To stop new registrations for one offering before its registration period is over, change the offering's Reg. Duration so it ends at a time that has already passed, or set Max # of Enrollments to the number of people already enrolled. Existing enrollments aren't affected, and admins can still add people through Place Order.
Applies to: Admins · All plans · Individual and team registration programs
Where: Programs > Manage Programs > (program) > 2 Configuration > Offerings > Edit (pencil icon)
Option 1: End the registration period now
- Go to Programs > Manage Programs and open the program.
- Go to 2 Configuration tab.
- In Offerings, click the Edit icon (pencil) for the offering.
- In Reg. Duration, change Ends to a date and hour that has already passed. Times must be on the hour.
- If the offering has a Late Reg. Duration, clear the Late Reg. Fee and Late Reg. Duration too. Otherwise registration stays open, at the late fee, until the late period ends.
- If the offering has Volunteer Reg. dates, change them as well. Otherwise volunteers can keep registering until those dates end.
- Click Save.
What you'll see: "Program offering updated." The offering closes as soon as you save, and its status on the program's More Info page changes to Closed.
Option 2: Cap the number of enrollments
- Open the offering's Edit page as in steps 1–3 above.
- In Max # of Enrollments, enter the number of people already enrolled in the offering (for example, 1, if one person is enrolled).
- Click Save.
What families see: the offering shows (FULL) in the registration cart and can't be chosen, and its status on the More Info page is Closed/Full.
- An offering with no enrollments can't be closed this way, because a blank Max # of Enrollments means no limit. Use Option 1.
- If Enable Waitlist is Yes on the program's 1 Setup page, a full offering doesn't close: it shows (WAITLIST) in the cart and Waitlist Open on the More Info page, and families can still join the waitlist. Use Option 1 instead.
- Max # of Enrollments limits participant registrations only. Volunteers (such as coaches) and sponsors can still register for the offering.
Close every offering in a program
- Hide the program: on Programs > Manage Programs, click the eye icon (Toggle Visibility) so it turns red. Families no longer see the program or its More Info page, so they can't register for any of its offerings. Anyone with a private access link to the program can still register.
- Update several offerings at once: on 2 Configuration, click Update Multiple Offerings (Enhanced plan and up), select the offerings, set Reg. Duration (and Late Reg. Duration if you use it), then click Update.
Set the day and hour registration opens
The same Reg. Duration fields control when registration opens. Starts and Ends each take a date and a time on the hour, in your organization's time zone, so an offering can open at, for example, 7:00 PM on a set day. Until then families see Not Open Yet. If you use an Early Reg. Duration, registration opens at its Starts time instead, at the early fee. You can set the same dates and hours on several offerings at once with Update Multiple Offerings.
Offering statuses families see
| Status on the More Info page | Meaning |
|---|---|
| Not Open Yet | Registration hasn't started. |
| Open, or a number such as 12 Available | Registration is open; the number shows the spots left when Max # of Enrollments is set. |
| Closed/Full | Max # of Enrollments is reached and the waitlist is off. |
| Waitlist Open | Max # of Enrollments is reached and Enable Waitlist is Yes. |
| Closed | The registration period has ended. |
An end time of 12:00 AM is shown to families as 11:59 PM on the previous day.
If it doesn't work
- The offering still shows as open. Check for a Late Reg. Duration (step 5) or Volunteer Reg. dates (step 6). If the program uses Tiered Pricing, the offering has no registration dates of its own: its status follows the program's registration dates on 1 Setup, so use Max # of Enrollments to close a single offering.
- "Start and End times must be on the hour." Pick a time such as 5:00 PM, not 5:30 PM.
- "End date must be after start date." The new Ends date is earlier than Starts. Move Starts earlier too, or use Option 2.
- "Please enter a "Late Registration Duration" date after the Regular Registration End Date." The late period must end after the regular period. Clear both late fields instead.
- "Max # of Enrollments has been set on the 1 Setup page for the program." The program has an overall limit, so offerings can't have their own. Use Option 1.
- The eye icon is grayed out. The program's Program Duration has ended, so its visibility can't be changed.
Good to know
- Closing an offering doesn't cancel or refund anyone who is already enrolled.
- Admins can still enroll someone in a closed or full offering: open the customer's account, click Place Order, then Add Enrollment. Full offerings show [Full] and you get a warning, but you can continue. See How to Place an Order for a Customer.
- To reopen the offering, set Reg. Duration Ends back to a future date, or raise or clear Max # of Enrollments.
