A Team Site's attendance poll lists only roster members who have the Player role, so coaches, managers and other team staff aren't on it. If a coach also plays, add the Player role to their entry on the team's Roster: click the Edit icon on their row, tick Player under Role(s) and click Save.
Applies to: Coaches and other team staff, and org admins · All plans · Team Sites your organization publishes and teams created on TeamSideline, on the web and in the TeamSideline app
Where: Team Site > (your team) > Roster > Edit icon (pencil) > Role(s). Admins: Programs > Manage Programs > (program) > 5 Team Sites > house icon (Open Team Site) > Roster
Team Site roles and who is polled
| Role | Who has it | Team staff? | On the attendance poll? |
|---|---|---|---|
| Player | Players. Registered players are added with this role. | No | Yes |
| Parent | A player's parents and guardians, on youth teams | No | No. Parents answer for their children. |
| Coach, Assistant Coach, Team Parent, Manager | Volunteers placed on the team with that volunteer type, people added with that Role on a Team Registration plus Roster roster, or people given the role on the Team Site. In Team Registration plus Roster programs, the Manager is the person who registered the team. | Yes | Only if they also have Player |
| Site Coordinator | People given the role on the Team Site, or added as Web Site Coordinator on a Team Registration plus Roster roster | Yes | Only if they also have Player |
| League Administrator | Your organization's admins, added automatically when they open the team site from the admin site. They aren't listed on the Roster. | Yes | No, and they get no reminder emails |
Team staff add and edit events, post announcements, and can set or change any player's attendance answer, for past events too. Your organization's Roster Edit setting doesn't change that.
Add the Player role to a coach (team staff)
- Sign in, open your team's Team Site and click Roster.
- Click the Edit icon (pencil) on the coach's row.
- Under Role(s), keep the coach's current role ticked and tick Player.
- Click Save.
What you'll see: "Member updated." The coach is listed under both Staff and Players, has a row on the team's Attendance page, and gets the poll in reminder emails that haven't gone out yet.
On a Team Site your organization publishes, team staff can change roles only when the organization's Roster Edit setting is Everything. With Limited, Role(s) is grayed out, and with None there's no Edit icon. Ask your organization's admin, who can add the role as described below. Teams created on TeamSideline have no Roster Edit setting.
Add the Player role as an admin
- Go to Programs > Manage Programs and click the program's name.
- Click 5 Team Sites.
- On the team's row, click the house icon (Open Team Site). The team site opens in a new browser tab.
- Click Roster, then the Edit icon on the coach's row.
- Under Role(s), tick Player and click Save.
Opened this way, you're on the team site as its League Administrator, so the Roster Edit setting doesn't limit you. If your own email address is already on that team's roster, you get that member's access instead.
Why registration gives each person one role
Each registration puts a person on the team with one role: a player registration as Player, and a volunteer registration as the volunteer's type (Coach, Assistant Coach, Team Parent or Manager). Each entry on a Team Registration plus Roster roster also has one Role. So a coach who also plays gets the second role on the team site, as above.
Before a volunteer type such as Coach can be assigned to a team, add it to the program under 2 Configuration > Volunteers (2b Roster Configuration in Team Registration plus Roster programs).
If a role change doesn't show on the team site
- Team sites you publish from 5 Team Sites are linked to your program, shown by an orange link icon on the team's row. Changes there, such as a volunteer's type changed on their enrollment, reach the team site as soon as they're saved. The TeamSideline app shows them the next time it loads the person's teams.
- A role that comes from registration stays on the team site even if you untick it there. Change it in the program instead.
- Don't archive the team site and publish it again to refresh it. Publishing again creates a new team site, and the old site's announcements, chat, files, pictures, attendance and Family & Friends don't come across.
- If the team's row has no link icon, its site was published before Team Sync. Contact TeamSideline Support before you archive it.
If it doesn't work
- Role(s) is grayed out. Your organization's Roster Edit is Limited. An admin can add the role from the admin site, as above.
- There's no Edit icon on the coach's row. Roster Edit is None, or the team's site has been archived.
- "You must have at least one staff role for yourself." You unticked your own staff role. Keep at least one ticked.
- "When adding or modifying a Player, you cannot choose a Parent Of for that player." You ticked Player and also picked a child in Parent of. Set Parent of back to Select.
- The coach has a row on the Attendance page, but an event is missing. That event has no attendance poll, or it was canceled. See How to turn on attendance polls for Team Sites, below.
- The coach didn't get the poll by email. The poll comes only with the event's reminder email, which is sent once, before the event, so reminders sent before you added the role didn't include it. No reminder goes to a roster entry without an email address, to someone who set Receive Reminders to Disabled, or to someone who hid the team. If the coach is also listed as a player's parent on the team, the reminder carries the child's poll instead of the coach's own, so the coach answers on the Attendance page or in the app.
Good to know
- There's no Head Coach role. Give the head coach the Coach role and other coaches Assistant Coach. Nothing limits how many people have the Coach role.
- Only Team Registration plus Roster programs limit a team to one Manager, the person who registered it. In other programs, Manager is a volunteer type you can assign to more than one person.
- Roster Edit on a Team Registration plus Roster registration roster, shown by a blue people icon ("Has Roster Edit ability"), is a different setting: it lets a coach manage the team's registration roster under Manage Rosters. See the coach roster edit articles below.
