To stop asking an enrollment field, remove it from the program with the red X in the program's Enrollment Fields section. To retire it everywhere, archive it on Programs > Configurations > Enrollment Fields; the Active Fields list has no red X, because a field can be deleted only from the Archived Fields tab, and only once no program, workflow or linked organization uses it. Answers already given are never erased by these steps, but where you can still see them changes.
Applies to: Org admins with the Enrollment Fields permission who can edit program configuration · All plans · All registration program types
Where: Programs > Manage Programs > (program) > 2 Configuration > Enrollment Fields, and Programs > Configurations > Enrollment Fields (Active Fields and Archived Fields)
Remove, archive or delete: what each one does
| Action | Where | New registrations | Answers already given |
|---|---|---|---|
| Remove from one program | Red X in the program's Enrollment Fields section | Aren't asked it in that program. Other programs keep asking it. | Kept, but no longer shown on that program's registrations, and the field isn't offered in Enrollment Information when you choose that program. If you add the field back, they show again. |
| Archive | Archive icon on Active Fields | Programs that already have it keep asking it. It can't be added to more programs and isn't copied when you copy a program. | Kept and reportable, as long as programs still have the field. |
| Delete | Red X on Archived Fields | Not asked anywhere. | Kept in the database, but the field leaves every report's field list, so they can't be exported any more. |
Export the answers you want to keep before you remove or delete a field: Reports > Report Exports > Enrollment Information, with the program checked and the field, shown as "(e)" and its name, under the fields to show.
Stop asking a field in one program
- Go to Programs > Manage Programs and click the program's name.
- Click 2 Configuration (2a Team Configuration or 2b Roster Configuration in Team Registration plus Roster programs) and scroll to Enrollment Fields.
- Click the red X on the field's row.
- Click OK on "Are you sure you want to delete the Enrollment Field "(field name)"?".
The row disappears. A field added for more than one enrollment type or offering has a row for each; remove each one that should go.
Archive a field you no longer use
- Go to Programs > Configurations > Enrollment Fields. The Active Fields tab opens.
- Click the Archive icon on the field's row.
- Click OK on "Are you sure you want to archive the custom enrollment field "(field name)"?".
What you'll see: "The custom enrollment field has been archived." The field moves to the Archived Fields tab. Archiving doesn't take it off any program, so remove it from each program that should stop asking it, too. To bring it back, click Unarchive (the open folder icon) on the Archived Fields tab and click OK ("The custom enrollment field has been unarchived.").
Delete an archived field
- Remove the field from every program that has it, as above, including archived programs.
- Go to Programs > Configurations > Enrollment Fields and click the Archived Fields tab.
- Click the red X on the field's row.
- Click OK on "Are you sure you want to delete the custom enrollment field "(field name)"?".
What you'll see: "The custom enrollment field has been deleted." A deleted field can't be restored from your admin site.
Why there's no red X, or it's grayed out
| Where | Why |
|---|---|
| Active Fields list | Active fields have only Edit and Archive. Delete is on the Archived Fields tab. |
| Archived Fields list (grayed-out red X) | The field is still in a program's Enrollment Fields section (an archived program counts), a workflow item uses it, or it's linked to another organization's field. Answers already given don't block it. |
| A program's Enrollment Fields section (no red X) | The program is archived, or your admin role can't edit program configuration. In organizations with associated organizations, admins limited to certain organizations can't edit or remove rows set to All offerings. |
| A field marked (Managed) | Its Edit and Archive icons are grayed out. It belongs to a custom section TeamSideline set up; remove the section from the program's Custom Sections area instead, or ask TeamSideline Support. |
| A drop-down choice (grayed-out red X on the field's Edit page) | At least one registration chose it, a canceled one included. See the next section. |
A field that only an archived program still uses can't be deleted while that program is archived, because archived programs have no red X. Un-archive the program, remove the field, and archive the program again, or just leave the field archived.
Retire a drop-down choice that people already picked
A choice that any registration has picked, canceled ones included, can't be deleted or renamed. To stop offering it:
- Find who picked it: run Reports > Report Exports > Enrollment Information with the field.
- Create a new field with the right choices on Programs > Configurations > Enrollment Fields, add it to the program, and remove the old field's row from the program. Archive the old field once no program needs it. This works whoever picked the old choice.
- Or, if only a few accepted or waitlisted registrations picked it, change their answers on each registration's Edit tab (Customers > Account Management > Search > (customer) > Enrollments > Edit Enrollment). Once no registration holds the choice, its red X turns red and you can delete it.
If the red X stays gray after you've changed every answer you can, a canceled registration (which can't be edited) or a voided one, such as one removed by an undone import, still holds the choice. Use a new field instead, or contact TeamSideline Support.
If it doesn't work
- The field isn't in a program's Add Enrollment Field list. It's archived (unarchive it) or marked (Managed).
- Two report fields have the same name. An archived field and an active field can share a name, because the duplicate-name check skips archived fields, and reports match answers by name. Before you replace a field with a new one of the same name, rename the old one (for example, add "old") so their answers stay apart.
- An answer to a removed field disappeared from a registration. Saving a registration's Edit tab keeps answers only for the fields the page shows, so saving after a field was removed from the program drops that registration's answer. Export answers before removing a field.
Good to know
- Archiving, unarchiving, deleting and removing a field from a program are recorded in Administration > Manage Users > Activity Log (Enhanced, Elite and Enterprise plans).
- Custom fields under Administration > Configurations > Custom Fields are a different list, with their own Delete icon.
