Team staff take attendance on the team's Attendance page, on the web or in the TeamSideline app: each player has a row, and each event with attendance turned on has a column. Players and parents answer for themselves on the same page, in the app, or from the links in the event's reminder email. The most recent answer is the one that counts.
Applies to: Team staff (coaches, managers and team parents), players and parents · All plans · Team Sites your organization publishes and standalone Team Sites, on the web and in the TeamSideline app
Where: TeamSideline.com > Teams > (team) > Attendance; the TeamSideline app > (team) > Attendance
Who is polled, and who can change an answer
- Only members with the Player role are polled and listed. Coaches and other staff are listed only if they also have the Player role. Parents answer for each of their children.
- Team staff (Coach, Assistant Coach, Team Parent, Site Coordinator and Manager) can set or change any player's answer, for past events too, so they can record who actually came.
- Players and parents can change only their own answer or their children's. On the web they can change it up to the day of the event; after that, only team staff can.
- Nobody can change answers on an archived team.
Take attendance on the web (team staff)
- Sign in at TeamSideline.com, click Teams and choose the team.
- Click Attendance. Each column is an event, headed with its date, time and name. Scroll sideways to see later events.
- In the player's row, under the event, click the symbol for the answer. It's saved right away.
What you'll see: the answer that's recorded is shown in color and a little larger, and the other three choices are gray. Point at a symbol to see its name.
What the symbols mean
| Answer | Web Attendance page | TeamSideline app |
|---|---|---|
| Attending | Green check mark | Green check mark |
| Not Attending | Red X | Red X |
| Maybe Attending | Blue dash (minus sign) | Orange question mark |
| No Response | Black question mark | Gray dash |
The question mark and the dash mean different things on the web and in the app, so check which one you're looking at.
Take attendance in the TeamSideline app
- Open the app, go to the team and tap Attendance.
- Choose to see attendance by member or by event, then pick the member or the event.
- Tap a player's name and choose the answer.
Answer an attendance poll (players and parents)
- From the reminder email. When an event's reminder includes the poll, its subject includes "Reply to the Poll Please". Click "Yes, I plan to attend.", "No, I cannot attend." or "Maybe, I don't know yet." A parent gets one email for each child, with "Yes, attending.", "No, not attending." and "Maybe, I don't know yet." A page opens to confirm that your Yes, No or Maybe response has been recorded.
- On the web. Open the team's Attendance page and click the symbol in your row or your child's row. You can also go to Communications > Received, click the reminder email's subject and click an answer in it.
- In the app. Open the team's Attendance and tap your name or your child's.
You can change your answer as often as you like. TeamSideline keeps only the most recent one.
See who's coming
- On the web, click the event's name on the team's Events tab. Attendance Poll Status shows how many players answered Yes, Maybe and No and how many did not respond, each with their names. The same page shows the event's date and time, its location with a link to a Google map or to the location's website, and a game's result. Team staff also see an Edit button there.
- The Attendance page shows every player's answer for every event at once.
- Players who haven't answered are counted with the team's Default Response (below), so they may show as Attending rather than as not responding.
Turn attendance on for an event (team staff)
- On the team's Events tab, click Add Event, or click the Edit icon (pencil) in an event's row.
- Under Poll, check Enable attendance tracking.
- To email the poll, also check Yes, send email reminder under Reminder and choose how many days before the event it's sent.
- Click Save. You'll see "Event added." or "Event updated."
In the app, switch on Enable Attendance when you create the event. For an event that already exists, open it, tap the icon on the right, choose Edit, turn attendance on and save.
- The poll is emailed only with the event's reminder, so it goes out when the reminder does. To change when, change the reminder's number of days. Without a reminder, members answer on the Attendance page or in the app.
- Can attendance be on by default? For league games and practices on a team site your organization published, yes: they follow the organization's Game Poll and Practice Poll settings unless staff change that event. Events that staff add themselves start with attendance off, and there's no setting that turns it on for every new team event.
- Your organization's calendar events shown on a team site can't be edited there, so they can't have attendance.
Default Response
Default Response decides how a player who hasn't answered is counted: Attending, Not Attending, Maybe or No Response. On a team site your organization publishes, it's copied from the organization's Team Sites settings when the site is published, and it can't be changed for one team. On a standalone team (one you created yourself), team staff set it on Edit Team: under Teams > All Teams, click the team's Edit icon.
If it doesn't work
- An event isn't on the Attendance page. Attendance isn't turned on for it, or the event was canceled. Canceled events are left off.
- A coach or other staff member isn't listed. Only players are polled. If they also play, add the Player role to their roster entry (see the roster roles article below).
- "No players have been entered for this team." Nobody on the roster has the Player role yet.
- You can't change an answer. The event's day has passed (ask team staff), the player isn't you or your child, or the team is archived.
- There's no Attendance tab. You aren't on the team's roster. Family & Friends followers can't see or answer attendance.
- No poll arrived by email. The event has no reminder, or it hasn't been sent yet. Reminders also skip anyone with no email address on the roster, anyone who set Receive Reminders to Disabled on their TeamSideline.com profile, and anyone who hid the team. Staff who aren't players get the reminder without a poll.
- "Error processing your response." The link from the email didn't come through whole. Answer on the Attendance page or in the app instead.
Good to know
- There's no reset. An answer can be changed but not cleared: choosing No Response records No Response, and it doesn't put the player back on the team's Default Response.
- TeamSideline doesn't show when, or in what order, members answered, so you can't sort answers by who responded first. Attendance Poll Status lists names alphabetically by first name.
- Attendance belongs to the team's site for that season. An archived team site keeps its attendance to look at, and a new site published for a new season starts with none.
