associated with a selected organization can choose the offerings.
- Boundary Check (Enhanced, Elite and Enterprise): checks the account's address against your boundaries.
- Req. Membership (Youth Registration offerings, for organizations with the USA Lacrosse membership check): the family validates the player's membership during checkout.
- A private Program Access link: no setting checks which division or team a player is on in another program. To limit a program to players you choose, for example after tryouts, keep it hidden and send its private link only to them.
If it doesn't work
- Custom Validation or Grade Validation isn't in Age Validation Type. Team Registration plus Youth Roster programs offer only None and Age As Of. Otherwise, your admin role needs the Custom Grade Validation permission (for Custom Validation) or the Player Grade permission (for Grade Validation).
- There's no Age Validation Type on 1 Setup. The program type doesn't have one (see above), or it's an Adult Registration program and Birthday is No on Customers > Configurations > General.
- "Please make a selection from the Custom Grade Validation drop down list." Choose your list in Custom Grade Validation, or build one first (step 1).
- "To set Age Validation Type to "Grade Validation" change organization configurations. Please navigate here and set Player Grade to "Yes" and select a Player Grade Update Date." Do step 2, then save 1 Setup again.
- Families can choose any offering and see no message. The offering's Age Restriction Action is None; with Age As Of and Restriction Range Type Age, the offering has no Age As Of Date; with Grade Validation, no grade is checked on the offering; or the action is Warning and the participant has no birth date on file, so there's nothing to compare.
- A family can't register, or sees a message you don't recognize. See Why can't a family register? Fixing "no available offerings" and eligibility errors.
Good to know
- Grade Validation is also listed on Adult Registration programs, but adults have no Player Grade, so no grade is checked there. Use Age As Of or Custom Validation for adults.
- If you switch a program to a different check, set the new check's fields on every offering. Ranges or grades chosen for the old check no longer count.
- With Custom Validation, the mismatch message says age is calculated on the Age As Of Date, although your birth-date ranges are what's checked.
