The Roster Enrollment report exports the player and staff enrollments in your Team Registration plus Youth or Adult Roster Registration programs, with each player's team and division. Run it from Reports > Report Exports > Roster Enrollment.
Applies to: Admins · Enhanced, Elite and Enterprise plans · Team Registration plus Youth Roster Registration and Team Registration plus Adult Roster Registration programs
Where: Reports > Report Exports > Roster Enrollment
What's in the report
- One row for each enrollment in the roster part of the program: the players, and any coaches or other staff, who enrolled from a team's roster invitation or whom an admin added with Place Order > Add to Roster.
- The columns can include the enrollment's details and your own enrollment fields, the customer's contact details, and the team and division the player is on. Team Name and Division Name are among the columns selected to start with.
- Canceled enrollments, and any waitlisted ones, are listed as well as accepted ones. Only voided enrollments are left out. A canceled player's row has no team or division.
What isn't in the report
- Team managers' team registration information. The Program list offers only the roster part of each program. For the teams and their managers, use the Enrollment Information report (Type General or All Enrollment Types, then the team program), or Reports > Report Dashboards > Team Enrollments.
- Players who were invited but haven't enrolled. They have no enrollment yet. To see them, go to Programs > Manage Programs > (program) > 4 Rosters: compare each team's Players and Players Enrolled counts, or click the team's name to see who has a check mark under Enrolled.
How to run the report
- Go to Reports > Report Exports and click Roster Enrollment.
- In Type, choose who to include: Player for youth roster players, General for adult roster players, Volunteer for coaches and other staff who enrolled from an invitation, Sponsor, or All Enrollment Types.
- In Program, check one or more programs. The list shows the roster part of each Team Registration plus Roster program, under Current Programs and Archived Programs.
- Optional: in Offering, uncheck any offerings to leave out. Every offering of the programs you checked starts out checked.
- Optional: set a Date Range to include only enrollments whose order was placed between two dates. Both dates are included.
- Under Columns, move the fields you want from Available fields to Show these fields in this order. Drag them, or select them and use the arrows, then drag them into the order you want.
- Choose the Export Type, for example Excel or CSV.
- Click Export.
What you'll see: the file downloads, with one row per enrollment.
To keep these choices for next time, click Save Report and name the report. Saved reports are listed on Report Exports. Reset clears the page.
If it doesn't work
- "Please make a selection for Type." Choose a Type first. The Program list fills in only after you choose one.
- "Please make a selection for Program." Check at least one program.
- "You must select at least one Field before exporting report." Move at least one field to Show these fields in this order.
- "The Start date cannot fall after the End date." Fix the Date Range.
- Your program isn't in the Program list. It isn't a Team Registration plus Roster program (use Enrollment Information instead), or its registration hasn't opened yet. Only programs whose registration is open or closed are listed.
- Adult players are missing. You chose Player. Adult roster players are General enrollments, so choose General or All Enrollment Types.
- Roster Enrollment isn't on Report Exports. Your plan doesn't include it (it needs Enhanced, Elite or Enterprise), or your admin role doesn't.
- A player is missing. They haven't finished enrolling, or their enrollment was voided.
Good to know
- On Volunteer rows, the enrollee columns show the coach or staff member, an adult on the customer's account.
- Enrollment Information is on every plan. Roster Enrollment needs the Enhanced, Elite or Enterprise plan.
- To check one team's roster on screen, open it from 4 Rosters instead of exporting.
