To send each team a link to its schedule, pick the teams from a Team Rosters or Team Contacts list on Send Communication, write your message, click Next instead of Send Now, and check Team Schedule Link on the Send Options page. Below your message, each email then has a link to that team's schedule on your website.
Applies to: Admins whose role includes Send Communication, League Recipients and scheduling · All plans · Teams in your leagues, including rosters from individual registration and Team Registration plus Roster programs
Where: Communications > Send Communication > Team Rosters - Current Leagues or Team Contacts (from 2 Teams Page) - Current Leagues, then Create Your Message > Next > Send Options > Team Schedule Link
Choose who gets it
| List on Send Communication | Who gets the email |
|---|---|
| Team Rosters - Current Leagues | Check a league, division or team to reach everyone on its rosters: the team contact, coaches and other team staff, parents of youth players, and adult players. Check All Staff in this League, All Staff in this Division or All Staff on this Team to reach only the team contacts and staff. |
| Team Contacts (from 2 Teams Page) - Current Leagues | Only each team's contact: the Primary Email and Alternate Email saved for the team on the division's 2 Teams page. Use it when coaches' emails are kept there rather than on a roster, and make sure they're filled in first. |
Send the schedule link
- Go to Communications > Send Communication.
- Click the arrow next to Team Rosters - Current Leagues or Team Contacts (from 2 Teams Page) - Current Leagues, then the arrow next to a league, to open the list.
- Check the leagues, divisions or teams you want. On a team built with Assign To Roster, check the team or All Staff on this Team rather than individual names: people checked one by one get the email without the schedule link.
- Click Next.
- On Create Your Message, enter the Email Subject and Email Message.
- Click Next, not Send Now. Send Now skips the Send Options page, so no link is added.
- On Send Options, check Team Schedule Link ("Include a link to the Standings & Results Page for recipients."). The small image shows the box to check:
- Click Send. You'll see "Your email will be sent out shortly." and the Communication Log.
What you'll see
- On Create Your Message, the To line describes your choice, for example "All Team Contacts in league League", "All Team Roster members in division Division" or "All Staff of team Team".
- Below your message, the email says "Here is a link to the Schedule page for the" and the team's name, followed by a "team name schedule" link.
- The link opens the schedule page (Standings & Results) of the team's division on your website, so the team's games are listed with the rest of the division's. On a live Editor 2.0 website, it opens your website's schedule page for that division.
- Someone on more than one team gets a separate email for each team, each with that team's link.
If it doesn't work
- There's no Team Schedule Link on Send Options. The option appears only for admins whose role includes scheduling. Ask an Administrator to add it to your role, or to send the email.
- The Team Rosters or Team Contacts list isn't on Send Communication. Your role needs the League Recipients permission. Team Rosters - Current Leagues lists only leagues that have team rosters.
- A coach didn't get the email sent to Team Contacts. The team has no Primary Email or Alternate Email on the division's 2 Teams page. Edit the team there, add the email and send again.
- Some people got the email without the link. They were checked one by one on a team built with Assign To Roster, or chosen from another list, such as a program's registrants, Customer Accounts or a Custom Contact List. Send again to the team instead.
- Nobody got the link. The message was sent with Send Now, or Team Schedule Link wasn't checked. Send it again and use Next.
- Checking Team Schedule Link shows "By including the schedule with the communication, if you choose multiple leagues where a team contact participates in more than one league, they will receive multiple emails -- each communication with a unique schedule link. To prevent this, uncheck the "Team Schedule Link" option." It's a warning, not an error: you chose more than one league. Send as is, or send one league at a time.
- "Before you click the Next button, make any combination of selections from the list of potential email recipients to build your email "To" list." Check at least one league, division or team before you click Next.
Good to know
- Text messages don't include the link; only the email does.
- To add a roster link too, also check Team Roster Link on Send Options.
- For past seasons, use Team Rosters - Archived Leagues or Team Contacts (from 2 Teams Page) - Archived Leagues. Team Rosters by Location and Team Contacts by Location add the schedule link too.
- To send later, set Delay Sending Until on Send Options.
