An offering is one choice inside a registration program, such as an age group or a division, with its own name, fees, registration dates and limits. This reference lists every setting on Add Offering and Edit Offering (the Edit icon on an offering's row), both on the program's 2 Configuration page, and what each one does.
Applies to: Admins whose role can edit program configuration · All plans (settings that need a plan, module or permission are marked) · Youth, Adult, Youth & Adult, Team, Team Registration plus Roster and Youth Camp Registration programs
Where: Programs > Manage Programs > (program) > 2 Configuration > Offerings > Add Offering, or the offering's Edit icon (pencil)
Open the forms
- Go to Programs > Manage Programs and click the program's name.
- Click 2 Configuration (2a Team Configuration in Team Registration plus Roster programs).
- Under Offerings, click Add Offering for a new offering, or the Edit icon (pencil) on an offering's row.
- Fill in the settings below and click Add (Add Offering) or Save (Edit Offering).
What you'll see: a new offering is added to the Offerings list; a saved one shows "Program offering updated." Which settings appear depends on the program's Registration Type and Pricing Type, its Age Validation Type on 1 Setup, your plan and modules, and your admin role. Volunteer Reg., Disable Sib. Discount and Order Copy To are on Edit Offering only.
Name and fees
| Setting | What it does | Limits and notes |
|---|---|---|
| Enrollment Type | Youth & Adult Registration only: General/Adult (adults register for it) or Player/Youth (children do). | Add Offering only; it can't be changed later. |
| Offering | The name families choose. | Required, up to 50 characters. Offerings have no description field, so put details such as days and times in the name or in the program's Program Description on 1 Setup. |
| Regular Reg. Fee | The price during Reg. Duration. | Blank or $0 makes the offering free. |
| Early Reg. Fee, Late Reg. Fee | The full price during the early or late period ("Full Fee not a discount off Regular Registration"). | Each needs its period's date. The Late Reg. Fee can't be less than the Regular Reg. Fee. |
| Non-Resident Fee, Early Non-Resident, Late Non-Resident | An extra fee added when the account's address is outside your boundaries. | Elite and Enterprise. Not added to player registrations in Tiered Pricing programs. |
| Deposit Fee | Team Registration plus Roster with Variable Pricing: the fee paid when the team registers. | Roster offerings in those programs take no fees. |
In a Tiered Pricing program, offerings have no fees or dates: the Registration Pricing Tiers on 1 Setup set both.
Registration dates
| Setting | What it does | Limits and notes |
|---|---|---|
| Reg. Duration (Starts, Ends) | When regular registration is open. | Required. A date and a time on the hour, in your organization's time zone. Ends can be moved later to keep registration open for latecomers. |
| Early Reg. Duration (Starts) | Early registration opens at Starts and ends when Reg. Duration starts. | Starts must be before the regular Starts. |
| Late Reg. Duration (Ends) | Late registration starts when Reg. Duration ends and closes at Ends. | Ends must be after the regular Ends. There's no start of its own, so there can't be a gap: for a later, separate period, add another offering. |
| Volunteer Reg. (Starts, Ends) | Edit Offering only: separate dates for volunteers to choose this offering. | Youth Registration with Standard Pricing. Both dates or neither, on the hour. |
An Ends time of 12:00 AM closes registration as that day begins: the admin page shows 12:00 AM, and families see 11:59 PM on the day before. Statuses change on their own as the dates pass, so families see a status such as Not Open Yet, Open or Closed.
