Volunteer registration is only for the adult (parent or guardian) members of an account, so a player can't be registered as a volunteer directly. To register a minor or an aged-out player as a volunteer or junior coach, add them to their family's account a second time as a parent, then register that parent record as a volunteer.
Applies to: Admins and parents · All plans · Programs that offer volunteer registration
Where: Customers > Account Management > Search > (customer) > Account Members > Add Parent (admins), or My Account > Members > Add Parent (families)
Step 1: Add the player as a parent on the same account
- Go to Customers > Account Management > Search and find the family's account.
- Click the account holder's name to open the account.
- Under Account Members, click Add Parent.
- Enter the player's real First Name and Last Name, plus the required fields such as Phone 1 and the address (or tick Same As Primary?).
- For Email Address, enter the player's own email. It can't be an email that another member already uses.
- Click Save.
What you'll see: the player is listed twice under Account Members, once as (Player) and once as (Parent or Guardian). Families can do the same on My Account > Members: click Add Parent, enter the player's details and click Save.
Step 2: Register the new parent record as a volunteer
- On the account, click Place Order, then Add Enrollment.
- For Enrollee, choose the player's new parent record.
- For Enrollment Type, choose Volunteer. It's offered only for parent records.
- Choose the Program and Offering, and the volunteer type under Enrollment Selection.
- Click Add, then Checkout, and complete the order.
Families register the same way from their own cart: they choose the player's parent record as the enrollee and Volunteer as the type, as they would to volunteer themselves.
Junior coaches
- Choose a volunteer type that can be placed on a team. When you assign volunteers with Assign To Roster, only Coach, Assistant Coach, Team Parent and Manager get a team role, so a junior coach usually registers as Coach or Assistant Coach.
- If they registered under another volunteer type, open the enrollment's Edit tab and change Volunteer Type.
- Volunteer registrations aren't checked against an offering's age limits, so a player who has aged out of the program can still register as a volunteer.
- Program volunteer types, and any background check for each type, are set in the program's Volunteers section on 2 Configuration.
If they registered as a volunteer instead of a player (or the reverse)
An enrollment's type and enrollee can't be changed. The Transfer tab only moves an enrollment to a different program, keeping its type and enrollee. Cancel the wrong enrollment and enroll again:
- On the account, click Enrollments, then the Edit Enrollment icon (pencil) on the wrong enrollment.
- Click the Cancel tab, choose the refund or credit you want, and click Confirm Cancellation.
- Click Place Order > Add Enrollment and enroll the right record with the right type: the (Player) record with the player type, or the (Parent or Guardian) record with Volunteer.
If it doesn't work
- Volunteer isn't in the Enrollment Type list. The Enrollee is the (Player) record. Choose the (Parent or Guardian) record. If it's still missing, no program has volunteer types set up. Families also see Volunteer only while a visible program with volunteer types is open for registration.
- "This email address is already in use by one of your existing account members. Please access the existing member instead of creating a new member or use a unique email address for this new member." Enter a different email, or leave Email Address blank if it isn't required.
- "Email Address is required." Your organization requires an email for parents (Customers > Configurations > General > Email). Use the player's own email.
- The family can't find the offering for volunteers. If the offering has Volunteer Reg. dates, volunteers can register only between those dates. Admins can still register them through Place Order.
Good to know
- Add the parent record to the family's existing account. Don't create a separate account for the player; that makes a duplicate account that later has to be merged.
- Use the player's real name. The account already labels the record (Parent or Guardian), and the name you enter is the one shown wherever the volunteer appears, such as rosters and Team Sites.
- The two records are separate: player enrollments stay with the (Player) record and volunteer enrollments with the (Parent or Guardian) record.
