As a team manager, once you have registered your Team, you build your roster on your organization's website: sign in, open your team under Manage Rosters, click Add to Roster to invite each player, and click Submit once enough players have enrolled. You can keep changing the roster until your organization locks it.
Applies to: Team managers and coaches with Roster Edit · Enhanced, Elite and Enterprise plans · Team Registration plus Youth Roster Registration and Team Registration plus Adult Roster Registration programs
Where: Your organization's website, signed in > Manage Rosters > (your team)
How to open your roster
- Go to your organization's website and sign in with the account you used to register the team.
- In the menu on the left, under Manage Rosters, click your team's name.
All Rosters, also under Manage Rosters, lists every team you manage with its Season, Program/League and Offering/Division. Click the View icon (magnifying glass) to open a roster. Rosters are managed here on the website; the Roster page on your Team Site is a separate list.
How to add players and coaches
- On your roster, click Add to Roster.
- Enter the First Name and Last Name.
- Choose the Role: Player, or Coach if your organization has set it up.
- Enter the Email. For a youth team, use the email of the parent or guardian who will register the player. If Date of Birth appears, enter it.
- Click Add.
Each person you add is emailed an invitation to enroll on your team, and a check mark appears in the Enrolled column when they finish. To resend an invitation, click the green Reinvite icon on the row, or Reinvite All for everyone who hasn't enrolled. Players can join only through your invitation; there's no separate sign-up for them.
How to submit your roster
- When enough players have enrolled, click Submit in the box at the top of the roster.
- You'll see "Your roster has been submitted." and your Roster Status changes to Submitted.
Submitted tells your organization that your roster meets its minimum. You can still make changes afterward.
Frequently asked questions
Why is the Submit button grayed out?
Your roster is below your organization's minimum, and you'll see "You must meet the minimum number of (number) enrolled players before you can submit the roster." Only players who have completed enrollment count. You, your coaches and invited players who haven't enrolled yet don't count.
I submitted my roster, but it shows Open again. Why?
Adding, editing or removing anyone on a Submitted roster sets it back to Open, whether you, a coach or your organization made the change. Click Submit again when you're done. If there's no Submit button at all, the roster is already Submitted or it's Locked.
Why don't I see Add to Roster, or why is it disabled?
- Your roster is Locked. Add to Roster disappears and you can't edit or remove members. A gold lock shows next to the roster name, with a message that your roster is in Locked Status. Contact your organization to make changes.
- Your roster is full. You'll see "You cannot add any additional players since you have met the maximum number of players for this roster." If Coach is in the Role list, you can still add coaches.
- You're on your Team Site. Its Roster page has its own Add To Roster button, which changes only the team site and which your organization may turn off ("Note: The Add To Roster button has been disabled by" your organization). To add players to your team's registration roster, use Manage Rosters on the website.
Why isn't my team under Manage Rosters?
- You're signed in with a different account. Use the one that registered the team. Coaches see the team only when they have Roster Edit and sign in with the email on their roster row.
- The program has ended. Rosters can be managed until the day after the program's end date; ask your organization to extend it if you still need changes.
- Your team's registration isn't complete. Finish checkout, or check with your organization.
A player says the invitation doesn't work
- "This roster invitation is for a different user. Please click the roster invitation link again and sign in with the following email address:" They're signed in with another account and should sign in with the email shown. If you typed the wrong email, fix it with the Edit icon on their row and click Reinvite.
- "Registration has been closed for the Program you are trying to register for. If you have questions, contact your Team Manager." or "Registration has not opened yet." Your organization sets the player registration dates. Ask them to extend or open them.
- "Your roster invitation is no longer valid. If you have questions, contact your Team Manager." The player was removed from your roster, your roster is locked, or the program isn't open on the website. Check your roster, then contact your organization.
- "This roster invitation has already been completed. If you have questions, please contact your Team Manager." The player has already enrolled.
- The player signed in but can't find the invitation. When they start a registration, their roster invitations show under Roster Invitation(s); if asked, they choose Enroll on a Roster in I would like to. Invitations show only for the email you entered, and not after the player enrolls, the roster is locked or player registration closes.
How do I copy last season's roster?
- Click Copy Roster. It appears only if you registered another team in this organization.
- In Team Roster, choose the earlier team.
- Tick the Players to copy and click Copy. You'll see "The previous roster has been copied."
Copied players get invitations. Copied coaches don't get an invitation or Roster Edit, so click Reinvite on their row and turn on Roster Edit with Edit. Copy Roster isn't available once the roster is full, and coaches with Roster Edit don't see it unless they registered a team themselves.
Can I remove someone or change their details?
The red X removes anyone who hasn't enrolled yet, and the Edit icon changes their name or email. Once someone has enrolled, you can't remove them or change their name or email; contact your organization. You can't edit or remove your own Manager entry. For coaches, Edit also has the Roster Edit setting.
Can coaches and other staff sign up on their own?
No. These programs have no separate volunteer sign-up. Add your coach with Add to Roster and the Coach role; they get an invitation and Roster Edit. Other staff roles, such as Assistant Coach and Team Parent, are added by your organization.
My team uses a Master Roster
If your organization uses master rosters, Manage Rosters opens your team's Master Roster, where you add players with Add to Roster as above. Under Additional Program Enrollments, click the View icon to open your team's roster for another program. There, Add to Roster adds members from your Master Roster, Copy Master copies it, Delete All clears the roster, the red X removes one member, and Master Roster takes you back. If you leave that roster empty, it uses your Master Roster automatically when your organization locks rosters. The add and delete buttons go away once it's locked.
Good to know
- A red flag next to an email means the address is invalid or isn't accepting TeamSideline emails, so the invitation may not arrive. Fix it with Edit, then click Reinvite.
- If your organization limits ages, Add to Roster asks for a player's Date of Birth and won't add a player outside the age range ("The date of birth is not within age requirements for this Offering."), or warns you, depending on its settings. If the birth date is right, contact your organization.
- In programs where you set each player's fee, Add to Roster also asks for Registration Cost, and the roster shows Cost and Paid columns.
- Rosters are managed on your organization's website, not in the TeamSideline app.
