A roster invitation link doesn't expire on a date. It stops working when the roster isn't open for registration, the program is hidden, the roster is locked, the invitation was removed, or the person signs in with a different email address. Find the message below. Once the cause is fixed, the same link works again.
Applies to: Players and parents, team managers and admins · Enhanced, Elite and Enterprise plans · Team Registration plus Youth Roster and Team Registration plus Adult Roster programs
Where: the invitation email's link; Manage Rosters on your organization's website (team managers); Programs > Manage Programs > (program) > 2b Roster Configuration and 4 Rosters (admins)
How to accept an invitation
- Open the "Roster Invitation" email from your organization and click its link, instead of going to the website yourself.
- Sign in with the email address the invitation was sent to. If you're new, create an account with that address.
- On Add Items To Your Cart, under Roster Invitation(s), choose the player in Account Name: your child for a youth team, or yourself for an adult team or as a coach. If they aren't listed, click Add Enrollee and add them first.
- Click Add to Cart, then Proceed to Checkout, and finish checking out. The invitation is accepted only when you see the Order Confirmation.
Already signed in? Your open invitations are on Add Items To Your Cart too: in I would like to, choose Enroll on a Roster.
Messages and what to do
| Message | Why | What to do |
|---|---|---|
| "Your roster invitation is no longer valid. If you have questions, contact your Team Manager." | The invitation was removed from the roster, the team's registration was canceled, the program is hidden, or the roster is locked. | Ask the team manager to check the roster. Admins: see the checklist below. |
| "This roster invitation is for a different user. Please click the roster invitation link again and sign in with the following email address:" followed by an address | You're signed in with a different account. | Sign out, click the link again and sign in with the address shown. If it's the wrong address, the team manager corrects it and resends. |
| "Registration has been closed for the Program you are trying to register for. If you have questions, contact your Team Manager." | The roster's registration dates have ended, whenever the invitation was sent. | Admins: extend the dates on 2b Roster Configuration. The player then uses the same link. |
| "Registration has not opened yet." | The roster's registration dates haven't started. | Wait for the start date, or an admin moves it earlier. |
| "This roster invitation has already been completed. If you have questions, please contact your Team Manager." | The player is already registered. | Nothing to do. The roster shows a check mark under Enrolled. |
| "(organization) does not have any Programs which are open for Enrollments at this time -- check back again soon!" or "No outstanding roster invitations." | The account you signed in with has no open invitation, and nothing else is open for registration. | Sign in with the invited email address. If that's the one you used, check the causes in the first row. |
| "Account Name selection is required." | No player was chosen. | Choose the player in Account Name, or click Add Enrollee to add them. |
For team managers
- Resend an invitation: on your roster under Manage Rosters, click the green Reinvite icon on the player's row, or Reinvite All for everyone who hasn't enrolled.
- Wrong name, email or date of birth: click Edit on the row, fix it, save, and click Reinvite. You can edit until the person enrolls. A name doesn't have to match: the roster takes the name the player registers under.
- Manage Rosters is gone: roster management ends the day after the program's end date. Ask your organization to extend it.
- Use your organization's website: invitations come only from Manage Rosters. Add To Roster on your Team Site adds someone to the team site only, so they can't register from it.
- A red flag next to an email means the address is invalid or isn't accepting TeamSideline emails. Correct it and reinvite.
For admins: checklist
- On Programs > Manage Programs, the program's eye is green. A hidden program's invitations say "no longer valid" and don't show in the cart.
- On the program's 1 Setup page, the Program Duration end date hasn't passed. After it, team managers lose Manage Rosters and can't add or reinvite players.
- On 2b Roster Configuration, the roster offering's Reg. Duration (and any Early or Late Reg. Duration) includes today. These dates decide whether invitations are not open yet, open or closed. Click the pencil icon to change them.
- On 4 Rosters, the team's roster isn't locked.
- The team's own registration is still active. A canceled registration can't be reinstated, so the team has to register again and invite its players again.
- The invitation's email is the one the person signs in with: for a youth player, the parent or guardian who registers them.
To resend from your side, open 4 Rosters, click the team's name, and click Reinvite on the row or Reinvite All.
Register a player for them
Admins with Team/Player Registration can put a player on a team's roster even when roster registration is closed:
- Go to Customers > Account Management > Search, open the family's account and click Place Order.
- Click Add to Roster.
- Choose the Enrollee, the Program, the Team/Offering and the Roster Member: the invited name, or New Player.
- Choose the Registration Period. If the family already paid another way, check Pre-Paid, which zeros out the cost.
- Click Add, then check out.
Good to know
- The cart lists only the invitations sent to the signed-in account's email, and only while the roster is open for registration.
- Invitations for youth players go to the parent or guardian email the team manager entered.
- Players can join only through an invitation or an admin's Add to Roster. There's no separate sign-up for the roster.
