There are 3 steps to registering and rostering a new Coach: Creating an account for them, enrolling them into the Program and then rostering them to the team. If you have completed any of these steps already, you can proceed to the following step to complete the process.
STEP ONE - lookup or create an account for the coach.
Create a Customer Account:
- From the Admin Site Map, click the Customers tab.
- Search for the Account to find out if the person has already added an Account to the system.
- If you:
Do not find an Account - then click the Add Account button to add an account, then click the Place Order button. (For youth registrations, add the parent to create the account, then add the child, then click Place Order.)
Find an Account - click on the name of the Account Holder in the search results, then from the Account Overview page, click the Place Order button to place the order.
How to Add Customer to an existing account:
- From the Admin Site Map, click the Customers tab.
- Search for the Account you want to add the Customer to
- Click on the name of the Account Holder in the search results.
- On the Account Overview tab, click the Add Parent or Add Player button.
- Enter the required Information.
- Click the Add button.
STEP TWO - enroll the coach into the Program.
- Go to Customers > Account Management > Search and open the account you just created.
- Go to the Enrollments page > Add Enrollment > Select the Coach as the Enrollee and the Offering which they are going to Volunteer for.
- Click the Proceed To Checkout button and proceed to complete the enrollment fields.
- Select the payment method and amount paid.
Note: If you want to leave a balance for the customer to log in and pay later, select Other and leave amount paid as zero. - Click the Place Order button to finalize the enrollment.
Note: If you don't want the customer to get a copy of the order confirmation, make sure you uncheck the Send Confirmation Email to Customer checkbox prior to clicking the Place Order button.
STEP THREE - roster the Coach to a team.
First you must make sure that Divisions and Teams are created so that you have Teams to roster to. If you have already done this, skip to step 3 below.
1. Add Divisions
Go to the Schedules > Leagues & Divisions > Add Division. Add your Divisions to the League that has the same name as your Registration Program. You can see which League is linked to your Program as indicated by the blue chain link icon.
2. Add Teams
Go to the Schedules > Leagues & Divisions page. Use the More Options icon on the extreme right of each Division row to go directly to the "2 Teams" page in a Division. Click Add Team to add your Team names.
3. Setup Your Assign To Roster Page
After adding the Division and Team names, go to Programs > Manage Programs and click the More Options icon on the right of the row for a Program to go to the "4 Rosters" page. Click the Assign To Roster button to go to the Assign To page. Click "Add Filter" to add filters -- and use the Highlight drop down to display data for each assignee (click the Update button after you make Highlight selections to update your page view).
4. Drag and Drop
Drag and drop players and coaches from the left to the right -- you can expand the Division names by clicking the 'triangle' icon to the left of a Division name to see the Team Names. You can make multiple selections of players by holding down the CTRL key and selecting players (this will work differently if you're using a MAC).
If you click on a Player or Coach you will see a pop up with their Enrollment Information.
- For Volunteers, you can change their Volunteer Type directly on the Assign to Roster page by clicking the pencil icon next to Volunteer Type. Select the desired Volunteer Type and click the green check mark to confirm.
- Note: If you do not have any additional Volunteer Types to select, you will need to go to the 2 Configuration tab to add additional Volunteer Types.
If you want to change out of the drag and drop mode to use checkboxes to make assignments scroll down and click the Toggle Mode button.
