To send coaches or parents a link to their team's roster, pick them from a Team Rosters list on Send Communication, write your message, click Next instead of Send Now, and check Team Roster Link on the Send Options page. Each recipient gets a link to their own team's roster page, which shows names and roles only.

Email coaches or parents their roster

1. Go to Communications > Send Communication.
2. Click the arrow next to Team Rosters - Current Leagues, then next to the league, to open the list.
3. Check who should get the email. All Staff in this League reaches every coach in the league. Open a division or team to choose All Staff in this Division, All Staff on this Team, a whole team, or individual people. For Individual Registration, player's must be rostered onto a team.
4. Click Next.
5. On Create Your Message, enter the Email Subject and Email Message.
6. Click Next, not Send Now. Send Now skips the Send Options page, so no roster link is added.
7. On Send Options, check the Team Roster Link box ("Include a link to the Roster Page for recipients."). The small image shows the box to check:
8. Click Send.

This works for rosters in individual registration programs (such as Youth Registration) and in Team Registration plus Roster programs. For leagues from past seasons, use Team Rosters - Archived Leagues.

What you'll see

• The email includes the line "Here is a link to the Roster page for the" and the team's name, followed by a "team name roster" link.
• The link opens the team's roster page ("team name Roster"). By default it lists each roster member's First Name, Last Name and Role, with no email addresses, phone numbers or birth dates. TeamSideline support can change these columns for your organization.
• The page opens without signing in, so anyone the email is forwarded to can see it.
• Someone on more than one team gets a separate email for each team, each with that team's roster link.

If it doesn't work

• There's no Team Roster Link option on Send Options. Your admin role needs the Roster Link permission.
• Team Rosters - Current Leagues isn't in the list. Your admin role needs the League Recipients permission, and only leagues that have team rosters are listed.
• Some people got the email without a roster link. The link is added only for people chosen from team lists (Team Rosters or Team Contacts). People chosen from other lists, such as Registrations or Customer Accounts, get the message without it.
• Nobody got a roster link. The message was sent with Send Now, or Team Roster Link wasn't checked. Send it again and use Next.

Good to know

• Roster invitations are separate. In Team Registration plus Roster programs, when a team manager or admin adds a player, coach, assistant coach, site coordinator or team parent to a team's roster, TeamSideline automatically emails them a "Roster Invitation" asking them to register for the team. You don't send those from Send Communication, and the Team Roster Link doesn't replace them.
• To send each team its schedule instead, or as well, check Team Schedule Link on the same Send Options page. See the schedule article below.
