When your league turns on Practice Changes, team coaches can add, change and delete their team's practices themselves. Sign in on your organization's website, click your team under Team Information, and use the Practice Changes section. League administrators turn the feature on in Schedules > Configurations > General.
Applies to: Coaches who are a team's contact, and league admins · Enhanced, Elite and Enterprise plans (Coach Sign-In) · League divisions with a practice schedule
Where: Your organization's website > Team Information > (your team) > Practice Changes. Admins: Schedules > Configurations > General > Coach Sign-In
Before you start
- Sign in on your organization's website, not on a Team Site.
- Your team is listed under Team Information only if the email address you sign in with is the team's Primary Email or Alternate Email in the league's team list. If it isn't, ask your league administrator to update it.
- The Practice Changes section appears only when your league has turned it on, your division has a practice schedule, and the division's schedule is visible on the website.
Add a practice
- Sign in on your organization's website.
- Under Team Information, click your team.
- Scroll to Practice Changes and click Add A Practice.
- Choose the Location, Practice Date, Practice Start Time and Practice End Time.
- Optional: type a Comment. It shows with the practice on the league's schedule and in the practice's notes on Team Sites.
- Click Add.
What you'll see: the new practice in the list of upcoming practices. You add one date at a time; when you're done, click Add A Practice again to close the form. Start and end times must be in 5-minute steps.
Change a practice
- In Practice Changes, click the practice's Edit icon (pencil).
- Change the Date, Start Time, End Time, Location or Comments.
- If the practice is part of a recurring series, decide whether to tick Apply changes to recurring group (team, time, location, and comments supported). Ticked, the new start and end time, location and comments apply to every practice in the series, and each keeps its own date. Unticked, only this practice changes, and it leaves the series.
- Click Save.
What you'll see: "Practice Schedule Updated." Click Cancel to go back to your team page.
Delete a practice
- One date: click the practice's Delete icon (red X), then OK on "Are you sure you want to delete this practice?".
- A whole recurring series: click Delete All Recurring (red circle X), then OK on "Are you sure you want to delete all matching recurring practices?". This deletes every practice still in the series, including past dates. It's grayed out for a practice that isn't part of a series.
Practices have no Canceled status. To cancel one, delete it and let your team know.
For league admins: turn on Practice Changes
- Go to Schedules > Configurations > General.
- Under Coach Sign-In, set Enable Coach Sign-In to Yes.
- Set Practice Changes to Yes ("Enables coaches to add, update, or remove Organization Site practices.").
- Click Save.
What you'll see: "The global scheduling configurations have been updated." Then check each division your coaches use:
- Practice is ticked under Division Schedule Types on 1 Configuration > Scheduling.
- The division's eye icon on Leagues & Divisions isn't red.
- Each team's Primary Email or Alternate Email on 2 Teams is the email address the coach signs in with.
- Optional: set On Practice Change to Yes on 1 Configuration > Communication. About 5 minutes after a practice changes, TeamSideline emails the team's primary and alternate contacts, and its roster too when Include Rosters is Yes.
Coach Sign-In, Practice Changes and On Practice Change are part of the Enhanced, Elite and Enterprise plans. On other plans these settings are grayed out with an upgrade icon ("This feature is part of an upgraded package.").
If it doesn't work
- There's no Team Information menu, or your team isn't in it. Coach Sign-In is off, the league is archived, or the email you sign in with isn't the team's Primary or Alternate Email. Ask your league administrator.
- There's no Practice Changes section on your team page. Practice Changes is off, the division has no practice schedule, or the division's schedule is hidden.
- A conflict message stops the save, such as "[Team]'s practice on [date] from [start] to [end] has a location availability conflict with [event] on [date] from [start] to [end]." or "... has a schedule conflict with [Home] vs [Away] ([Division]) on [date] ...". When Practice Conflicts is Yes in the league's settings, TeamSideline won't save a coach's practice that overlaps something else booked at that location or one of the team's games. Choose another time or location, or ask your league administrator.
- "Invalid practice start time. Must be a 5 minute increment." or the same for the end time. Use times such as 6:00 or 6:05.
- "The Practice Start Time cannot be greater or equal to the Practice End Time." (on the edit page: "Start time must be prior to end time.") Make the end time later than the start time.
- "A Location must be selected." or "The Practice Date has not been entered or is an invalid date." Fill in that field and click Add again.
- A past practice isn't listed. Practice Changes lists upcoming practices only.
Good to know
- Coaches can change or delete any of their team's practices, including the ones the league added.
- Changes show on the league's practice schedule and on published Team Sites automatically.
- When the league also turns on Schedule Changes, coaches can change their games' date, time and location in the Schedule Changes section of the same page.