Capacity and who can register
| Setting | What it does | Limits and notes |
|---|---|---|
| Max # of Enrollments | The most participants who can register. Blank means no limit. | 1 to 9,999. Not allowed when 1 Setup has its own Max # of Enrollments. Volunteers and sponsors don't count. Youth Camp: Max # of Enrollments per Session. |
| Req. Membership | Requires a valid membership (None or USA Lacrosse) before checkout. | Youth Registration, with the USA Lacrosse module. |
| Age Restriction Action | None, Warning or Prevent. Prevent leaves the offering out for a participant who doesn't fit, and someone with no birth date on file can't register for it. | Shown when 1 Setup's Age Validation Type isn't None. |
| Age As Of Date | The date ages are counted on. | Age As Of programs. Without it, an age range isn't checked. |
| Restriction Range Type, Age Restriction (From, To) | An age range (Age) or a birth-date range (Date). | Both ages are included: 5 To 6 means 5- and 6-year-olds. Use .5 for a half year. |
| Custom Grade Validation Item | The grade ranges the offering accepts (Custom Validation). | At least one with Warning or Prevent. |
| Player Grade | The grades the offering accepts (Grade Validation). | At least one with Warning or Prevent. |
| Gender Restrictions | Only players of the checked genders can choose it. | Youth Registration and Youth Camp. Unchecked means no restriction. |
| Disable Sib. Discount | Edit Offering only: leaves this offering out of sibling discount calculations. | Youth Registration with Standard Pricing. A new offering starts with your organization's default. |
Teams
| Setting | What it does | Limits and notes |
|---|---|---|
| Auto Placement | Puts each team that registers into a division: Do not assign, or one of the program league's divisions. Add Offering also offers Create new Division, which creates a hidden division named after the offering. | Team Registration and Team Registration plus Roster. Create new Tournament Division needs the Tournament module. |
| Competition Level | The team's level, or Not Applicable. | Team programs, with the Competition Levels permission. |
Access, payments and copies
| Setting | What it does | Limits and notes |
|---|---|---|
| Offering Owner | Limits the offering to admins whose organization filters include that organization. | Multi-Org Registration. Locked when the program has an owner. |
| Customer Access | Only customer accounts associated with the Selected organizations can choose the offering. None selected means everyone. | Multi-Org Registration. Hidden when 1 Setup limits access for the whole program. |
| Payment Gateway | Sends this offering's payments to another gateway instead of the program's. | Enhanced, Elite and Enterprise, with more than one gateway. |
| Order Copy To | Edit Offering only: email addresses that get a copy of each order for this offering. | Enhanced, Elite and Enterprise. Separate addresses with commas, up to 300 characters. |
Youth Camp offerings
Camp offerings use Session Fee instead of Regular Reg. Fee (with Early Session Fee and Late Session Fee), All Sessions fees for families who choose every session, and Max # of Enrollments per Session. Add Offering also asks for Session Type (Daily or Weekly), Session Date Range (Start Date, End Date and the Recurring Day(s)) and Session Time Range, and creates a session for each day or week. Change sessions in the offering's session list, not on Edit Offering. Other program types have no session schedule, so a class that meets on several dates is usually one offering with the day and time in its name.
Change several offerings at once
Update Multiple Offerings on 2 Configuration (Enhanced, Elite and Enterprise, when the program has more than one offering) sets fees, dates, Max # of Enrollments, Volunteer Reg., age settings, Gender Restrictions, Disable Sib. Discount and Payment Gateway on the offerings you check. Blank fields keep each offering's value; you'll see "Multiple offerings have been updated." On that page To is one more than the oldest age, so 5- and 6-year-olds are From 5 To 7.
Delete an offering
Click the offering's red X and click OK on "Are you sure you want to delete the offering "(offering name)"?". Deleting it also removes the add-ons and enrollment fields set to that offering. The red X is grayed out while the offering has registered participants, so close it instead, and it's always grayed out on 2b Roster Configuration.
If it doesn't work
- "To add an Offering, you need to complete the "Offering" field." or "To add an Offering, you need to complete the "Regular Registration Duration Starts" date field." Fill in that setting.
- "Start and End times must be on the hour." or "End date must be after start date." Pick times such as 7:00 PM, and an Ends after Starts.
- "Max # of Enrollments has been set on the 1 Setup page for the program." Clear one of the two limits.
- "Please enter a "Early Registration Duration" date prior to Regular Registration Start Date." or "Please enter a "Late Registration Duration" date after the Regular Registration End Date." Move that date.
- "To add an Offering, you need to complete the "Early Registration Cost" field when the "Early Registration Duration" field is populated." (or the Late version, or the reverse) Fill in both the fee and the date, or clear both.
- "The "Late Registration Fee" field cannot be less than the "Regular Registration Fee" field." Raise the late fee.
- "Both Volunteer Registration Duration dates must be entered." Enter Starts and Ends, or clear both.
- "Invalid "Order Copy To" entry. Use commas to separate email addresses if more than one." Fix the addresses.
- "You cannot add fees to this Offering. The Registration fee is defined by the Team Manager when the player is invited." Variable Pricing roster offerings take no fees.
- The Offering name is grayed out, or there's no Add Offering, on 2b Roster Configuration. Roster offerings come from the team offerings: add or rename them on 2a Team Configuration.
- A setting is missing. It belongs to another program type or pricing type, your plan or modules, or 1 Setup's Age Validation Type, or it's on Edit Offering only.
Good to know
- There's no separate price for new and returning players. Use a second offering, or a coupon code you send only to returning families.
- No price applies only to the first registrants. For a "first 100" price, use a separate offering with Max # of Enrollments.
- To let families pay in installments, use Payment Plan Setup on 2 Configuration, once Multiple Payments is set to Payment Plans on 1 Setup.
